Sound familiar?
The job, before and after this agent.
What it feels like today
- “New members sign up, come once and we never see them again.”
- “Our welcome email is the same generic message for everyone.”
- “The front desk doesn't have time to follow up personally with each sign-up.”
What you get with the agent
- A personal welcome with a 2–4 step first-week plan from the member's goals, experience and preferred times
- Only your classes, booking link and intro offer used
- Welcomes mentioning an injury or health condition held for a staff look, with the option to review every welcome
- A day-3 check-in written from their answers
- A two-week “how's it going?” email inviting them to book a session or class
Before
A new member gets an automatic receipt and a generic welcome, feels unsure where to start and quietly stops coming.
After
They get a welcome that suggests two beginner classes on the evenings they said they're free, a check-in a few days later and a nudge to book a session at two weeks.
How it works
The whole workflow, step by step.
When your sign-up form posts a new member's answers, AI writes a personal welcome email with a realistic first-week plan built from their goals, experience and preferred times, using only your classes, booking link and intro offer. Welcomes that mention an injury or health condition wait for a staff look, and you can ask to review every welcome. Three days later the member gets a friendly check-in, and about two weeks after joining a “how's it going?” email inviting them to book a session. It's non-clinical, with no health, injury or nutrition advice. It has no attendance data, so the emails don't react to visits.

This is the workflow that opens in your workspace when you set the agent up. Every step can be edited.
- Step 1New member sign-up from your formYour sign-up or intake form posts each new member's answers (name, email, goals, experience, preferred times) to the workflow's webhook URL.
- Step 2Write the welcome and first-week planAI writes a personal welcome email with a simple first-week plan built from the member's goals, experience and preferred times, using only your classes and offers. It flags sign-ups that mention an injury or health condition for a staff look.
- Step 3Send, check first or skip?Sign-ups without an email are skipped; welcome emails that mention a health issue (or all of them, if you ask) wait for a staff look; the rest are sent straight away.
- Step 4Not sentThe run history keeps the sign-up and why no emails were sent.
- Step 5Check the welcome emailOptional: when you ask to review every welcome, or the member mentions an injury or health condition, a staff member reads and edits the welcome in Reviews before it's sent.
- Step 6Not approvedRejected welcomes are kept in the run history; no emails were sent.
- Step 7Email the welcomeSends the welcome and first-week plan to the new member, with replies going to your front desk.
- Step 8Wait 3 daysPauses the run for 3 days after the welcome (Dry Run doesn't wait).
- Step 9Write the day-3 check-inAI writes a short, friendly check-in from the member's goals and first-week plan, inviting questions and nudging the next step.
- Step 10Email the check-inSends the day-3 check-in to the member.
- Step 11Wait 11 more daysPauses the run until about two weeks after sign-up (Dry Run doesn't wait).
- Step 12Write the two-week emailAI writes a “how's it going?” email that invites the member to book a session or class that fits their goal.
- Step 13Email the two-week noteSends the “how's it going / book a session” email to the member.
- Step 14Onboarding sentThe run history keeps all three emails.

Example with fictional data
Comes in
A fictional sign-up: beginner, desk job, wants to feel less stiff, free weekday evenings after 5:30 and Saturday mornings, nervous about lifting.
The agent produces
Welcome suggests your Tuesday evening mobility class, a Saturday intro to strength session and your free coach orientation, with the booking link. Day-3 check-in and two-week note follow automatically.
What you need
Everything it takes to run it.
About 15 minutes from purchase to live. A checklist above the canvas takes you through each step.
Plan
Included in Enterprise; on other paid plans it's $89 once. Agents run live on paid plans, from Basic ($39/mo).
Your AI key
Connect any of 14 AI providers on your own key. Your provider bills usage directly, at cost; we add no markup.
Apps
No app connections needed.
Checklist
- A paid plan (agents run live on paid plans; the waits also need the Wait step enabled on your workspace).
- An AI provider key (Settings → AI Providers).
- A sign-up form on your site that posts to the webhook, with an email field.
- Your classes, booking link and any intro offer.
Setup, about 15 minutes

- Describe your studio. Open “Write the welcome and first-week plan” and replace the placeholder with your classes, booking link, intro offer and sign-off.
- Add your front-desk inbox. Open each of the three email steps and enter the inbox members' replies should go to.
- Test it with Dry Run. Press Dry Run: the agent runs on sample data with no messages sent and nothing written to your apps.

Is it a fit?
Who it's for, and what it won't do.
Built for
- Boutique gyms and fitness studios
- Yoga, Pilates and barre studios
- Climbing gyms and wellness clubs with an online sign-up form
What it doesn't do
- It's non-clinical: it gives no health, injury, nutrition or weight-loss advice and promises no results.
- It doesn't know whether the member has visited (no check-in data), so the emails don't react to attendance.
- It doesn't read replies or book sessions; replies go to your front desk. To stop the later emails for someone, cancel their waiting run in History.
- It isn't a list-based drip campaign: each member gets their own three emails from their own answers.
We list the limits up front so you can decide before you buy.

FAQ
Questions about New Member Onboarding.
Will it give health or fitness advice?
No. It's non-clinical: no health, injury, nutrition or weight-loss advice and no promised results. Any welcome that mentions an injury or health condition waits for a staff member first.
Does it know whether they've come in?
No. It has no attendance data, so the emails never assume either way. It doesn't read replies or book sessions; replies go to your front desk.
What do I need?
A sign-up form that posts to the webhook with an email field, plus your classes, booking link and any intro offer. No other apps are required. Setup is about 15 minutes.
Is it worth it?
It's a one-time purchase that never renews, giving every new member personal attention in their first two weeks. Live runs need a paid plan (with the Wait step enabled) and your own AI key; Dry Run is free.
Does it know whether the member has come in?
No. It has no check-in or attendance data, so the emails never assume either way. A version triggered by Square sign-ups can follow once Square is approved.
Can I approve the welcome email first?
Yes. Write “Review the welcome email: yes” in your studio details. Welcomes that mention an injury or health condition always wait for a staff look.
How do I stop the later emails for someone?
The agent doesn't read replies. If a member asks you to stop, cancel their waiting run in the workflow's History.
Is this a subscription?
No. New Member Onboarding is a one-time purchase of $89 per workspace and never renews. The Enterprise plan includes it at no extra cost. Running it live needs a paid plan (from Basic ($39/mo)), and your AI provider bills you directly for usage.
Can I test it before it touches real data?
Yes. Once it's set up in your workspace, Dry Run plays every step on sample data with simulated AI and app calls: nothing is sent and nothing in your apps changes. Switch the trigger on only when you're happy.
