Sound familiar?

The job, before and after this agent.

What it feels like today

  • “Our Trello intake list is full of cards that just say new ad request.”
  • “We always discover missing sizes, copy and deadlines after work has started.”
  • “Clients wait too long for a simple we got it reply.”

What you get with the agent

  • A structured brief from each request: objective, audience, deliverables and specs, key message, tone, mandatory elements and deadline.
  • Up to six clarifying questions, never invented specs.
  • A card in your Trello intake list with the brief, the client contact and the original request.
  • The open questions added as a comment on the card.
  • A confirmation email to the client; unclear, out-of-scope or money questions wait for your approval.

Before

A request sits in an inbox, someone makes a vague Trello card later, and the designer spends the first hour emailing questions.

After

The card appears with a full brief and the questions in the comments, and the client has already been asked for what's missing.

How it works

The whole workflow, step by step.

Each request from your client form is turned by AI into a structured creative brief (objective, audience, deliverables and specs, key message, tone, mandatory elements, deadline) with up to 6 clarifying questions, using only what the client wrote. The brief becomes a card in your Trello intake list, the open questions are added as a comment, and the client gets a confirmation email with the questions, Reply-to your studio inbox. Routine confirmations go out at once; unclear, out-of-scope or money questions wait for approval, or switch review on for all. It doesn't assign members or labels.

This is the workflow that opens in your workspace when you set the agent up. Every step can be edited.

  1. Step 1New client requestYour client request form (or your site) posts each request to this webhook.
  2. Step 2Check the deadlineIn code, not AI: reads the client's deadline and works out how many business days away it is; 5 business days or fewer (or already past) marks the request urgent. Change the number here (within.max) and set your time zone here (timezone, e.g. America/Chicago; UTC when blank). Requests are never dropped here.
  3. Step 3Write the creative briefAI turns the request into a structured brief (objective, audience, deliverables, specs, tone, deadline) and lists the clarifying questions. Whether it's urgent was worked out in code.
  4. Step 4Create the card in TrelloAdds a card to your intake list with the brief, the client contact and the original request in its description.
  5. Step 5Comment the clarifying questionsAdds the open questions as a comment on the card, so the team sees what's still missing.
  6. Step 6Card createdThe run history keeps the Trello card link.
  7. Step 7Send the confirmation how?No email address: no confirmation. Routine requests: sent at once. Unclear, out-of-scope or money questions (or every one, if you switch review on): approved first.
  8. Step 8No confirmationThe request had no email address; it's filed on your board.
  9. Step 9Approve the confirmationA teammate checks the confirmation and questions in Reviews, edits them if needed and approves.
  10. Step 10Email the clientEmails the confirmation with the clarifying questions, with replies going to your studio inbox.
  11. Step 11ConfirmedThe run history keeps the brief and the confirmation.
