Sound familiar?
The job, before and after this agent.
What it feels like today
- “Requests come in as a sentence and our board fills with items nobody can start on.”
- “We waste the first day of every project chasing basic specs.”
- “Clients assume we've started when we haven't even confirmed receipt.”
What you get with the agent
- A structured brief from each request: objective, audience, deliverables and specs, key message, tone, mandatory elements and deadline.
- Up to six clarifying questions, never invented specs.
- An item on your monday.com intake board with the client's email and deadline in two Text columns you choose.
- The brief and questions posted as an update on the item.
- A confirmation email to the client; unclear, out-of-scope or money questions wait for your approval.
Before
Someone retypes an email into a monday.com item, forgets the deadline, and the project manager spends the morning chasing details.
After
The item appears with the client's email and deadline filled in, the full brief in the updates, and the client already asked for the missing pieces.
How it works
The whole workflow, step by step.
Each request from your client form is turned by AI into a structured creative brief (objective, audience, deliverables and specs, key message, tone, mandatory elements, deadline) with up to 6 clarifying questions, using only what the client wrote. It becomes an item on your monday.com intake board, with the client's email and deadline in two Text columns you choose (column ids are set once at setup) and the brief and questions posted as an update. The client gets a confirmation email with the questions, Reply-to your studio inbox; unclear, out-of-scope or money questions wait for approval.

This is the workflow that opens in your workspace when you set the agent up. Every step can be edited.
- Step 1New client requestYour client request form (or your site) posts each request to this webhook.
- Step 2Check the deadlineIn code, not AI: reads the client's deadline and works out how many business days away it is; 5 business days or fewer (or already past) marks the request urgent. Change the number here (within.max) and set your time zone here (timezone, e.g. America/Chicago; UTC when blank). Requests are never dropped here.
- Step 3Write the creative briefAI turns the request into a structured brief (objective, audience, deliverables, specs, tone, deadline) and lists the clarifying questions. Whether it's urgent was worked out in code.
- Step 4Create the item on monday.comAdds an item to your intake board with the client's email and deadline in the text columns you pick.
- Step 5Post the brief as an updatePosts the full brief, the open questions and the original request as an update on the item.
- Step 6Item createdThe run history keeps the monday.com item link.
- Step 7Send the confirmation how?No email address: no confirmation. Routine requests: sent at once. Unclear, out-of-scope or money questions (or every one, if you switch review on): approved first.
- Step 8No confirmationThe request had no email address; it's filed on your board.
- Step 9Approve the confirmationA teammate checks the confirmation and questions in Reviews, edits them if needed and approves.
- Step 10Email the clientEmails the confirmation with the clarifying questions, with replies going to your studio inbox.
- Step 11ConfirmedThe run history keeps the brief and the confirmation.
