Sound familiar?

The job, before and after this agent.

What it feels like today

  • “I spend my evenings answering custom order requests instead of making things.”
  • “I quote differently every time and forget the rush or personalization fee.”
  • “I keep saying yes to orders in weeks I'm already fully booked.”

What you get with the agent

  • Every request priced from your own rules: base, per unit, materials, personalization and rush, every line and the total recalculated in code.
  • The deadline checked against your booked weeks in Google Sheets.
  • Clarifying questions listed in the quote.
  • You check and edit every price before the quote is emailed with replies to your shop inbox.
  • Each sent quote logged in your orders sheet as Quoted.

Before

Five custom requests arrive over the weekend. You answer them Tuesday night, guess at the rush fee, and accept one for a week that's already full.

After

Each request has a priced draft with checked totals and a capacity check by the time you open your laptop. You adjust one number, approve, and the quotes are out before breakfast.

How it works

The whole workflow, step by step.

For handmade and Etsy sellers, bakers, sign makers and print shops. When your custom order form posts a request, the agent reads your pricing rules and capacity from Google Sheets. AI prices the order from your rules only (base, per unit, materials, personalisation, rush), every line and the total are recalculated in code (never by the AI), and it checks the deadline against your booked weeks and lists the questions to ask. You check and edit the price in Reviews, the approved quote is emailed with replies to your shop inbox, and it's logged in your orders sheet. It never invents prices outside your rules and doesn't look at reference images. It doesn't take deposits yet: a payment-link version can follow.

This is the workflow that opens in your workspace when you set the agent up. Every step can be edited.

  1. Step 1New custom order requestStarts when your custom order form posts a request: item, size, materials, quantity, personalisation, deadline and a reference link.
  2. Step 2Read your pricing rulesReads your pricing tab: base prices, per-unit prices, material and personalisation surcharges, rush percentages.
  3. Step 3Read your capacityReads your capacity tab: the weeks ahead and how booked each one is.
  4. Step 4Price it from your rulesAI prices the request from your pricing sheet only (one line per price it uses), checks the deadline against your capacity and lists the questions to ask before you can confirm.
  5. Step 5Check the mathRecalculates every line (quantity × price), the subtotal, the rush charge and the total in code — not by AI — writes the correct figures into the quote and the email, and flags anything the AI got wrong for you. Lines it couldn't price stay TBD.
  6. Step 6Approve the quoteThe maker checks the price, the deadline answer and the email in Reviews, edits anything (including the price) and approves.
  7. Step 7Email the quoteSends the approved quote to the customer, with replies coming back to your shop inbox.
  8. Step 8Log it in your orders sheetAdds a row to your orders tab: date, customer, email, item, quantity, total, deadline and status “Quoted”.
  9. Step 9QuotedThe run history keeps the request, the checked pricing and the email.
  10. Step 10Not sentYou rejected the quote; nothing was sent or logged.

Example with fictional data

Comes in

Request from Hannah: wooden wedding welcome sign, 18 x 24 in, walnut stain, white lettering, personalized names and date, needed November 20, also asks about 12 matching table numbers.

The agent produces

Quote: sign base price plus size and personalization from your sheet, totals checked in code; rush rule not triggered. Capacity: that week is nearly full but open. Question: confirm table number size and style before pricing them. Waiting for your approval, then emailed and logged as Quoted.

FAQ

Questions about Custom Order Quote Builder.

What if it prices something wrong?

It prices only from your rules and leaves anything it can't price for you. Nothing is sent before you check and approve the quote.

Does it take a deposit?

Not yet. The email states your deposit terms as you write them; a payment-link version can follow. It doesn't look at reference images.

What do I need?

Google Sheets with pricing, capacity and orders tabs, and a custom order form that can post to a webhook. Setup takes about 20 minutes.

Is it worth the price?

A one-time price that never renews, against your evenings spent quoting. Live runs need a paid plan and your own AI provider key; Dry Run is free.

What should my pricing sheet look like?

One row per item or rule with a header row, e.g. Item, Size, Material, Base price, Per unit, Surcharge, Notes, plus a row for your rush rule (e.g. “Rush: under 14 days, +25%”). Column names can vary: the agent reads them from the header row.

And the capacity sheet?

One row per week: Week starting, Orders booked, Max orders (or Status: open / nearly full / full).

Can the AI get the total wrong?

Not in what you or your customer sees: after the AI prices the order, every line (quantity × price), the subtotal, the rush charge and the total are recalculated in code and written into the quote and the email. If the AI's math was off, the review screen shows what was corrected.

What should the form send?

A JSON POST with customer_name, email, item, size, materials, quantity, personalisation, deadline, reference_link and notes.

Is this a subscription?

No. Custom Order Quote Builder is a one-time purchase of $89 per workspace and never renews. The Enterprise plan includes it at no extra cost. Running it live needs a paid plan (from Basic ($39/mo)), and your AI provider bills you directly for usage.

Can I test it before it touches real data?

Yes. Once it's set up in your workspace, Dry Run plays every step on sample data with simulated AI and app calls: nothing is sent and nothing in your apps changes. Switch the trigger on only when you're happy.
