Sound familiar?
The job, before and after this agent.
What it feels like today
- “The tech shows up and the pets are loose and nothing's been moved.”
- “Customers ask the same re-entry question on every single job.”
- “The office spends afternoons making day-before reminder calls.”
What you get with the agent
- A prep email per service type, copying your instructions word for word: pets, clearing the area, water shut-off, re-entry time.
- Sent as soon as the job is booked, with an optional approval switch.
- A day-before reminder with the arrival window and the key prep steps.
- Jobs with no matching prep row held for a person, never guessed.
Before
The pest tech arrives at 10. Two cats roaming, furniture still against the walls. Reschedule, lost slot, unhappy customer.
After
The customer got your general pest prep email at booking and a reminder yesterday. Pets are shut away and the walls are clear.
How it works
The whole workflow, step by step.
Starts from each new row in your bookings sheet (service type, date, customer email). The agent reads your prep sheet and AI writes the prep email for that service — pets inside, clear the area, water shut-off, re-entry time after treatment — sends it straight away, then waits until the day before and sends a reminder with the arrival window. For pest control, carpet cleaning, painters, movers and pool openings. Safety and re-entry wording comes only from your prep sheet or product label text and is never invented; jobs with no matching prep row wait for a person. An approval switch is available. Jobs booked more than 30 days out get only the first email (waits last at most 30 days). It doesn't reschedule.

This is the workflow that opens in your workspace when you set the agent up. Every step can be edited.
- Step 1New booked jobStarts a run for each row added to your bookings sheet (customer, email, service type, date, arrival window), checked on your plan's schedule interval.
- Step 2Read your prep sheetReads your prep sheet: one row per service type with what the customer should do before the visit (pets inside, clear the area, water shut-off, re-entry time after treatment).
- Step 3Write the prep emailAI writes the prep email for this service using only your prep sheet's wording (safety and re-entry text is never invented), plus the day-before reminder with the arrival window.
- Step 4Check the visit dateIn code, not AI: works out the days to the visit in your time zone. Visits 2 to 30 days away get a reminder at 9:00 the day before; sooner or further out get only the first email. Change the window here (within.min / within.max) and the reminder time in add (remind_at).
- Step 5Approve first?Off by default: prep emails go out at once. Switch it on in your rules to approve every email; jobs with no matching prep row always wait.
- Step 6Check the prep emailA person checks the instructions against your prep sheet, edits if needed and approves.
- Step 7Not sentRejected: nothing was emailed.
- Step 8Email the prep instructionsSends the prep email now, with replies going to your office.
- Step 9Prep email sentThe run history keeps the email that was sent.
- Step 10Remind the day before?Decided in code: jobs 2 to 30 days away with a matching prep row get a reminder the day before; the rest get only the first email.
- Step 11No reminderThe job is too soon, more than 30 days away, has a date the check can't read or had no prep row.
- Step 12Wait until the day beforePauses the run until 9:00 the day before the visit (computed in code, at most 30 days).
- Step 13Email the day-before reminderReminds the customer of the arrival window and the key prep steps.
- Step 14RemindedThe run history keeps the reminder.

Example with fictional data
Comes in
Fictional booking: general pest, interior and exterior, Oct 20, 10 to 12 arrival window, two cats and a dog.
The agent produces
A prep email with your exact pet, clearing and re-entry steps from your prep sheet, then on Oct 19 a reminder with the 10 to 12 window.

FAQ
Questions about Pre-Visit Prep Instructions.
Could the AI invent safety instructions?
No. Safety and re-entry wording comes only from your prep sheet or product label text, copied word for word. Jobs without a matching row wait for a person.
What about jobs booked months out?
A wait lasts at most 30 days, so those jobs get the first email but no day-before reminder. It also doesn't reschedule jobs.
How long is setup?
About 15 minutes: connect Google Sheets, pick your bookings and prep sheets, write your scheduling rules, add your office inbox and Dry Run.
What does it cost?
A one-time unlock that never renews. Live runs need a paid plan and your own AI key; Dry Run is free.
What goes in the prep sheet?
One row per service type (e.g. General pest, Termite, Carpet cleaning, Interior painting) with the customer's preparation steps and any re-entry or drying time, in your own words or copied from the product label. The agent copies only this text.
What if a job is booked months ahead?
A Wait step lasts at most 30 days, so jobs more than 30 days out get the first email but no day-before reminder.
Does it reschedule?
No. The email says how to reschedule your way (call or reply).
How is the reminder timed?
In code, not by the AI: “Check the visit date” counts the days to the visit in your time zone. Visits 2 to 30 days away get the reminder at 9:00 the day before; change the window or the time on that step.
Is this a subscription?
No. Pre-Visit Prep Instructions is a one-time purchase of $69 per workspace and never renews. The Enterprise plan includes it at no extra cost. Running it live needs a paid plan (from Basic ($39/mo)), and your AI provider bills you directly for usage.
Can I test it before it touches real data?
Yes. Once it's set up in your workspace, Dry Run plays every step on sample data with simulated AI and app calls: nothing is sent and nothing in your apps changes. Switch the trigger on only when you're happy.
