Sound familiar?

The job, before and after this agent.

What it feels like today

  • “Retyping stops, PU numbers and rates into a rate con template for every load.”
  • “One wrong rate or missing stop on a rate con turns into a fight at invoice time.”
  • “I can never find which rate cons actually went out.”

What you get with the agent

  • A full rate con: broker and carrier, pickup and delivery with dates and references, equipment, commodity, weight, agreed rate and accessorials.
  • Your standard terms copied word for word.
  • Rows missing a carrier email, stop, date, equipment or rate sent back to your dispatch desk instead of guessed.
  • Dispatcher approval before each email to the carrier, Reply-to your dispatch inbox.
  • Every rate con sent logged in your sheet.

Before

Load booked at 2:10. The rate con goes at 2:45 after a copy-paste marathon, with last week's PU number still in it.

After

The booked row lands in the sheet, the rate con is drafted from it, the dispatcher checks and approves, and the carrier has it in their inbox.

How it works

The whole workflow, step by step.

Starts on each new row in your Booked loads sheet in Google Sheets. AI writes the rate confirmation: broker and carrier, pickup and delivery with dates and references, equipment, commodity, weight, the agreed rate and accessorials, and your standard terms word for word. Rows missing a carrier email, a stop, a date, the equipment or the rate are emailed back to your dispatch desk. A dispatcher approves or edits each rate con in Reviews before it's emailed to the carrier with Reply-to your dispatch inbox, and every one sent is logged in your sheet. It's an email, not a PDF, and there's no e-signature: the carrier replies to accept.

This is the workflow that opens in your workspace when you set the agent up. Every step can be edited.

  1. Step 1New booked loadStarts a run for each new row in your Booked loads sheet.
  2. Step 2Draft the rate confirmationAI writes the rate confirmation from the booked load (lane, stops, dates, equipment, rate, accessorials) and your standard terms, and checks nothing required is missing.
  3. Step 3Check the mathAdds up the carrier pay lines into the all-in rate in code — not by AI — writes the correct rate into the rate confirmation and flags anything the AI got wrong for the dispatcher.
  4. Step 4Anything missing?Loads missing a carrier email, a stop, a date, the equipment or the rate go back to your dispatch desk; complete ones go to review.
  5. Step 5Ask dispatch to complete the rowEmails your dispatch desk which details are missing from the booked load row.
  6. Step 6Sent back to dispatchThe run history keeps the load and what was missing.
  7. Step 7Approve the rate confirmationA dispatcher checks the rate con in Reviews against the booking, edits it if needed and approves it to email the carrier.
  8. Step 8Email it to the carrierSends the approved rate confirmation to the carrier's email from your workspace's sender, with replies going to your dispatch inbox.
  9. Step 9Log it in the rate con sheetAdds a row (sent at, load, carrier, MC, lane, pickup date, rate, carrier email) to your rate confirmation log tab.
  10. Step 10Rate con sentThe run history keeps the approved rate confirmation.
  11. Step 11Not sentRejected rate cons are kept in the run history; nothing was sent.
