Sound familiar?

The job, before and after this agent.

What it feels like today

  • “I write recaps at 9pm, or not at all.”
  • “Clients commit to things in session and forget by Thursday.”
  • “Sessions start with ten minutes of catching up.”

What you get with the agent

  • A recap with insights, dated commitments, homework and one question for next time, using only what was said.
  • Health topics kept out of anything the client receives and flagged privately for you.
  • Your approval on everything; the recap is then added to the client's Notion page and emailed.
  • An accountability check-in quoting their commitments 3 days later.
  • A prep prompt the day before the next session, when it's within 30 days.

Before

Great session at 4pm. By the time you write the recap it's 9:30pm, and the client has already forgotten half of it.

After

You post your notes and a recap, check-in and prep prompt are waiting for approval. Three days later the client gets a nudge on exactly what they committed to.

How it works

The whole workflow, step by step.

After each session, post your notes or transcript. AI writes the client's recap (insights, commitments with dates, homework and one question for next time), plus a short accountability check-in and a prep prompt, using only what was said. Health topics are kept out of everything the client receives and flagged privately for you. You approve and can edit it all. The recap is then added to the client's Notion page and emailed. Three days later the check-in quoting their commitments goes out, and the day before the next session the prep prompt follows. For business, career and life coaches. It drafts recaps for you to approve and is not therapy or clinical care. Sessions more than 30 days apart get no prep prompt, and it works from text only (it doesn't listen to recordings).

This is the workflow that opens in your workspace when you set the agent up. Every step can be edited.

  1. Step 1Session notesStarts when your session form (or note-taking tool via your own form) posts here: client, email, session date, notes or transcript, the next session date and the client's Notion page.
  2. Step 2Write the recapAI writes the recap (insights, commitments with dates, homework, one question for next time), plus the check-in for 3 days later and the prep prompt for the day before the next session. Health topics are kept out.
  3. Step 3Coach approves the recapThe coach reads the recap, the check-in and the prep prompt in Reviews (and any health note), edits them and approves. Reject to send nothing.
  4. Step 4Add it to the client's Notion pageAppends the approved recap to the client's page in Notion.
  5. Step 5Email the recapEmails the approved recap to the client, with replies to you.
  6. Step 6Wait 3 daysPauses for 3 days before the accountability check-in.
  7. Step 7Check-in timingIn code, not AI (after the wait): the check-in goes only when the next session is at least 3 days away or not set. Change the 3 here (within.min).
  8. Step 8Prep-prompt timingIn code, not AI: the prep prompt goes only when the next session is 2 to 30 days away (a run can wait at most 30 days), at 09:00 the day before it. Change the hour (add.time) or set your time zone (timezone, e.g. Europe/London; UTC otherwise) here.
  9. Step 9Send the check-in?In code: there is an approved check-in text (no commitments = no check-in), no placeholders are left, and the timing check passed.
  10. Step 10Send the prep prompt? In code: there is an approved prep text with no placeholders left, and the next session is 2–30 days away.
  11. Step 11Which follow-ups?Sends the check-in and/or schedules the prep prompt, from the checks in code.
  12. Step 12No follow-upsNo check-in text (or the next session is under 3 days away) and no next session 2–30 days away.
  13. Step 13Send the check-inSends the approved accountability check-in (no prep prompt: the next session is too far off or not set).
  14. Step 14Check-in sentThe run history keeps the recap and the check-in.
  15. Step 15Send the check-inSends the approved accountability check-in quoting the client's commitments.
  16. Step 16Until the day before the next sessionWaits until 09:00 the day before the next session (computed in code in “Prep-prompt timing”).
  17. Step 17Send the prep promptSends the approved prep prompt the day before the next session.
  18. Step 18Follow-ups sentThe run history keeps the recap, the check-in and the prep prompt.

Example run

What goes in, and what comes out.

Example with fictional data

Comes in

Fictional notes: a new manager of five commits to a delegation walkthrough with a teammate by Thursday and to blocking focus time; next session in two weeks.

The agent produces

A recap with both commitments dated, a reflection question, a day-3 check-in asking how the walkthrough went, and a prep prompt for the day before the next session.

What you need

Everything it takes to run it.

About 15 minutes from purchase to live. A checklist above the canvas takes you through each step.

Plan

Included in Enterprise; on other paid plans it's $89 once. Agents run live on paid plans, from Basic ($39/mo).

Your AI key

Connect any of 14 AI providers on your own key. Your provider bills usage directly, at cost; we add no markup.

Apps

Checklist

  • A paid plan (agents run live on paid plans).
  • An AI provider key (Settings → AI Providers).
  • Notion, connected in Settings → Integrations, with a page per client shared with Fluxo Flow.
  • A session form (or your own tool) that can post JSON to a webhook.

Setup, about 15 minutes

  1. Connect your AI provider. The AI steps run on your own key (OpenAI, Anthropic, Google and more). Add one in Settings → AI Providers.
  2. Connect Notion. Connect Notion and share your clients' pages (or their parent page) with the Fluxo Flow integration (Settings → Integrations → Notion).
  3. Add your coaching details. Open “Write the recap” and replace the placeholder with your practice, tone and sign-off. Set the prep-prompt hour and your time zone in “Prep-prompt timing”.
  4. Pick your Notion account. Open “Add it to the client's Notion page” and pick the account.
  5. Add your reply-to address. Open each email step and enter the address clients' replies should go to.
  6. Test it with Dry Run. Press Dry Run: the agent runs on sample data with no messages sent and nothing written to your apps.
  7. Switch the trigger on. Open the trigger, switch the webhook on and copy its URL and secret into your session form.

Is it a fit?

Who it's for, and what it won't do.

Built for

  • Business and executive coaches
  • Career and leadership coaches
  • Life coaches running recurring sessions

What it doesn't do

  • It drafts and organises recaps for you to approve; it makes no medical, legal or eligibility decision and is not therapy or clinical care. Health topics are kept out of the recap and flagged for you.
  • It never adds advice or commitments the client didn't make.
  • Sessions more than 30 days apart get no prep prompt (a Wait step pauses for at most 30 days). Waits need migration 0062 in your workspace.
  • It works from text only (not recordings) and isn't Meeting Notes Agent (internal team notes).

We list the limits up front so you can decide before you buy.

FAQ

Questions about Coaching Session Recap & Accountability.

Is this therapy or clinical care?

No. It drafts recaps for you to approve and isn't therapy or clinical care. Health topics stay out and are flagged privately, with any sign of risk noted first.

Will it put words in my client's mouth?

It never adds advice or commitments the client didn't make, and you approve every message before it goes.

How long is setup?

About 15 minutes: connect Notion, add your coaching details and reply-to address, then Dry Run. It works from text notes or transcripts, not recordings.

What does it cost?

A one-time unlock that never renews. Live runs need a paid plan and your own AI key; Dry Run is free.

What should the session form send?

A JSON POST with client_name, client_email, coach_name, session_date, next_session_date, notes (your notes or a transcript) and client_notion_page (the link of the client's page in Notion, shared with Fluxo Flow).

What happens to health topics?

They're kept out of the recap, check-in, prep prompt and Notion page, and you get a private note in Reviews. If anything suggests someone may be at risk, the note says so first so you can follow your own safety procedure.

What if the next session is weeks away?

A Wait step can pause for at most 30 days, so sessions more than 30 days apart get the recap and the check-in but no prep prompt.

How are the follow-up dates worked out?

In code, not by the AI: after the 3-day wait, the check-in goes when the next session is at least 3 days away (or not set), and the prep prompt is scheduled for 09:00 the day before a session 2–30 days away. Change the hour and time zone in “Prep-prompt timing”.

Is this a subscription?

No. Coaching Session Recap & Accountability is a one-time purchase of $89 per workspace and never renews. The Enterprise plan includes it at no extra cost. Running it live needs a paid plan (from Basic ($39/mo)), and your AI provider bills you directly for usage.

Can I test it before it touches real data?

Yes. Once it's set up in your workspace, Dry Run plays every step on sample data with simulated AI and app calls: nothing is sent and nothing in your apps changes. Switch the trigger on only when you're happy.
