Sound familiar?

The job, before and after this agent.

What it feels like today

  • “Proposals take days, and by then the client's enthusiasm has cooled.”
  • “Everyone on the team prices the same service differently.”
  • “Every SOW starts as a copy of an old one, with leftovers nobody catches.”

What you get with the agent

  • Starts the moment a deal enters your Proposal stage in HubSpot.
  • Overview, objectives, scope, deliverables, timeline, assumptions, exclusions and your terms.
  • Fees only from your Notion rate card, estimates marked; every line and the total recalculated in code, not by the AI.
  • Open questions for the client, and a flag when the fees differ from the deal amount.
  • A draft page in your Notion Proposals database with the link posted to Slack; the deal owner edits and sends.

Before

Great discovery call on Tuesday. The proposal goes out the following Wednesday after a rewrite of last quarter's SOW.

After

Move the deal to Proposal and a priced draft is in Notion with the open questions listed. You edit and send it the same day.

How it works

The whole workflow, step by step.

When a deal enters your Proposal stage in HubSpot, the agent reads the deal's description and next step, its contacts and company, and your service catalogue and rate card from a Notion database. AI drafts a proposal and statement of work: overview, objectives, scope, deliverables, timeline, fees with estimates marked, assumptions, exclusions, open questions and your terms. It uses only your services and rates, and every fee line and the fee total are recalculated in code, never by the AI, before the draft is saved. The draft is created as a page in your Notion Proposals database and the link is posted to your Slack channel. The deal owner edits it and sends it; the agent never contacts the client. It's only as good as the deal notes, and it's not a contract.

This is the workflow that opens in your workspace when you set the agent up. Every step can be edited.

  1. Step 1Deal enters your Proposal stageStarts a run when a HubSpot deal moves into the stage you pick (your Proposal stage). Checked on your plan's schedule interval.
  2. Step 2Read the dealReads the deal's description, next step, amount, close date and type from HubSpot: the scope notes the proposal is built from.
  3. Step 3Read the deal's contactsFinds the contacts associated with the deal (names, job titles, emails).
  4. Step 4Read the client's companyFinds the company associated with the deal (name, industry, size, location).
  5. Step 5Read your service catalogueReads your service catalogue and rate card from a Notion database: one row per service with its description, deliverables, rate and unit.
  6. Step 6Read today's date and the close dateIn code, not AI: today in your time zone and the deal's expected close date in long form, so the draft never works dates out itself.
  7. Step 7Draft the proposal and SOWAI drafts the proposal and statement of work from the deal notes and your service catalogue: scope, deliverables, timeline, fees from your rates (estimates marked), assumptions, exclusions and open questions.
  8. Step 8Check the mathRecalculates every fee line (quantity × rate), the fee total and the % difference from the deal amount in code — not by AI — writes the correct figures into the Notion draft and the Slack post, and notes anything the AI got wrong.
  9. Step 9Create the draft in NotionCreates a page in your Proposals database with the full draft, ready for the deal owner to edit.
  10. Step 10Post the link in SlackPosts the Notion link, the fee total, open questions and the confidence to your proposals channel so the deal owner can pick it up.
  11. Step 11Draft readyThe run history keeps the deal data, the catalogue rows used and the draft.

What goes in, and what comes out.

Example with fictional data

Comes in

Fictional deal: Harlow Foods finance process review, $18,000; notes ask for a process map, recommendations and help choosing an AP tool.

The agent produces

A draft SOW with workstreams for each ask, fees from your rate card (math checked in code), a flag if the total differs from the deal amount, and questions such as which sites are in scope.

Apps

Checklist

  • A paid plan (agents run live on paid plans).
  • An AI provider key (Settings → AI Providers).
  • HubSpot, Notion and Slack, connected in Settings → Integrations.
  • Your service catalogue and rate card as a Notion database, a Notion Proposals database, and scope notes in the deal's description or next step.

Setup, about 30 minutes

  1. Connect your AI provider. The AI steps run on your own key (OpenAI, Anthropic, Google and more). Add one in Settings → AI Providers.
  2. Connect HubSpot. Connect the HubSpot account your deals are in (Settings → Integrations → HubSpot).
  3. Connect Notion. Connect Notion and share your service catalogue and Proposals databases with the Fluxo Flow integration.
  4. Connect Slack. Connect the Slack workspace your team uses (Settings → Integrations → Slack).
  5. Pick the deals that start it. Open the trigger, pick your HubSpot account, the pipeline and your Proposal stage.
  6. Pick HubSpot for the reads. Open “Read the deal”, “Read the deal's contacts” and “Read the client's company” and pick your HubSpot account in each.
  7. Point it at your rate card. Open “Read your service catalogue”, pick your Notion account and the catalogue database.
  8. Add your terms and structure. Open “Draft the proposal and SOW” and replace the placeholder with your firm details, terms, assumptions and exclusions.
  9. Pick where drafts go. Open “Create the draft in Notion” and pick your Proposals database, then “Post the link in Slack” and pick the channel.
  10. Test it with Dry Run. Press Dry Run: the agent runs on sample data with no messages sent and nothing written to your apps.
  11. Switch the trigger on. Open the trigger and press “Activate app trigger”: from then on each deal entering your Proposal stage gets a draft.

Is it a fit?

Who it's for, and what it won't do.

Built for

  • Consultancies and agencies
  • Fractional executives and advisors
  • Professional services firms on HubSpot

What it doesn't do

  • It never sends anything to the client: the deal owner edits and sends the proposal.
  • It's only as good as the deal notes. It reads the deal's description and next step fields, not its emails, calls or timeline notes.
  • It's not a contract and adds no legal terms beyond your own (pair it with Deal → Contract Sender for contracts).
  • It uses only your catalogue's rates and never invents prices or discounts. Quantities not stated in the deal are marked as estimates.
  • It doesn't DM the deal owner: the link goes to the Slack channel you pick.

We list the limits up front so you can decide before you buy.

FAQ

Questions about Proposal & SOW Drafter.

Does it send proposals to clients?

Never. The deal owner edits and sends. It's not a contract and adds no legal terms beyond your own.

Will it invent prices?

No. It uses only your catalogue's rates, and quantities not stated in the deal are marked as estimates. It's only as good as the deal's description and next-step notes.

How long is setup?

About 30 minutes: connect HubSpot, Notion and Slack, pick the stage, point it at your rate card, add your terms and structure, then Dry Run.

What does it cost?

A one-time unlock that never renews. Live runs need a paid plan and your own AI key; Dry Run is free.

What should the service catalogue look like?

A Notion database with one row per service: Name, Description, Deliverables, Rate, Unit (hour, day, month, fixed) and Typical quantity. Share it with the Fluxo Flow integration. Keep it to about 50 services so the draft stays fast and affordable.

Can the AI get the fees wrong?

Not the arithmetic: after the AI drafts, every fee line (quantity × rate), the fee total and the % difference from the deal amount are recalculated in code and written into the Notion draft and the Slack post, and the Slack post says what was corrected. The rates and quantities it picked are still for the deal owner to review.

Does it read the deal's emails and timeline notes?

No. It reads the deal's description and next step fields plus its contacts and company. Write the scope notes there before moving the deal to Proposal.

Does it send the proposal or a contract?

No. It creates a draft in Notion for the deal owner to edit and send. For contracts, pair it with Deal → Contract Sender.

Is this a subscription?

No. Proposal & SOW Drafter is a one-time purchase of $149 per workspace and never renews. The Enterprise plan includes it at no extra cost. Running it live needs a paid plan (from Basic ($39/mo)), and your AI provider bills you directly for usage.

Can I test it before it touches real data?

Yes. Once it's set up in your workspace, Dry Run plays every step on sample data with simulated AI and app calls: nothing is sent and nothing in your apps changes. Switch the trigger on only when you're happy.
