Sound familiar?
The job, before and after this agent.
What it feels like today
- “We paid for another year of software because the cancellation window slipped past.”
- “The renewal date is easy to track; the notice deadline before it isn't.”
- “Finance has no single view of what's renewing and what it costs.”
What you get with the agent
- A weekly read of your Notion contracts database, up to 100 contracts.
- Each notice deadline worked out (end date minus notice days) with the math shown.
- A Slack DM to the owner at 60, 30 and 7 days and when a deadline passes, with options to weigh and questions to answer.
- The next step written into the contract's “Next action” property in Notion; each window alerts once, never every Monday.
- A weekly finance summary of deadlines in the next 90 days, with values, owners alerted and contracts missing data.
Before
An invoice for another year of a tool you stopped using arrives. The contract had a 60-day notice period, and the window closed last month while nobody was looking.
After
Two months ahead, the owner gets a Slack DM: notice deadline in 60 days, here's the math, here's what to decide. Finance sees it in the weekly summary. You renegotiate or cancel on time.
How it works
The whole workflow, step by step.
Every Monday the agent reads your Notion contracts database (up to 100 contracts). The notice deadline (end date minus notice days, or the end date when it doesn't auto-renew) comes from a Notion formula, and the days to it are counted in code, never by the AI. When a contract enters the 60, 30 or 7-day window, or its deadline passes, the owner gets a Slack DM with the deadline, the options to weigh and the questions to answer, and the next step is written into the contract's “Next action” property. It remembers each alert for a year, so every window alerts once, never every Monday. Finance gets a weekly summary of deadlines in the next 90 days, owners alerted and contracts missing data. It drafts and organises alerts for a person to decide and makes no legal decision. It reads only the dates you typed in, not contract PDFs, and never sends cancellation notices.

This is the workflow that opens in your workspace when you set the agent up. Every step can be edited.
- Step 1Every Monday at 8:00Runs every Monday morning. Set your time zone on the trigger.
- Step 2Read your contracts databaseQueries your Notion contracts database (up to 100 contracts): the other party, end date, auto-renew, notice days, owner, annual value and status.
- Step 3Check the notice deadlinesIn code, not AI: reads each contract's notice deadline (your “Notice deadline” formula property — without one, the end date) in your time zone and keeps only contracts in the 60-, 30- or 7-day window, or whose deadline has passed while the contract still runs. Change the windows here (the deadline rule's buckets).
- Step 4Each contract in a windowChecks every contract the date check kept (up to 100 per run).
- Step 5Already alerted for this window?Recalls the last alert sent for this contract (its window and notice deadline), so each window alerts only once.
- Step 6Write the owner's alertThe deadline and its window were worked out in code. AI checks the contract's status and owner, skips windows already alerted, and writes the owner's alert with the options to weigh and the questions to ask.
- Step 7New window?Only contracts entering a new 60 / 30 / 7-day window (or whose notice deadline just passed) alert their owner.
- Step 8No alert this weekAlready alerted for this window, ended or missing an owner email (listed in the finance summary).
- Step 9Find the owner in SlackLooks up the contract owner's Slack account by their email address.
- Step 10DM the ownerSends the owner a direct message: the deadline, the options to weigh and the questions to answer, with the Notion link.
- Step 11Update “Next action” in NotionWrites the next step and its date into the contract's “Next action” property.
- Step 12Remember this alertRemembers the window and notice deadline just alerted (for a year), so the same window isn't alerted again next Monday.
- Step 13Count this week's alertsIn code, not AI: lists the owners really alerted this week (the DM ran), the contracts in a window that weren't alerted and why, and any that failed (e.g. owner not found in Slack).
- Step 14Find deadlines in the next 90 daysIn code, not AI: keeps the contracts whose notice deadline is in the next 90 days (and that are still running), soonest-first facts for the finance summary.
- Step 15Write the finance summaryAI lists every contract with a notice deadline in the next 90 days (found in code) with its value, auto-renew and owner. This week's alerts are counted in code and added below it.
- Step 16Check the mathRecalculates the total value of the contracts due in the next 90 days in code — not by AI — writes it into the finance summary, and flags it when the AI's total was wrong.
- Step 17Post the summary to financePosts the renewals summary to your finance channel, with this week's alerts as counted in code.
- Step 18Week doneThe run history keeps every contract's check, the alerts and the summary.

Example with fictional data
Comes in
Fictional contract in Notion: “Helio Analytics platform”, ends Dec 31, auto-renews, 60 days' notice, $14,400 a year, owner: the head of data.
The agent produces
Notice deadline Nov 1 (Dec 31 minus 60 days), 60-day window reached. Owner DMed with options (renew, renegotiate, cancel) and 3 questions. Next action written to Notion; listed in the finance summary.
What you need
Everything it takes to run it.
About 15 minutes from purchase to live. A checklist above the canvas takes you through each step.
Plan
Included in Enterprise; on other paid plans it's $89 once. Agents run live on paid plans, from Basic ($39/mo).
Your AI key
Connect any of 14 AI providers on your own key. Your provider bills usage directly, at cost; we add no markup.
Checklist
- A paid plan (agents run live on paid plans).
- An AI provider key (Settings → AI Providers).
- Notion and Slack, connected in Settings → Integrations.
- A Notion contracts database with end dates, auto-renew, notice days, a “Notice deadline” formula and owner emails (plus a “Next action” text property).
Setup, about 15 minutes
- Connect your AI provider. The AI steps run on your own key (OpenAI, Anthropic, Google and more). Add one in Settings → AI Providers.
- Connect Notion. Connect Notion and share your contracts database with the Fluxo Flow integration (Settings → Integrations → Notion).
- Connect Slack. Connect the Slack workspace your contract owners and finance team use (Settings → Integrations → Slack).
- Describe your contracts database. Add the “Notice deadline” formula property to your database (see the FAQ), then open “Write the owner's alert” and “Write the finance summary” and replace the placeholder with your property names, ended statuses and currency. The 60 / 30 / 7-day windows are set in “Check the notice deadlines”.
- Pick the contracts database. Open “Read your contracts database” and “Update Next action in Notion” and pick your account and database.
- Pick Slack and the finance channel. Open “Find the owner in Slack”, “DM the owner” and “Post the summary to finance” and pick the account (and the finance channel).
- Test it with Dry Run. Press Dry Run: the agent runs on sample data with no messages sent and nothing written to your apps.
- Switch the trigger on. Open the trigger, set your time zone (deadline days are counted in it) and switch the schedule on. It runs every Monday at 8:00.
Is it a fit?
Who it's for, and what it won't do.
Built for
- Finance and operations leads
- Procurement teams at growing companies
- IT managers tracking software subscriptions
- Founders who sign vendor contracts themselves
What it doesn't do
- It drafts and organises alerts for a person to decide; it makes no legal decision and is not legal advice.
- It reads only the dates and fields you typed into Notion and doesn't read contract PDFs or clauses.
- It never sends cancellation or renewal notices to vendors and never decides to renew or cancel.
- Owners without a Slack account matching their email can't be DMed; they're listed in the finance summary.
We list the limits up front so you can decide before you buy.

FAQ
Questions about Contract & Vendor Renewal Watcher.
Does it make legal decisions or cancel contracts?
No. It organizes deadlines and alerts for a person to decide, isn't legal advice and never sends cancellation or renewal notices to vendors.
Does it read the contract PDFs?
No. It works from the dates and fields in your Notion database: end date, auto-renew, notice days and owner email. Owners without a matching Slack account are listed in the finance summary instead.
How long is setup?
About 15 minutes with Notion and Slack connected and a contracts database. To run it live you need a paid plan and your own AI provider key (OpenAI, Anthropic, Google and others), added in Settings. Dry Run on sample data is free, so you can see real output before you commit.
Is it worth the price?
It's a one-time purchase that never renews. A single unwanted auto-renewal usually costs more.
What should the contracts database look like?
One page per contract with properties like Name (title), Counterparty (text), End date (date), Auto-renew (checkbox), Notice days (number), Notice deadline (formula), Owner email (email), Annual value (number), Status (select), Next action (text). Names can differ: describe them in the setup text. The “Next action” property must exist (text) for the agent to write to it. Share the database with Fluxo Flow (••• → Connections).
How is the notice deadline worked out?
In code, never by the AI. Add a formula property named “Notice deadline” to the database: if(prop("Auto-renew") and not empty(prop("Notice days")), dateSubtract(prop("End date"), prop("Notice days"), "days"), prop("End date")) — Notion then computes end date minus notice days (or the end date when it doesn't auto-renew), and “Check the notice deadlines” counts the days to it in your trigger's time zone. Without that property the end date is used as the decide-by date. To change the 60 / 30 / 7-day windows, open “Check the notice deadlines” and edit the buckets.
How often will an owner be alerted?
Once when the notice deadline is 60 days away, once at 30 and once at 7 — plus once if the deadline passes. The agent remembers each alert for a year, so a Monday run never repeats the same window. Change the end date or notice days and the new deadline is alerted afresh.
Does it read the contract itself?
No. It works only from the dates and fields in your database, doesn't open PDFs, isn't legal advice and never sends a cancellation or renewal notice.
Is this a subscription?
No. Contract & Vendor Renewal Watcher is a one-time purchase of $89 per workspace and never renews. The Enterprise plan includes it at no extra cost. Running it live needs a paid plan (from Basic ($39/mo)), and your AI provider bills you directly for usage.
Can I test it before it touches real data?
Yes. Once it's set up in your workspace, Dry Run plays every step on sample data with simulated AI and app calls: nothing is sent and nothing in your apps changes. Switch the trigger on only when you're happy.
