Sound familiar?
The job, before and after this agent.
What it feels like today
- “We mean to thank loyal customers, but nobody tracks when they joined.”
- “Our best accounts only hear from us when there's an invoice or an upsell.”
- “Writing personal notes by hand doesn't scale past a few customers.”
What you get with the agent
- Today's anniversaries found from your customers sheet for the milestones you choose, skipping cancelled customers
- A short, personal thank-you naming the milestone and one real stat from your sheet, with no upsell
- Notes emailed automatically (up to 25 a day), or held for approval when you switch review on
- A daily Slack list of anniversaries and the top accounts worth a call or a small gift
Before
A customer's fifth year with you passes without a word, because the start date lives in a spreadsheet nobody checks.
After
That morning they get a note naming the milestone and how much they've done with you this year, and the account owner gets a Slack nudge to call.
How it works
The whole workflow, step by step.
Every morning the agent reads your customers sheet and finds, in code, the customers whose start-date anniversary is today, for the milestones you celebrate (for example 1, 2, 3, 5 and 10 years). Each gets a short, personal thank-you naming the milestone and one stat from your sheet, such as orders this year, with no upsell. Notes go out automatically (up to 25 a day), or after approval if you switch review on. Your customer success channel in Slack gets the day's list and the top accounts worth a call or a small gift. It sends no gifts and makes no offers, and it uses only what's in the sheet.

This is the workflow that opens in your workspace when you set the agent up. Every step can be edited.
- Step 1Every day at 9:00Runs every morning. Set your time zone on the trigger: “today” is counted in that zone.
- Step 2Read your customersReads your customers tab: name, email, company, start date, plan, account owner and one stat (e.g. orders this year).
- Step 3Find today's anniversariesIn code, not AI: keeps only the customers whose start-date anniversary is today in your time zone (29 February counts on 28 February in other years) and works out how many years it is.
- Step 4Write the anniversary notesAI keeps the anniversaries that are milestones you celebrate (the years were counted in code) and writes each a short personal thank-you naming the milestone and their stat.
- Step 5Anything today? No anniversaries: nothing happens. Review off (the default): the notes are sent. Review on: they're approved first.
- Step 6No anniversaries todayNothing to send today.
- Step 7Approve today's notesWith review on, today's notes wait in Reviews: edit any, remove any, then approve.
- Step 8Each noteEmails every anniversary note (up to 25 a day).
- Step 9Email the thank-youSends the note from your workspace's sender, with replies to the account owner or your team inbox.
- Step 10Count the emails sentIn code, not AI: lists which thank-you emails really went out and which failed.
- Step 11Tell the team in SlackPosts today's anniversaries, the top accounts worth a call or a small gift and the emails sent (counted in code) to your customer success channel.
- Step 12Notes sentThe run history keeps today's notes and the Slack post.

Example with fictional data
Comes in
Morning run reads the sheet: a fictional customer, Harbor Bakery, started 3 years ago today and placed 42 orders this year.
The agent produces
A short email thanks Harbor Bakery for three years and mentions their 42 orders this year. Slack lists them as a top account worth a call.

FAQ
Questions about Customer Anniversary Notes.
What if a note says something odd?
It uses only what's in your sheet and makes no offers. If you want to check every note, switch review on and each day's notes wait in Reviews. Dry Run shows a sample note first.
What does my sheet need?
One row per customer with name, email, company, start date and ideally a stat column such as orders this year. Column names can vary; you describe them during the 10-minute setup.
Does it send gifts?
No. It suggests which top accounts deserve a call or a small gift, and the owner decides.
Is it worth it?
It's a one-time purchase that never renews, for a habit most teams intend and never keep up. It runs on a paid plan with your own AI key; Dry Run is free.
What should the customers sheet have?
One row per customer: Name, Email, Company, Start date, Plan, Owner, a stat column (e.g. Orders this year) and optionally Status. Column names can vary; the date check looks for a start date (or “customer since”) column. Dates like 2023-10-13, 10/13/2023 or October 13, 2023 all work.
How are anniversaries found?
In code, not by the AI: each morning “Find today's anniversaries” compares every start date with today's date in your trigger's time zone and counts the years. Customers who started on 29 February are celebrated on 28 February in other years.
Can I check notes before they go?
Yes. Change “REVIEW EVERY NOTE: no” to yes and each day's notes wait in Reviews.
Is this a subscription?
No. Customer Anniversary Notes is a one-time purchase of $59 per workspace and never renews. The Enterprise plan includes it at no extra cost. Running it live needs a paid plan (from Basic ($39/mo)), and your AI provider bills you directly for usage.
Can I test it before it touches real data?
Yes. Once it's set up in your workspace, Dry Run plays every step on sample data with simulated AI and app calls: nothing is sent and nothing in your apps changes. Switch the trigger on only when you're happy.
