Sound familiar?

The job, before and after this agent.

What it feels like today

  • “I write the same gallery delivery email from scratch for every client.”
  • “Clients download the files and never order prints because nobody reminds them.”
  • “Galleries expire and clients email me upset that they missed the deadline.”

What you get with the agent

  • A delivery email the moment a session is set to Gallery delivered: the link, how to pick favorites and download, the expiry date and your print and album offers.
  • You approve it first unless you switch approval off; the page is ticked so it never goes twice.
  • Ten days later it checks Notion again and stops if you've ticked Ordered.
  • Otherwise a friendly reminder with the expiry date, a print line, your review link and your referral offer.

Before

You paste the gallery link into a quick email between edits, forget the print offer, and never follow up.

After

You change one Notion status. The client gets a warm delivery email with your album offer, and ten days later a gentle reminder with your review link, unless they've already ordered.

How it works

The whole workflow, step by step.

The agent watches your Notion Sessions database. When you set a session to “Gallery delivered”, AI writes the delivery email: the gallery link, how to pick favourites and download, the expiry date and your print and album offers exactly as you list them. You approve it first unless your rules switch approval off. It's sent with replies to your studio inbox, and the page is ticked “Delivery email sent” so it never goes twice. Ten days later the agent reads the page again: if you've ticked “Ordered”, it stops; otherwise the client gets a friendly reminder with the expiry date, your review link and your referral line. Gallery platforms (Pixieset, ShootProof) aren't connected: you paste the link and tick “Ordered” in Notion. Galleries expiring within about two weeks get only the first email.

This is the workflow that opens in your workspace when you set the agent up. Every step can be edited.

  1. Step 1Session page updated in NotionStarts when a page in your Notion Sessions database is added or edited (checked on your plan's schedule interval). Only pages just set to “Gallery delivered” get an email.
  2. Step 2Delivered? Write the delivery emailAI checks the page is marked “Gallery delivered” and hasn't been emailed yet, then writes the delivery email (how to pick favourites and download, your print and album offers) and the reminder for later. Whether there's time for the reminder is worked out in code after approval.
  3. Step 3Send it?Pages that aren't newly delivered are left alone; delivery emails wait for your approval unless your rules say otherwise.
  4. Step 4Not a new deliveryThe page edit wasn't a new “Gallery delivered”; nothing was sent.
  5. Step 5Approve the delivery emailYou check the delivery email and the 10-day reminder in Reviews, edit them and approve.
  6. Step 6Check the gallery expiryIn code, not AI: reads the page's “Gallery expires” date and keeps the 10-day reminder only when the gallery is still open at least 14 days from today (no expiry date = reminder kept). Change the 14 here (within.min).
  7. Step 7Reminder later?Galleries expiring in under 14 days (worked out in code) get only the delivery email; the rest also get a reminder 10 days later.
  8. Step 8Email the gallerySends the delivery email, with replies coming back to your studio inbox.
  9. Step 9Tick “Delivery email sent”Ticks the checkbox on the session page so later edits don't send it again.
  10. Step 10Delivered (no reminder)The gallery expires in under 14 days (or you switched the reminder off); the date check's reason is in the run history.
  11. Step 11Email the gallerySends the delivery email, with replies coming back to your studio inbox.
  12. Step 12Tick “Delivery email sent”Ticks the checkbox on the session page so later edits don't send it again.
  13. Step 13Wait 10 daysPauses the run for 10 days; it resumes on its own (Dry Run doesn't wait).
  14. Step 14Read the session page againReads the page from Notion to see whether the client has ordered (the “Ordered” checkbox you tick).
  15. Step 15Ordered already? When “Ordered” is ticked, no reminder is sent.
  16. Step 16Ordered — no reminderThe client has ordered; nothing more was sent.
  17. Step 17Email the reminderSends the gallery reminder (expiry, prints, review link and referral line).
  18. Step 18Reminder sentThe run history keeps both emails.

Example run

What goes in, and what comes out.

Example with fictional data

Comes in

Notion session Sofia and Ben engagement set to Gallery delivered, gallery link pasted, expires December 15.

The agent produces

Delivery email: congratulations, the gallery link, how to favorite and download, the December 15 expiry and your fine-art print and album offers. Approved, sent, page ticked. Ten days later, Ordered isn't ticked, so a short reminder goes out with your review link and referral line.

What you need

Everything it takes to run it.

About 15 minutes from purchase to live. A checklist above the canvas takes you through each step.

Plan

Included in Enterprise; on other paid plans it's $69 once. Agents run live on paid plans, from Basic ($39/mo).

Your AI key

Connect any of 14 AI providers on your own key. Your provider bills usage directly, at cost; we add no markup.

Apps

Checklist

  • A paid plan (agents run live on paid plans; the 10-day wait also needs the Wait step enabled on your workspace).
  • An AI provider key (Settings → AI Providers).
  • Notion, connected in Settings → Integrations, with a Sessions database that has the listed properties.

Setup, about 15 minutes

  1. Connect your AI provider. The AI steps run on your own key (OpenAI, Anthropic, Google and more). Add one in Settings → AI Providers.
  2. Connect Notion. Connect Notion and share your Sessions database with the Fluxo Flow integration (Settings → Integrations → Notion).
  3. Pick your Sessions database. Open the trigger and pick your Notion account and Sessions database.
  4. Add your studio details. Open “Delivered? Write the delivery email” and replace the placeholder with your studio details and offers.
  5. Pick the Notion account for the other steps. Open both “Tick “Delivery email sent”” steps and “Read the session page again” and pick the same Notion account.
  6. Add your studio inbox. Open the three email steps and enter the address replies should go to.
  7. Test it with Dry Run. Press Dry Run: the agent runs on sample data with no messages sent and nothing written to your apps.
  8. Switch the trigger on. Open the trigger and press “Activate app trigger”: from then on, setting a session to “Gallery delivered” sends the email. Pages edited before activation are skipped.

Is it a fit?

Who it's for, and what it won't do.

Built for

  • Wedding and family photographers
  • Portrait and newborn studios
  • Event photographers selling prints

What it doesn't do

  • Gallery platforms (Pixieset, ShootProof) aren't connectors: you paste the link and expiry into Notion and tick “Ordered” yourself.
  • Galleries expiring in under 14 days get only the first email (a reminder would come too late); expiry dates it can't read count the same.
  • It doesn't take orders or payments and never invents offers or discounts.

We list the limits up front so you can decide before you buy.

FAQ

Questions about Gallery Delivery & Print Follow-Up.

Does it connect to Pixieset or ShootProof?

No, gallery platforms aren't connected. You paste the gallery link and expiry into Notion and tick Ordered when the client orders.

Will it email a client twice?

No. After sending, it ticks Delivery email sent on the page and skips pages where it's ticked. Galleries expiring within about two weeks get only the first email.

What do I need?

Notion with a Sessions database that has the listed properties. Setup takes about 15 minutes, and the 10-day wait needs the Wait step enabled on your workspace.

Is it worth the price?

A one-time price that never renews. A single extra album order can cover it. Live runs need a paid plan and your own AI provider key.

Will it email twice if I edit the page again?

No. After sending it ticks “Delivery email sent” on the page and skips pages where it's ticked.

What Notion database do I need?

A Sessions database with the properties Name (title), Status (select with a Gallery delivered option), Client email (email), Gallery link (url), Gallery expires (date), Ordered (checkbox), Delivery email sent (checkbox), shared with the Fluxo Flow integration.

Is this a subscription?

No. Gallery Delivery & Print Follow-Up is a one-time purchase of $69 per workspace and never renews. The Enterprise plan includes it at no extra cost. Running it live needs a paid plan (from Basic ($39/mo)), and your AI provider bills you directly for usage.

Can I test it before it touches real data?

Yes. Once it's set up in your workspace, Dry Run plays every step on sample data with simulated AI and app calls: nothing is sent and nothing in your apps changes. Switch the trigger on only when you're happy.
