Sound familiar?
The job, before and after this agent.
What it feels like today
- “Regulars forget to rebook and show up matted two months later.”
- “Our groomers have gaps in the calendar that we could have filled.”
- “Calling every client to remind them just isn't happening.”
What you get with the agent
- Every Tuesday, reads your grooming clients sheet and finds pets due within 10 days based on last groom and usual interval.
- Skips anyone who opted out, already rebooked or was nudged recently.
- Writes each owner a short nudge with the pet's name, their groomer, the usual service and your booking link.
- You remove anyone who's booked and approve the batch once; each nudge is emailed and its row marked “Nudged”.
Before
You mean to call regulars who are due, but the shop is busy. Bella's owner remembers three weeks late, and Thursday has two empty slots.
After
Tuesday morning you approve 14 friendly nudges in one go. Bella's owner books Thursday with her usual groomer.
How it works
The whole workflow, step by step.
Every Tuesday the agent reads your grooming clients sheet (pet, last groom, usual interval, groomer, email, opted out, rebooked). AI picks the pets due within 10 days that haven't opted out, rebooked or been nudged recently, and writes each owner a short personal nudge with the pet's name, their groomer, the usual service and your booking link. The salon approves the batch once; each nudge is emailed and its row marked. It drafts for a person to approve and never comments on a pet's health. Email only (an SMS version can follow with Twilio and consent). It can't see bookings made since the last export, so mark “rebooked” in the sheet.

This is the workflow that opens in your workspace when you set the agent up. Every step can be edited.
- Step 1Every Tuesday at 9:00Runs once a week. Set your time zone on the trigger: “today” and the 10-day window are counted in that zone.
- Step 2Read your clients sheetReads your grooming clients tab: pet, owner, email, last groom, usual interval, groomer, usual service, opted out, rebooked and the agent's status column.
- Step 3Check the groom and nudge datesIn code, not AI: reads each pet's last groom date (as an exact date for the AI) and leaves out clients nudged in the last 21 days. Change the gap here (olderThan on “Nudged on”).
- Step 4Pick the pets due and draft nudgesAI works out each pet's next groom (the sheet's “Next groom” date, or the last groom plus the usual interval), picks the pets due by the 10-day horizon that haven't opted out or rebooked (up to 50), and writes a short personal nudge for each. The 10-day window is re-checked in code next.
- Step 5Re-check the 10-day windowIn code, not AI: keeps only the nudges whose next groom date is within the next 10 days (or overdue); any other date the AI worked out is dropped and listed in not_due for the reviewer. Change the window here (within.max).
- Step 6Approve this week's nudgesThe whole batch waits in Reviews. The salon checks the list, removes anyone who has booked since the last export and approves; nothing is sent before that.
- Step 7Each approved nudgeSends every approved nudge and marks its row (up to 50 per run).
- Step 8Email the ownerSends the approved nudge from your workspace's sender, with replies going to your salon inbox.
- Step 9Mark the row nudgedWrites “Nudged” and today's date into the client's row (the date goes in “Nudged on”), so they aren't nudged again within 21 days.
- Step 10Batch sentThe run history keeps every nudge sent and any that failed.
- Step 11Batch not sentThe salon rejected this week's batch; nothing was sent or marked.

FAQ
Questions about Grooming Rebook Nudge.
Will it say something odd about a pet?
It never comments on a pet's coat, skin or health, and nothing is sent before you approve the batch. Try it on sample rows with Dry Run first.
Can it see new bookings or send texts?
It only sees your sheet, so mark “Rebooked” for pets already booked. This version is email only.
How long does setup take?
About 15 minutes: connect Google Sheets, describe your salon, pick your clients sheet and add your salon inbox.
Is it worth paying for?
It's a one-time purchase that never renews, set against calling or texting clients one by one. You need a paid plan and your own AI key; Dry Run is free.
What should the clients sheet have?
One row per pet: Pet, Owner, Email, Last groom, Interval (weeks), Groomer, Usual service, Opted out, Rebooked, plus two empty columns at the end for the agent (Nudge status, Nudged on). Column names can vary. For exact due dates add a “Next groom” column with a formula such as =D2+7*E2 (last groom + interval in weeks): the agent then copies it instead of working it out.
Which dates are worked out in code?
Today, each pet's last groom and next groom dates as written in the sheet, the 21-day gap since the last nudge and the final 10-day window: a nudge whose next groom isn't within 10 days is dropped before you review. Without a “Next groom” column the AI adds the interval to the last groom date, so add the column for exact dates. Change the gap and window on “Check the groom and nudge dates” and “Re-check the 10-day window”.
Can it see new bookings?
No — only what's in the sheet. Mark “Rebooked” in the sheet (or remove the nudge in the approval) for pets that have already booked.
Can it text instead?
This version is email only. An SMS version with Twilio and recorded consent can follow.
Is this a subscription?
No. Grooming Rebook Nudge is a one-time purchase of $59 per workspace and never renews. The Enterprise plan includes it at no extra cost. Running it live needs a paid plan (from Basic ($39/mo)), and your AI provider bills you directly for usage.
Can I test it before it touches real data?
Yes. Once it's set up in your workspace, Dry Run plays every step on sample data with simulated AI and app calls: nothing is sent and nothing in your apps changes. Switch the trigger on only when you're happy.
