What it feels like today
- “Retyping client job requests into Bullhorn while the client waits.”
- “The first hour after a new req goes on searching, not calling.”
- “Client requests sometimes include requirements we can't use.”
What you get with the agent
- Each client request structured into title, location, rate, openings, must-haves and description, with what's missing listed.
- Requirements about protected characteristics left out and flagged.
- The job order created in Bullhorn; a recruiter adds the client contact first when it's missing.
- Candidates searched on the role's key terms and up to 10 ranked from profile fields, each with a reason and what to confirm.
- The job order and shortlist posted to your recruiting channel in Slack.
Before
A client sends three forklift openings at 9am. The order goes into Bullhorn at 11 and the first call happens after lunch.
After
Shortly after 9 the job order exists and a ranked shortlist is in Slack with what to confirm on each. Recruiters start dialing.
How it works
The whole workflow, step by step.
Each client job request your form posts is structured by AI (title, location, rate, openings, must-haves, description) using only what the client wrote, with requirements about protected characteristics left out and flagged. It's created as a job order in Bullhorn; when the request doesn't give the client's Bullhorn contact id, a recruiter adds it in Reviews first. The agent searches Bullhorn candidates on the role's key terms, AI ranks up to 10 from their profile fields with a reason and what to confirm, and the shortlist goes to your recruiting channel in Slack. It ranks from profile fields, not résumé files, and never contacts or submits candidates.

This is the workflow that opens in your workspace when you set the agent up. Every step can be edited.
- Step 1New client job requestYour client job request form (or your site) posts each request to this webhook.
- Step 2Structure the job orderAI turns the request into a clean job order (title, location, rate, openings, must-haves) and the Bullhorn candidate search.
- Step 3Client contact known?Bullhorn needs the client contact for a job order. When the request doesn't give it, a recruiter adds it before the job order is created.
- Step 4Recruiter adds the client contactA recruiter enters the client's Bullhorn contact id (and fixes the job order if needed) in Reviews, then approves.
- Step 5Create the job order in BullhornAdds the job order for the client contact, with the structured description.
- Step 6Search candidatesSearches Bullhorn candidates on the role's key terms (and state), newest first, up to 50.
- Step 7Rank the top matchesAI ranks up to 10 candidates from their Bullhorn profile fields against the must-haves, with a reason and what to check for each.
- Step 8Send the shortlist to the recruiterPosts the new job order and the ranked shortlist to your recruiting channel.
- Step 9Shortlist sentThe recruiter decides who to contact and submit.

FAQ
Questions about Job Order Intake & Shortlist.

Bullhorn and Slack. The agent's page shows whether each app is ready to connect.
Does it contact or submit candidates?
Never. It posts a shortlist and the recruiter decides who to call and submit. It doesn't set bill rates.
How good is the ranking?
It ranks from Bullhorn profile fields (title, status, source, date added), not résumé files, so every match lists what to confirm. It never infers protected characteristics.
Setup and cost?
About 15 minutes once Bullhorn is connected. A one-time unlock that never renews; live runs need a paid plan and your own AI key.
Does it read résumés?
No. Bullhorn's search finds candidates on the role's key terms; the ranking uses their profile fields (title, status, source, date added), so each match lists what to confirm.
Is this a subscription?

Can I test it before it touches real data?
Yes. Once it's set up in your workspace, Dry Run plays every step on sample data with simulated AI and app calls: nothing is sent and nothing in your apps changes. Switch the trigger on only when you're happy.
