Lane Quote Responder · Freight & Logistics

Answer spot quote requests while the shipper is still waiting

Single-lane FTL requests get a market estimate plus your margin, the all-in rate re-added in code, drafted into a quote email. A broker approves every one; odd requests go to your quote desk.

Sound familiar?

The job, before and after this agent.

What it feels like today

  • “Spot quote requests sit for hours and the shipper books someone faster.”
  • “Every rep quotes the same lane a different way.”
  • “Multi-lane and LTL requests clog the queue for everyone.”

What you get with the agent

  • Lane, equipment, ship date, weight and shipper details pulled from each request.
  • Multi-lane, LTL, specialized or incomplete requests routed to your quote desk for a person.
  • A Truckstop Rate Insights estimate with your margin, minimums and rounding applied; the all-in rate and rate per mile re-added in code before the broker sees them.
  • A quote email with your inclusions, validity and signature, sent only after a broker approves, Reply-to your sales inbox.

Before

Need a rate today, says the shipper. The rep is on three calls. The quote goes out at 4pm and the freight is already covered.

After

The request is read, priced from the market estimate with your margin and drafted. A broker checks the math and approves; the shipper has a number in minutes.

How it works

The whole workflow, step by step.

Receives each shipper quote request from your website form (or an email-to-webhook tool) through a webhook. AI reads the lane, equipment, ship date and the shipper's details; multi-lane, LTL, specialised or incomplete requests are emailed to your quote desk for a person. For a single full-truckload lane it pulls a Truckstop Rate Insights estimate, applies your margin, minimums and rounding (showing the arithmetic; the all-in rate and rate per mile are re-added in code, never by the AI) and drafts the quote email with your inclusions, validity and signature. A broker approves or edits it before it's emailed to the shipper. The rate is a market estimate plus your margin, not a guaranteed buy rate.

This is the workflow that opens in your workspace when you set the agent up. Every step can be edited.

  1. Step 1New quote requestYour website quote form (or your email-to-webhook tool) posts each shipper's quote request to the workflow's webhook URL.
  2. Step 2Read the quote requestAI pulls out the lane, equipment, ship date, weight and the shipper's details, and checks it is a single lane it can price.
  3. Step 3Can it be priced?Multi-lane, LTL or incomplete requests go to your quote desk for a person; single full-truckload lanes get a market rate.
  4. Step 4Get the Truckstop rate estimateAsks Truckstop Rate Insights what carriers are being paid on this lane for this equipment and date.
  5. Step 5Price it and draft the quoteAI reads the Truckstop estimate, applies your margin and quoting rules, and drafts the quote email to the shipper.
  6. Step 6Check the mathRe-adds the quote's parts (buy rate, margin, any fuel or accessorial) into the all-in rate and recalculates the rate per mile in code — not by AI — writes the correct rate into the quote email and flags anything the AI got wrong for the broker.
  7. Step 7Approve the quoteA broker checks the rate, the arithmetic and the email in Reviews, edits them if needed and approves to send.
  8. Step 8Email the quote to the shipperSends the approved quote to the shipper from your workspace's sender, with replies going to your sales inbox.
  9. Step 9Quote sentThe run history keeps the request, the estimate and the quote that was sent.
  10. Step 10Not sentRejected quotes are kept in the run history; nothing was sent.
  11. Step 11Send it to your quote deskEmails the request and the reason it can't be auto-priced to your quote desk, so a person quotes it.
  12. Step 12Sent to the quote deskThe run history keeps the request and why it wasn't auto-priced.

Is it a fit?

Who it's for, and what it won't do.

Built for

  • Freight brokers quoting spot FTL
  • Shipper sales teams fielding web quote forms
  • Brokerages without a dedicated pricing desk

What it doesn't do

  • The rate is a market estimate plus your margin, not a guaranteed buy rate or a booking.
  • One lane per request: multi-lane or RFP requests go to a person.
  • It never emails a shipper without a broker approving the quote.
  • It doesn't read your inbox or log quotes in your TMS.
  • Coming soon until Truckstop is approved.

FAQ

Questions about Lane Quote Responder.

Which apps does it need?

Truckstop, with API access licensed for Rate Insights. The agent's page shows whether each app is ready to connect.

Could it quote a rate we can't cover?

It quotes a market estimate plus your margin, never a booking. A broker approves every email, and the email states your validity and capacity terms.

Can it read quote requests from my inbox?

Not directly. Send them from your web form, or from an email-parsing tool that can call a webhook. It doesn't log quotes in your TMS.

Setup and cost?

About 20 minutes once Truckstop is connected: write your quoting rules, add your quote desk and sales inbox, Dry Run. A one-time unlock that never renews; live runs need a paid plan and your own AI key.

Is the rate guaranteed?

No. It's built on Truckstop's market estimate plus your margin. A broker approves every quote, and the email states your validity and capacity terms.

Can the AI get the rate wrong?

The AI picks the buy rate and margin under your rules; the all-in rate is then re-added from those parts in code and written into the email, so the email always matches the figures the broker approves. If the AI's sum was off, the review screen shows what was corrected.

Is this a subscription?

No. Lane Quote Responder is a one-time purchase of $129 per workspace and never renews. The Enterprise plan includes it at no extra cost. Running it live needs a paid plan (from Basic ($39/mo)), and your AI provider bills you directly for usage.

Can I test it before it touches real data?

Yes. Once it's set up in your workspace, Dry Run plays every step on sample data with simulated AI and app calls: nothing is sent and nothing in your apps changes. Switch the trigger on only when you're happy.
