Sound familiar?

The job, before and after this agent.

What it feels like today

  • “We chase prospects three times for the same missing details.”
  • “Submissions go to underwriters incomplete and come back with questions.”
  • “Quote requests sit in the inbox without ever getting logged in the CRM.”

What you get with the agent

  • Each request checked against your own required-info list per line, sorting what's provided, missing and unclear
  • A friendly email asking only for the missing or unclear details
  • A carrier-ready submission summary with open items marked
  • Producer approval or edits on both drafts before anything is sent
  • The prospect and submission logged in HubSpot

Before

A producer reads the quote form, emails back for the FEIN, waits, then asks for loss runs, then retypes everything for the carrier.

After

One approved email asks for everything missing at once, and a submission summary is ready to send the moment the details arrive.

How it works

The whole workflow, step by step.

Each request from your get-a-quote form is checked by AI against your own required-info list for that line: auto, home, BOP, workers' comp or whatever you write. The agent sorts what the prospect gave, lists what's missing or unclear, and drafts two things: a friendly email asking only for the missing details, and a clean submission summary with open items marked. The producer approves or edits both. Then the prospect gets the missing-info email (only when something is missing), the producer gets the submission to send to carriers, and the prospect and submission are logged in HubSpot. It drafts and organises for a licensed producer to approve. It makes no coverage decision, gives no advice and never rates, quotes, submits or binds.

This is the workflow that opens in your workspace when you set the agent up. Every step can be edited.

  1. Step 1Quote request from your formYour website's get-a-quote form posts each request to the workflow's webhook URL.
  2. Step 2Check it against your required infoAI works out the line (auto, home, BOP, workers' comp…), sorts what the prospect gave against your required-info list for that line, and lists what's missing or unclear.
  3. Step 3A quote request?Spam, claims and service requests are kept aside; quote requests go on to the drafts.
  4. Step 4Not a quote requestThe run history keeps the submission and why it was set aside; nothing was sent or logged.
  5. Step 5Draft the missing-info email and submissionAI drafts a friendly email asking the prospect only for what's missing or unclear, and a clean, carrier-ready submission summary for the producer.
  6. Step 6Producer approves both draftsThe producer reads the missing-info email and the submission summary in Reviews, edits either, and approves. Nothing reaches the prospect before that.
  7. Step 7Not approvedRejected drafts are kept in the run history; nothing was sent or logged.
  8. Step 8Anything to ask the prospect? When nothing is missing (or the producer will call instead), the missing-info email is skipped.
  9. Step 9Email the prospect for missing infoSends the approved missing-info email to the prospect, with replies going to your agency inbox.
  10. Step 10Find or add the prospect in HubSpotCreates the prospect's HubSpot contact, or updates the one with the same email.
  11. Step 11Log the submission on the contactAdds the approved submission summary to the prospect's HubSpot timeline as a note.
  12. Step 12Email the submission to the producerSends the approved, carrier-ready submission summary to the producer to forward to carriers.
  13. Step 13OrganisedThe run history keeps the request, both drafts and what was sent and logged.

Example run

What goes in, and what comes out.

Example with fictional data

Comes in

A fictional landscaping company wants workers' comp and a BOP: 9 employees in season, $780,000 revenue, one prior comp claim, renewal December 1.

The agent produces

Missing-info email asks for payroll by class code, FEIN and five years of loss runs. Submission summary lists the business, operations, revenue and prior claim with those three items marked open. Logged in HubSpot after approval.

Apps

Checklist

  • A paid plan (agents run live on paid plans).
  • An AI provider key (Settings → AI Providers).
  • HubSpot, connected in Settings → Integrations.
  • A quote form on your site that posts to the webhook, and your required-info list per line.

Setup, about 20 minutes

  1. Connect your AI provider. The AI steps run on your own key (OpenAI, Anthropic, Google and more). Add one in Settings → AI Providers.
  2. Connect HubSpot. Connect the HubSpot account your producers use (Settings → Integrations → HubSpot).
  3. Write your required-info list. Open “Check it against your required info” and replace the placeholder with what you need for each line.
  4. Add your agency details. Open “Draft the missing-info email and submission” and replace the placeholder with your agency details and sign-off.
  5. Pick your HubSpot account. Open “Find or add the prospect in HubSpot” and “Log the submission on the contact” and pick your HubSpot account in each.
  6. Add your inbox and the producer. Open “Email the prospect for missing info” and enter your agency inbox, then “Email the submission to the producer” and enter the producer's email.
  7. Test it with Dry Run. Press Dry Run: the agent runs on sample data with no messages sent and nothing written to your apps.
  8. Switch the trigger on. Open the trigger, copy the webhook URL and signing secret into your quote form, and switch it on.

Is it a fit?

Who it's for, and what it won't do.

Built for

  • Independent agencies writing commercial lines
  • Personal lines agencies with an online quote form
  • Producers and account managers who prepare carrier submissions

What it doesn't do

  • It drafts and organises for a licensed producer to approve. It makes no coverage decision and gives no coverage advice.
  • It doesn't rate, quote, submit to carriers or bind. The producer sends the submission.
  • It never sends anything to the prospect before the producer approves.
  • It checks only against the required-info list you write, and doesn't verify what the prospect says (VINs, payroll, loss runs).
  • HubSpot only for now (no Salesforce version).

We list the limits up front so you can decide before you buy.

FAQ

Questions about Quote Submission Organizer.

Does it quote or bind?

No. It drafts and organizes for a licensed producer to approve. It makes no coverage decision, gives no advice and never rates, quotes, submits or binds; the producer sends the submission.

Does it check what the prospect says?

No. It checks only against the required-info list you write and doesn't verify details like VINs, payroll or loss runs.

What does it need?

HubSpot, a quote form that posts to the webhook and your required-info list per line. Setup takes about 20 minutes. There's no Salesforce version yet.

Is it worth the price?

It's a one-time purchase that never renews, cutting out the back-and-forth on every quote request. Live runs need a paid plan and your own AI key; Dry Run is free.

Does it quote or submit to carriers?

No. It organises the submission; the producer sends it to carriers through their usual portals or email. It never rates, quotes or binds.

Where does the required-info list come from?

You write it, per line of business (for example: for workers' comp, payroll by class code, employee count, FEIN, prior carrier and five years of loss runs). The agent only checks against your list.

Can it use Salesforce instead of HubSpot?

Not in this version. It logs to HubSpot.

Is this a subscription?

No. Quote Submission Organizer is a one-time purchase of $119 per workspace and never renews. The Enterprise plan includes it at no extra cost. Running it live needs a paid plan (from Basic ($39/mo)), and your AI provider bills you directly for usage.

Can I test it before it touches real data?

Yes. Once it's set up in your workspace, Dry Run plays every step on sample data with simulated AI and app calls: nothing is sent and nothing in your apps changes. Switch the trigger on only when you're happy.
