Sound familiar?

The job, before and after this agent.

What it feels like today

  • “Applications come in half-finished and I spend a week chasing pay stubs.”
  • “I worry we don't apply our criteria the same way to every applicant.”
  • “I flip between the form, the email thread and my notes just to see where a file stands.”

What you get with the agent

  • Each of your written criteria marked met, not met or unverified, with the evidence.
  • Income-to-rent ratio, documents received and missing, and any factual inconsistencies in one view.
  • A to-do list of the checks you still need to run: credit, background, landlord and employment.
  • Protected characteristics are never used; anything that shows up is left out and noted as ignored.
  • After your manager approves, the applicant gets a neutral next-steps email and the application is logged in your Google Sheets tracker.

Before

Three applications for unit 3B, each missing something different. You piece the picture together by hand and hope you're judging them the same way.

After

Each application arrives as an organized file against your criteria. You see what's missing, run your checks, make the call, and a neutral next-steps email goes out after you approve.

How it works

The whole workflow, step by step.

Each rental application your form sends in is organized by AI against your written rental criteria: each criterion met, not met or still unverified with the evidence, the income-to-rent ratio, documents received and missing, factual inconsistencies, and the checks you still need to run (credit, background, landlord and employment). Protected characteristics are never used, and any that appear are left out. The property manager reviews the file and makes the decision; once they approve, the applicant gets a neutral next-steps email and the application is logged in your Google Sheets tracker. It is not a credit or background-check service and never approves or denies applicants.

This is the workflow that opens in your workspace when you set the agent up. Every step can be edited.

  1. Step 1New rental applicationYour rental application form posts each completed application (and the list of documents uploaded) to the workflow's webhook URL.
  2. Step 2Organize the application against your criteriaAI checks the application against your written rental criteria, lists what's met, not met or still unverified, which documents are missing and what to verify, and drafts a neutral next-steps message.
  3. Step 3Property manager reviews the fileThe property manager reads the organized file in Reviews and approves sending the neutral next-steps message and logging the application. The rental decision stays with them.
  4. Step 4Email the applicant next stepsSends the neutral message (documents still needed, or application complete and under review), with replies going to your leasing inbox.
  5. Step 5Log the application in your trackerAdds a row to your Google Sheets application tracker: date, applicant, property, file status, missing documents and summary.
  6. Step 6LoggedThe run history keeps the organized file and the message sent.

What goes in, and what comes out.

Example with fictional data

Comes in

Fictional application: unit 3B at $1,850 a month, stated income $5,200, ID and one pay stub uploaded, one cat, prior landlord listed.

The agent produces

An organized file: income-to-rent ratio worked out, each criterion marked met or unverified, more proof of income listed as missing, landlord and employment checks on the to-do list, and a neutral email asking for the missing document, sent only after approval.

Apps

Checklist

  • A paid plan (agents run live on paid plans).
  • An AI provider key (Settings → AI Providers).
  • Google Sheets, connected in Settings → Integrations.
  • Written rental criteria and an application form that can send applications to a webhook URL.

Setup, about 20 minutes

  1. Connect your AI provider. The AI steps run on your own key (OpenAI, Anthropic, Google and more). Add one in Settings → AI Providers.
  2. Connect Google Sheets. Connect the Google account that owns your application tracker (Settings → Integrations → Google Sheets).
  3. Paste your written rental criteria. Open “Organize the application against your criteria” and replace the placeholder with your criteria and company name. Use the same written criteria for every applicant.
  4. Add your leasing inbox. Open “Email the applicant next steps” and enter the address applicants should reply to.
  5. Pick your application tracker. Open “Log the application in your tracker”, pick your Google account, paste the spreadsheet link and pick the tab.
  6. Test it with Dry Run. Press Dry Run: the agent runs on sample data with no messages sent and nothing written to your apps.
  7. Switch the trigger on. Open the trigger, switch the webhook on and send your rental application form to its URL. Assign the review step to your property manager.

Is it a fit?

Who it's for, and what it won't do.

Built for

  • Property managers handling rental applications
  • Independent landlords with a growing portfolio
  • Leasing teams that want consistent criteria

What it doesn't do

  • It isn't a tenant-screening or consumer-reporting service: it doesn't run credit, background, eviction or identity checks.
  • It doesn't read uploaded documents (pay stubs, bank statements); it works from the application data and the list of documents received.
  • It never approves, denies or scores applicants and doesn't draft decision or adverse-action letters; the property manager decides.
  • It isn't legal advice on fair-housing or screening law.

FAQ

Questions about Tenant Application Organizer.

Does it decide who gets the unit?

No. It organizes the file against your written criteria; your property manager makes every decision. It doesn't draft decision or adverse-action letters, and it isn't legal advice.

Does it run credit or background checks?

No. It isn't a screening or consumer-reporting service. It lists those checks for you to run through your provider with the applicant's consent, and it works from the application data, not uploaded files.

How long does it take to set up?

About 20 minutes: connect Google Sheets, paste your written rental criteria, add your leasing inbox, pick your tracker and run a Dry Run on a sample application.

What do I pay?

A one-time unlock that never renews. Live runs need a paid plan and your own AI provider key; Dry Run is free.

Does it approve or deny applicants?

No. It organizes the file against your criteria; the property manager decides. It never drafts decision or adverse-action letters.

Is this a subscription?

No. Tenant Application Organizer is a one-time purchase of $129 per workspace and never renews. The Enterprise plan includes it at no extra cost. Running it live needs a paid plan (from Basic ($39/mo)), and your AI provider bills you directly for usage.

Can I test it before it touches real data?

Yes. Once it's set up in your workspace, Dry Run plays every step on sample data with simulated AI and app calls: nothing is sent and nothing in your apps changes. Switch the trigger on only when you're happy.
