Coworking Tour Follow-Up · Real Estate & Property
Turn every coworking tour into a same-day follow-up
After each tour it recommends the best-fit plan from your pricing sheet, drafts a follow-up with your day-pass offer, logs a HubSpot deal and nudges again in 4 days if nothing moved.
Free account to start. Buying and running live need a paid plan.
- Starts from an event in a connected app
- 2 AI steps
- A person approves before it acts
- About 20 min to set up
Sound familiar?
The job, before and after this agent.
What it feels like today
- “Great tours go cold because the follow-up waits until Thursday.”
- “We pitch whatever plan comes to mind instead of what's actually available.”
- “Nobody remembers to send the second follow-up.”
What you get with the agent
- A best-fit plan (hot desk, dedicated desk or private office) from your plans and pricing sheet, with honest reasoning.
- A personal follow-up with your day-pass offer, approved by your community manager first by default.
- A HubSpot contact and a deal at your Toured stage, with a note of the tour.
- A short second follow-up after 4 days, only if the deal is still at Toured; it stops on its own once the deal moves.
Before
A team of four tours Monday, loves the phone booths, asks about parking. Your follow-up goes Wednesday, generic, and they've signed elsewhere.
After
Monday afternoon they get a note recommending your private office for four, with a day pass to try it. Four days later, if the deal hasn't moved, a short nudge goes.
How it works
The whole workflow, step by step.
Starts from each new row in your tour log (name, email, team size, needs, host's notes). The agent reads your plans and pricing sheet and AI recommends the best-fit plan — hot desk, dedicated desk or private office — with honest reasoning, and drafts a follow-up with your day-pass offer. With the approval switch on (the default) the community manager approves it first. The email goes out, the visitor becomes a HubSpot contact with a deal at your “Toured” stage, and 4 days later the agent checks the deal: still at “Toured” → a short second follow-up; otherwise it stops. Availability is only as current as your sheet. It doesn't hold an office or sign a membership. Waits last at most 30 days.

This is the workflow that opens in your workspace when you set the agent up. Every step can be edited.
- Step 1New tour in your logStarts a run for each row added to your tour log (name, email, team size, needs, host's notes), checked on your plan's schedule interval.
- Step 2Read your plans and pricingReads your plans and pricing tab: hot desk, dedicated desk, private offices — price, what's included and current availability.
- Step 3Recommend a plan and draft the follow-upAI recommends the best-fit plan from your sheet with honest reasoning and drafts a warm follow-up with your day-pass offer.
- Step 4Approve first? On by default: every follow-up waits for approval. Switch it off in your space details to send at once; tours where nothing fits always wait.
- Step 5Approve the follow-upThe community manager checks the recommendation, prices and availability, edits the email if needed and approves.
- Step 6Not sentRejected: nothing was emailed or logged.
- Step 7Email the follow-upSends the follow-up from your workspace's sender, with replies going to your community inbox.
- Step 8Create or update the HubSpot contactCreates the visitor as a HubSpot contact (or updates the one with the same email).
- Step 9Create the deal at “Toured”Creates a deal named after the visitor and the recommended plan in your pipeline, at your “Toured” stage.
- Step 10Link the deal to the contactAssociates the deal with the contact so the tour history sits together.
- Step 11Note the tour on the dealAdds the team size, needs, host's notes and the recommendation as a note on the deal.
- Step 12Wait 4 daysPauses the run for 4 days before checking the deal again.
- Step 13Check the deal's stageLooks the deal up in HubSpot to see whether it has moved on from the stage it was created in.
- Step 14Decide on the second follow-upAI compares the deal's stage now with the stage it was created in: still at “Toured” → the second follow-up goes; moved on (signed, lost, booked) → stop.
- Step 15Still at “Toured”?Moved on: stop. Still at the first stage: the second follow-up goes — after approval while the switch is on.
- Step 16Deal moved onThe deal changed stage (or wasn't found), so no second follow-up was sent.
- Step 17Approve the second follow-upThe community manager reads the second follow-up and approves it.
- Step 18Second follow-up not sentRejected: no second email.
- Step 19Email the second follow-upSends the second follow-up, with replies going to your community inbox.
- Step 20Followed up twiceThe run history keeps both follow-ups.
Example run
What goes in, and what comes out.
Example with fictional data
Comes in
Fictional tour log row: team of 4, needs quiet call space and two monitors each, wants to move in by November, host notes say they loved the phone booths.
The agent produces
Recommends the private office for four if your sheet shows one free, drafts a follow-up with your day-pass offer, creates the HubSpot deal at Toured and checks back in 4 days.

FAQ
Questions about Coworking Tour Follow-Up.
Will it promise an office we don't have?
Plans, prices and availability come only from your sheet, and it never holds an office or signs a membership. Keep the sheet current and approve each email while the switch is on.
What if they sign before day 4?
Move the HubSpot deal and the second email isn't sent. Tours already in the log before you switch it on aren't processed.
How long does setup take?
About 20 minutes: connect Google Sheets and HubSpot, pick your tour log and pricing tab, describe your space and offer, pick your stage and run a Dry Run.
Is it worth the cost?
A one-time unlock that never renews. Live runs need a paid plan and your own AI key; Dry Run is free.
What should the plans sheet have?
One row per plan: Plan (Hot desk, Dedicated desk, Private office for 4…), Price, What's included, Available (yes/no or how many). Availability is only as current as this sheet.
When does the second follow-up go?
4 days after the first, only if the HubSpot deal is still in the stage it was created in. Move the deal (signed, lost, booked another tour) and the second email isn't sent.
Does it hold an office?
No. It recommends and follows up; the visitor signs up or holds an office through your usual process.
Is this a subscription?
No. Coworking Tour Follow-Up is a one-time purchase of $99 per workspace and never renews. The Enterprise plan includes it at no extra cost. Running it live needs a paid plan (from Basic ($39/mo)), and your AI provider bills you directly for usage.
Can I test it before it touches real data?
Yes. Once it's set up in your workspace, Dry Run plays every step on sample data with simulated AI and app calls: nothing is sent and nothing in your apps changes. Switch the trigger on only when you're happy.
