Bank & Payout Reconciliation Agent · Banking & Compliance
Spend reconciliation time on the breaks, not the matches
Send bank or payout lines and ledger lines; it matches them under your rules, explains every unmatched line and sends exceptions to a reviewer for sign-off.
Free account to start. Buying and running live need a paid plan.
- Starts when your form or app sends it something
- 1 AI step
- A person approves before it acts
- About 25 min to set up
Sound familiar?
The job, before and after this agent.
What it feels like today
- “Reconciling payouts against the ledger is line-by-line drudgery.”
- “Processor fees and timing differences make every payout look wrong.”
- “We need a sign-off record for close, and it lives in someone's inbox.”
What you get with the agent
- Bank or payout lines matched to ledger lines by amount, date window, reference and processor fees
- Totals for both sides and the difference, calculated in code, not by the AI
- Every unmatched line, fee variance and possible duplicate explained from the data, or flagged as unexplained
- Balanced periods logged straight to your Google Sheets reconciliation log
- Periods with exceptions posted to Slack and logged only after a reviewer signs off
Before
Someone ticks off a Stripe payout against gross sales lines, works out the fee difference by hand and emails the controller about the leftovers.
After
Matched lines are done. The reviewer sees only the exceptions, each with a likely explanation, investigates and signs off, and the log is updated.
How it works
The whole workflow, step by step.
Receives each period's bank or payout lines (bank-feed export, Stripe or Square payout report, CSV or sheet) and ledger lines (QuickBooks, Xero or your general ledger export) in one webhook call. AI matches them under your rules (amount, date window, reference, processor fees), totals both sides (both totals and the difference are recalculated in code, never by the AI) and explains every unmatched line, fee variance and possible duplicate from the data. Balanced periods are logged in a Google Sheet; periods with exceptions are posted to your finance channel in Slack and logged once a reviewer has investigated and signed off. It doesn't fetch data from your bank or apps and never posts entries.

This is the workflow that opens in your workspace when you set the agent up. Every step can be edited.
- Step 1Day's transactions to reconcileYour bank-feed export, accounting system, processor report or a script posts the period's bank (or payout) lines and ledger lines to the webhook URL.
- Step 2Match and find breaksAI matches bank or payout lines to ledger lines under your rules (amount, date window, reference), copies each side's amounts and explains every unmatched item. The totals are then recalculated in code.
- Step 3Check the mathRecalculates the bank total, ledger total, their difference and each exception's difference in code — not by AI — and flags anything the AI got wrong; a period whose math was off or doesn't balance goes to a reviewer.
- Step 4Balanced or exceptions?Balanced periods are logged straight away; periods with exceptions, a difference that isn't zero or AI math the check had to correct are posted to Slack and wait for a reviewer's sign-off.
- Step 5Log the balanced reconciliationAppends the period, totals and match count to your reconciliation log, marked “Balanced”.
- Step 6Post the exceptions to SlackPosts the account, the difference and each exception with its likely explanation to your finance operations channel.
- Step 7Exceptions postedThe run history keeps the full exception list.
- Step 8Reviewer signs off the exceptionsA reviewer investigates each exception, makes any adjusting entries in your accounting system and signs off; the reconciliation is then logged with its exceptions.
- Step 9Log the reviewed reconciliationAppends the period, totals, unmatched lines and exceptions to your reconciliation log, marked “Exceptions reviewed”.
Example run
What goes in, and what comes out.
Example with fictional data
Comes in
A fictional day: a Stripe payout of $4,821.37, payroll, a client ACH and a $25 wire fee on the bank side; gross Stripe sales of $4,968.20 and other entries on the ledger side.
The agent produces
Payout matched to gross sales with a $146.83 difference explained as likely processor fees. The wire fee has no ledger line and is flagged. Posted to #finance-ops for sign-off.

Checklist
- A paid plan (agents run live on paid plans).
- An AI provider key (Settings → AI Providers).
- Slack and Google Sheets, connected in Settings → Integrations.
- An export or script that can send both sides of the reconciliation to a webhook URL.
Setup, about 25 minutes
- Connect your AI provider. The AI steps run on your own key (OpenAI, Anthropic, Google and more). Add one in Settings → AI Providers.
- Connect Slack. Connect the Slack workspace your finance team uses (Settings → Integrations → Slack).
- Connect Google Sheets. Connect the Google account that can edit your reconciliation log (Settings → Integrations → Google Sheets).
- Write your reconciliation rules. Open “Match and find breaks” and replace the placeholder with your matching rules.
- Pick the Slack account and channel. Open “Post the exceptions to Slack” and pick your account and channel. Invite the app to private channels first (/invite @Fluxo Flow).
- Pick your reconciliation log. Open both log steps and pick your account, spreadsheet and tab (usually the same in both). Header row: Period, Account, Matched, Bank total, Ledger total, Difference, Unmatched bank, Unmatched ledger, Exceptions, Summary, Status.
- Test it with Dry Run. Press Dry Run: the agent runs on sample data with no messages sent and nothing written to your apps.
- Switch the trigger on. Open the trigger, switch the webhook on and have your export or script send each period's lines to its URL.
Is it a fit?
Who it's for, and what it won't do.
Built for
- Bookkeepers reconciling Stripe or Square payouts
- Finance teams at e-commerce and subscription businesses
- Controllers who need a signed-off reconciliation log for close
What it doesn't do
- It doesn't connect to your bank, Stripe, Square, QuickBooks or Xero to fetch data; you send both sides in.
- It never posts adjusting entries, writes off differences or marks breaks resolved: a reviewer investigates and signs off.
- It isn't built for high-volume correspondent banking (nostro / vostro, card-network or clearing files); it suits up to about 200 lines per call.
- Its explanations come only from the data sent; anything it can't explain is flagged as such.
We list the limits up front so you can decide before you buy.

FAQ
Questions about Bank & Payout Reconciliation Agent.
Does it fetch data from my bank or accounting system?
No. You send both sides in one webhook call from a bank-feed export, payout report, ledger export or script. It suits up to about 200 lines per call.
Will it post entries or write off differences?
No. It never posts adjusting entries, writes off differences or marks breaks resolved. A reviewer investigates, makes any entries in your accounting system and signs off.
What if its explanation is wrong?
Explanations come only from the data sent, and anything it can't explain is flagged as such. Every exception is reviewed by a person, and Dry Run lets you test with sample lines.
Is it worth the price?
It's a one-time purchase that never renews, and it does the matching so people only handle the breaks. Setup is about 25 minutes; live runs need a paid plan and your own AI key.
Does it pull data from my bank, Stripe or QuickBooks?
No. Send both sides in one webhook call, from a bank-feed export, processor payout report, ledger export or a script. Most accounting and spreadsheet tools can export CSV for that.
How many lines can it handle?
A day or a week for one account is typical: up to about 200 lines per call, depending on your AI model. Split larger periods into several calls.
Does it fix breaks?
No. It explains them and suggests what to check. A person investigates, makes any entries in your accounting system and signs off.
Is this a subscription?
No. Bank & Payout Reconciliation Agent is a one-time purchase of $129 per workspace and never renews. The Enterprise plan includes it at no extra cost. Running it live needs a paid plan (from Basic ($39/mo)), and your AI provider bills you directly for usage.
Can I test it before it touches real data?
Yes. Once it's set up in your workspace, Dry Run plays every step on sample data with simulated AI and app calls: nothing is sent and nothing in your apps changes. Switch the trigger on only when you're happy.
