Sound familiar?

The job, before and after this agent.

What it feels like today

  • “We do the extra work and the change order shows up weeks later, if ever.”
  • “Every PM prices changes a different way.”
  • “Writing up a change order on the tailgate just doesn't happen.”

What you get with the agent

  • Scope, reason, labor and material lines priced only from your rate sheet; every amount, subtotal, markup and total recalculated in code, never by the AI.
  • Markup only as your terms state it; anything it can't price is left as TBD for the PM, never estimated.
  • Schedule impact as reported, plus the open questions.
  • PM approval on pricing and wording before anything reaches the client.
  • The approved change order emailed to the client for sign-off, replies to the PM, and filed in your Notion change-order database.

Before

The owner's rep asks for extra outlets in two rooms. The crew does it. The change order gets written at month-end and the client disputes it.

After

The request comes in from the field form, a draft is priced from your rates with every total checked in code, the PM fills one TBD line and approves, and the client has it that afternoon.

How it works

The whole workflow, step by step.

Post a field change request (what changed, why, who asked, the client) to the agent's webhook from your own form or tool. The agent reads your rate sheet in Google Sheets and AI drafts the change order: scope, reason, labour and material lines priced only from your rates, your markup only as your terms state it, schedule impact as reported and open questions — anything it can't price is left as TBD, never estimated. Every amount, the subtotal, markup and total are then recalculated in code, never by the AI, and any AI mistake is corrected and flagged. Your PM approves the pricing and wording first; the approved change order is then emailed to the client for sign-off, with replies to the PM, and filed in your Notion change-order database. It drafts for a person to approve and makes no legal or contract decision; client sign-off happens outside the agent.

This is the workflow that opens in your workspace when you set the agent up. Every step can be edited.

  1. Step 1Field change requestStarts when your own form or tool posts a field change request (what changed, why, who asked, the client) to this agent's webhook URL.
  2. Step 2Read your rate sheetReads your rate sheet: one row per labour, material or equipment item with its unit and rate.
  3. Step 3Draft the change orderAI drafts the change order: scope, reason, labour and material lines priced only from your rate sheet, schedule impact as reported, and open questions. Anything it can't price is left for the PM.
  4. Step 4Check the mathRecalculates every line (quantity × rate), the subtotal, each markup and the total in code — not by AI — writes the correct figures into the change order, email and record, and flags anything the AI got wrong for the PM. Lines marked TBD stay TBD.
  5. Step 5PM approves pricing and wordingThe PM checks every line against the rate sheet, prices any TBD lines, edits the wording and approves; nothing goes to the client before that.
  6. Step 6Client email? With a client email the approved change order is emailed for sign-off; without one it's only filed in Notion.
  7. Step 7Email it to the client for sign-offEmails the approved change order to the client from your workspace's sender, with replies going to the PM.
  8. Step 8File the approved change order in NotionCreates a page in your change-order database with the approved change order for the project record.
  9. Step 9FiledThe run history keeps the approved change order, the email and the Notion link. Client sign-off happens outside the agent.

What goes in, and what comes out.

Example with fictional data

Comes in

Fictional CO-014: add 2 data and power outlets plus monitor blocking in two exam rooms at the owner's request; electrician 3 hours per room, carpenter 1 hour per room.

The agent produces

Labor lines priced from your electrician and carpenter rates, every total checked in code, materials priced where your sheet has them and TBD where it doesn't, markup per your terms, waiting for PM approval.

What you need

Everything it takes to run it.

About 20 minutes from purchase to live. A checklist above the canvas takes you through each step.

Plan

Included in Enterprise; on other paid plans it's $129 once. Agents run live on paid plans, from Basic ($39/mo).

Apps

Checklist

  • A paid plan (agents run live on paid plans).
  • An AI provider key (Settings → AI Providers).
  • Google Sheets and Notion, connected in Settings → Integrations.
  • A rate sheet in Google Sheets and a way to post change requests to the webhook (your field form, tool or a script).

Setup, about 20 minutes

  1. Connect your AI provider. The AI steps run on your own key (OpenAI, Anthropic, Google and more). Add one in Settings → AI Providers.
  2. Connect Google Sheets. Connect the Google account that can open your rate sheet (Settings → Integrations → Google Sheets).
  3. Connect Notion. Connect Notion and share your change-order database with Fluxo Flow (Settings → Integrations → Notion).
  4. Describe your rates, markup and wording. Open “Draft the change order” and replace the placeholder with your rate sheet columns, markup terms, change order wording and sign-off.
  5. Pick your rate sheet. Open “Read your rate sheet” and pick the account, spreadsheet and tab.
  6. Add the PM's email. Open “Email it to the client for sign-off” and enter the address the client's reply should go to.
  7. Pick the Notion change-order database. Open “File the approved change order in Notion” and pick your account and database.
  8. Test it with Dry Run. Press Dry Run: the agent runs on sample data with no messages sent and nothing written to your apps.
  9. Switch the trigger on. Open the trigger and switch the webhook on. Copy its URL and secret into the field form or tool that sends change requests.

Is it a fit?

Who it's for, and what it won't do.

Built for

  • General contractors and specialty subs
  • Project managers handling owner changes
  • Remodelers billing for extras

What it doesn't do

  • It drafts and organises for a person to approve; it makes no legal or contract decision — whether a change is owed or billable, entitlement or fault — and isn't legal review.
  • It prices only from your rate sheet and never invents rates, quantities, markups or totals; unpriced lines are left for the PM.
  • Client sign-off happens outside the agent (a DocuSign version can follow when DocuSign is approved).
  • It doesn't update your contract value, budget or schedule in other tools.

We list the limits up front so you can decide before you buy.

FAQ

Questions about Change Order Drafter.

Does it decide whether a change is billable?

No. It drafts for a person to approve and makes no legal or contract decision. Entitlement, fault and whether a change is owed stay with you.

Will it make up prices?

Never. It prices only from your rate sheet, takes quantities from the request and leaves anything without a match as TBD for the PM.

How does the client sign?

They get the approved change order by email and reply to approve, or you collect a signature your usual way. It doesn't update your contract value or schedule in other tools.

Setup and cost?

About 20 minutes: connect Google Sheets and Notion, describe your rates, markup and wording, add the PM's email, Dry Run. A one-time unlock that never renews; live runs need a paid plan and your own AI key.

Where do the prices come from?

Only from your rate sheet in Google Sheets (item, unit, rate). Quantities come from the request. Anything without a matching rate or a stated quantity is left as “TBD — PM to price” — the agent never estimates.

Can the AI get the totals wrong?

Not in what your PM or client sees: after the AI drafts, every line (quantity × rate), the subtotal, each markup and the total are recalculated in code and written into the change order, the email and the record. If the AI's math was off, the review screen shows what was corrected (e.g. “subtotal 1080.00 → 810.00”).

Does the client sign inside the agent?

No. The client gets the approved change order by email and replies to approve, or you collect a signature your usual way. A DocuSign version can follow once DocuSign is approved.

How do I send a change request?

Post JSON with project, client_name, client_email, co_number, requested_by, change_description, reason, location, field_notes, schedule_impact and submitted_by to the webhook URL in the trigger's Activation panel — from your own field form, project tool or a script.

Is this a subscription?

No. Change Order Drafter is a one-time purchase of $129 per workspace and never renews. The Enterprise plan includes it at no extra cost. Running it live needs a paid plan (from Basic ($39/mo)), and your AI provider bills you directly for usage.

Can I test it before it touches real data?

Yes. Once it's set up in your workspace, Dry Run plays every step on sample data with simulated AI and app calls: nothing is sent and nothing in your apps changes. Switch the trigger on only when you're happy.
