Sound familiar?

The job, before and after this agent.

What it feels like today

  • “My Outlook calendar tells me when, but not who or why.”
  • “I jump between Outlook and HubSpot before every call.”
  • “I've walked into a renewal call not knowing the deal was at risk.”

What you get with the agent

  • Today's Outlook calendar events read each weekday morning (Microsoft 365 or Outlook.com), skipping cancelled meetings.
  • External guests picked out (not colleagues or rooms), up to 25 a day.
  • Each guest looked up in HubSpot by email, with their open deals.
  • A one-screen agenda with each meeting in order, who's who and a prep note, sent as a Slack direct message.

Before

You open Outlook, see six meetings, and spend the first fifteen minutes searching HubSpot for each guest's company and deal stage.

After

A Slack DM is waiting when you sit down: six meetings, the external people in each, their deal and stage, and a one-line prep note. You know which call matters most.

How it works

The whole workflow, step by step.

Each weekday morning the agent reads today's events from your Outlook calendar (Microsoft 365 or Outlook.com), lists the meetings that aren't cancelled in your time zone and picks out the external guests, up to 25. It looks each one up in HubSpot by email with their deals, and AI writes a one-screen agenda — every meeting in order, who's who, open deals and a prep note per meeting — from that data only, sent to you as a Slack direct message. One calendar per setup; it can't see your replies, so meetings you declined but left on the calendar are still listed.

This is the workflow that opens in your workspace when you set the agent up. Every step can be edited.

  1. Step 1Weekdays at 7:30Runs every weekday morning, Monday to Friday. Set your time zone on the trigger: “today” and the calendar window are worked out in that zone.
  2. Step 2Work out todayIn code, not AI: today's date and the start and end of today (midnight to midnight) in your trigger's time zone, for the calendar search.
  3. Step 3Read your domains and preferencesAI reads your company email domains and what you want in the brief from your details (the date and time zone come from the step before).
  4. Step 4Find today's eventsLists today's events on your Outlook calendar (up to 50, each occurrence of a recurring meeting), with their attendees, between the start and end of today worked out in code.
  5. Step 5Pick the external guestsAI lists today's meetings in your time zone and the external guests to look up (people outside your company domains, not rooms), up to 25.
  6. Step 6Each external guestLooks up every external guest in HubSpot (up to 25 per morning).
  7. Step 7Find them in HubSpotFinds the guest's HubSpot contact by email: name, company, job title, lifecycle stage and last contact.
  8. Step 8Each guest's dealsFor each guest found in HubSpot, lists their deals (guests not in HubSpot are skipped).
  9. Step 9Find their dealsLists the HubSpot deals linked to the contact: name, amount, stage and close date.
  10. Step 10Write the agendaAI writes a one-screen agenda: each meeting in order, who's who from HubSpot, open deals and a prep note — using only the calendar and CRM data.
  11. Step 11Find you in SlackLooks up your Slack member account from your email address, so the agenda arrives as a direct message from the Fluxo Flow app.
  12. Step 12DM you the agendaSends the agenda to you as a Slack direct message.

Apps

Checklist

  • A paid plan (agents run live on paid plans).
  • An AI provider key (Settings → AI Providers).
  • Outlook Calendar, HubSpot and Slack, connected in Settings → Integrations. Outlook Calendar is waiting for Microsoft's approval, so this agent switches on once it's live.

Setup, about 15 minutes

  1. Connect your AI provider. The AI steps run on your own key (OpenAI, Anthropic, Google and more). Add one in Settings → AI Providers.
  2. Connect Outlook Calendar. Connect the Microsoft account whose calendar the brief covers (Settings → Integrations → Outlook Calendar).
  3. Connect HubSpot. Connect the HubSpot account your contacts and deals live in (Settings → Integrations → HubSpot).
  4. Connect Slack. Connect your Slack workspace (Settings → Integrations → Slack).
  5. Add your domains and preferences. Open “Read your domains and preferences” and replace the placeholder with your company email domains and what you want in the brief. Your time zone is set on the trigger.
  6. Pick your calendar. Open “Find today's events” and pick your Microsoft account and calendar.
  7. Pick your HubSpot account. Open “Find them in HubSpot” and “Find their deals” and pick your account in each.
  8. Tell it where to send the agenda. Open “Find you in Slack” and enter your Slack email, then pick your Slack account there and in “DM you the agenda”.
  9. Test it with Dry Run. Press Dry Run: the agent runs on sample data with no messages sent and nothing written to your apps.
  10. Switch the trigger on. Open the trigger, set your time zone and switch the schedule on. It runs every weekday at 7:30.

Is it a fit?

Who it's for, and what it won't do.

Built for

  • Account managers with client-heavy calendars

  • It doesn't research people on the web or LinkedIn, and doesn't change anything in HubSpot or your calendar.
  • It looks up at most 25 external guests a day; meetings added later in the day aren't included.

FAQ

Questions about Daily Agenda Brief for Outlook Calendar.

Which apps does it need?

Outlook Calendar, HubSpot and Slack. A Google Calendar version is also listed. The agent's page shows whether each app is ready to connect.

Does it know which meetings I declined?

No. Outlook doesn't give this step your reply, so declined meetings left on your calendar are still listed. Cancelled ones are skipped.

Does it look people up on the web?

No. Who's who comes only from your HubSpot data, and it doesn't change HubSpot or your calendar. One calendar per setup; setup takes about 15 minutes.

What does it cost?

A one-time purchase that never renews. To run it live you need a paid plan and your own AI provider key (OpenAI, Anthropic, Google and others), added in Settings. Dry Run on sample data is free, so you can see real output before you commit.

Which calendar does it read?

One Outlook calendar per setup (usually your main Calendar), in Microsoft 365 or Outlook.com.

How does it know what “today” is?

In code, not by the AI: “Work out today” takes the calendar day in your trigger's time zone and searches from midnight to midnight. Set your time zone on the trigger.

Does it research people on the web?

No. Who's who comes from your HubSpot data only; guests not in HubSpot are marked as such.

Is this a subscription?

No. Daily Agenda Brief for Outlook Calendar is a one-time purchase of $69 per workspace and never renews. The Enterprise plan includes it at no extra cost. Running it live needs a paid plan (from Basic ($39/mo)), and your AI provider bills you directly for usage.

Can I test it before it touches real data?

Yes. Once it's set up in your workspace, Dry Run plays every step on sample data with simulated AI and app calls: nothing is sent and nothing in your apps changes. Switch the trigger on only when you're happy.
