Sound familiar?

The job, before and after this agent.

What it feels like today

  • “Thank-you letters go out weeks late because there's no one to write them.”
  • “Major donors get the same form letter as everyone else.”
  • “Gift history lives in a spreadsheet, not on the donor's record.”

What you get with the agent

  • Writes a personal thank-you for each new gift, naming the amount and what it supports, using only your own fund descriptions.
  • Adds your receipt wording copied word for word, with only the name, amount, date and reference filled in.
  • Creates or updates the donor's HubSpot contact and logs the gift on their timeline.
  • Posts a “call this donor” alert to Slack for major gifts, and flags gifts without an email for a handwritten note.
  • By default every thank-you waits for approval before it's sent.

Before

Gifts come in all week. On Friday you mail-merge a generic letter, forget to log half of them in the CRM, and a large gift gets no phone call.

After

Each donor gets a warm note about the program they funded, the receipt reads exactly as your accountant approved, and your director sees the major gift in Slack the same day.

How it works

The whole workflow, step by step.

Starts from each new row in your donations sheet in Google Sheets (written by your donation form or payment processor's export). AI writes a personal thank-you that names the amount and what the gift supports, using only your own fund descriptions, and adds your receipt wording copied word for word with only the blanks filled in from the row. The donor's HubSpot contact is created or updated and the gift is logged on their timeline. Gifts at or above your major-gift amount, and gifts without an email address, are posted to Slack so someone calls or writes by hand. By default every thank-you waits for approval; switch review off and only major gifts and unusual gifts wait. It drafts for a person to approve and makes no tax decision — it never decides what is tax-deductible.

This is the workflow that opens in your workspace when you set the agent up. Every step can be edited.

  1. Step 1New gift in your donations sheetStarts a run for each row added to your donations sheet (your donation form or payment processor's export writes one row per gift), checked on your plan's schedule interval.
  2. Step 2Write the thank-youAI reads the gift, writes a personal thank-you that names what the gift is for, adds your receipt wording filled in from the row, and decides whether it needs a person (major gifts always do).
  3. Step 3Call this donor?Major gifts and gifts without an email address are posted to Slack so a person calls or writes by hand.
  4. Step 4Alert the team in SlackPosts “call this donor” (major gift) or “thank by phone or letter” (no email) with the details from the row.
  5. Step 5Team alertedThe run history keeps the alert that was posted.
  6. Step 6No call neededNot a major gift and the donor has an email address: no Slack alert.
  7. Step 7Email address?Gifts without an email address are logged and thanked by hand; the rest are logged in HubSpot and get the thank-you email.
  8. Step 8No email addressNo email or CRM contact can be created; the Slack alert asks for a call or letter.
  9. Step 9Create or update the donor in HubSpotFinds the donor's HubSpot contact by email (or creates it) with their name.
  10. Step 10Log the gift on the contactAdds a note with the amount, date, purpose and reference to the donor's HubSpot timeline.
  11. Step 11Logged in HubSpotThe run history keeps the contact id and the note.
  12. Step 12Review first? With review switched on (the default) every thank-you waits for approval; with it off, major gifts and unusual gifts still do.
  13. Step 13Approve the thank-youA person checks the thank-you and the receipt wording in Reviews, edits them if needed and approves; nothing is sent before that.
  14. Step 14Email the thank-youSends the thank-you (with your receipt wording) to the donor from your workspace's sender, with replies going to your development inbox.
  15. Step 15Thank-you sentThe run history keeps the thank-you that was sent.

Apps

Checklist

  • A paid plan (agents run live on paid plans).
  • An AI provider key (Settings → AI Providers).
  • Google Sheets, HubSpot and Slack, connected in Settings → Integrations.
  • A donations sheet your form or processor adds a row to per gift, and your own receipt wording.

Setup, about 20 minutes

  1. Connect your AI provider. The AI steps run on your own key (OpenAI, Anthropic, Google and more). Add one in Settings → AI Providers.
  2. Connect Google Sheets. Connect the Google account that can open your donations sheet (Settings → Integrations → Google Sheets).
  3. Connect HubSpot. Connect the HubSpot account your donors are kept in (Settings → Integrations → HubSpot).
  4. Connect Slack. Connect the Slack workspace your development team uses (Settings → Integrations → Slack).
  5. Pick your donations sheet. Open the trigger, pick your Google account, paste the spreadsheet link and the tab gifts are added to.
  6. Describe your organisation and paste your receipt wording. Open “Write the thank-you” and replace the placeholder with your funds, signer, major-gift amount and receipt wording.
  7. Pick your HubSpot account. Pick the same HubSpot account in “Create or update the donor in HubSpot” and “Log the gift on the contact”.
  8. Pick the Slack channel. Open “Alert the team in Slack” and pick your account and channel. Invite the app to private channels first (/invite @Fluxo Flow).
  9. Add your development inbox. Open “Email the thank-you” and enter the address donors' replies should go to.
  10. Test it with Dry Run. Press Dry Run: the agent runs on sample data with no messages sent and nothing written to your apps.
  11. Switch the trigger on. Open the trigger and click “Activate app trigger”. New rows are picked up on your plan's schedule interval; rows already in the sheet aren't processed.

Is it a fit?

Who it's for, and what it won't do.

Built for

  • Nonprofit development and fundraising staff
  • Small charities with one person handling gifts
  • Executive directors of community nonprofits

What it doesn't do

  • It drafts and organises for a person to approve; it makes no tax decision — it never decides whether or how much of a gift is tax-deductible, and gifts with something received in return are flagged for you.
  • It uses your receipt wording as written and isn't tax or legal advice; have your accountant confirm your template.
  • It doesn't read Stripe or your processor directly (a Stripe-triggered version can follow when Stripe is approved), and rows already in the sheet before activation aren't processed.
  • It doesn't create deals or donation records in HubSpot — it updates the contact and adds a note.
  • It never invents amounts, impact figures or promises.

We list the limits up front so you can decide before you buy.

FAQ

Questions about Donor Thank-You Writer.

Does it decide what's tax-deductible?

No. It makes no tax decision. The receipt section is your own wording with only the blanks filled in, and gifts where the donor received something in return are flagged for a person. Have your accountant confirm your template.

What if it writes something inaccurate?

It never invents amounts, impact figures or promises, and every thank-you waits for approval by default. Test it with Dry Run on sample gifts first.

How long does setup take?

About 20 minutes: connect Google Sheets, HubSpot and Slack, pick your donations sheet, describe your funds and paste your receipt wording.

Can a small nonprofit justify it?

It's a one-time purchase that never renews, set against writing and logging every thank-you by hand. You need a paid plan and your own AI provider key; Dry Run is free.

Does it decide what is tax-deductible?

No. The receipt section is your own wording, copied word for word with only the blanks (name, amount, date, reference) filled in from the row. Gifts where the donor received something in return, or non-cash gifts, are flagged for a person to decide.

What should the donations sheet have?

One row per gift with the donor's name, email, amount, date and — if you have them — the fund or campaign, a reference number, phone and a donor note. Column names can vary; the agent reads them from the header row.

Can it send thank-yous without review?

Yes. Change “REVIEW EVERY THANK-YOU: yes” to “no” in the AI step: routine gifts are then thanked at once, while major gifts, gifts without an email and unusual gifts still wait for approval.

Does it work with Stripe directly?

Not yet. Today it reads a sheet your form or processor writes to. A Stripe-triggered version can follow once Stripe is approved.

Is this a subscription?

No. Donor Thank-You Writer is a one-time purchase of $89 per workspace and never renews. The Enterprise plan includes it at no extra cost. Running it live needs a paid plan (from Basic ($39/mo)), and your AI provider bills you directly for usage.

Can I test it before it touches real data?

Yes. Once it's set up in your workspace, Dry Run plays every step on sample data with simulated AI and app calls: nothing is sent and nothing in your apps changes. Switch the trigger on only when you're happy.
