Estimate Chaser · Field Services
Win the jobs you lose to silence after the estimate
Every weekday morning it finds open estimates due a follow-up on your cadence and drafts a short email for each: a check-in, a nudge, then a polite close-out. You approve the batch.
Free account to start. Buying and running live need a paid plan.

Sound familiar?
The job, before and after this agent.
What it feels like today
- “We send the estimate, never hear back, and nobody follows up.”
- “Our follow-up system is sticky notes and memory.”
- “Dead estimates clog the pipeline because nobody closes them out.”
What you get with the agent
- Open estimates due a touch picked by your cadence, for example 3, 7 and 14 days, at most 3 touches.
- Won, lost and recently chased estimates skipped.
- A short email per estimate naming the job and estimate number: check-in, helpful nudge, polite close-out.
- One batch approval, then emails go with replies to your office inbox.
- Every send logged so no estimate is chased twice in a row; up to 15 a morning.
Before
An $11,850 AC and furnace estimate went out last week. Nobody called. The homeowner went with whoever followed up.
After
On day 3, a short check-in mentioning their system replacement and EST-2214 is in your morning batch. You approve it over coffee.
How it works
The whole workflow, step by step.
Every weekday morning the agent reads your estimates sheet and its follow-up log in Google Sheets. AI picks the open estimates due a follow-up under your cadence (for example 3, 7 and 14 days after sending, at most 3 touches), skips won, lost and recently chased ones, and drafts a short email for each that mentions the job and estimate number: a check-in, then a helpful nudge, then a polite close-out. A teammate approves or edits the batch in Reviews, the emails go out with replies to your office inbox, and each one is logged so it isn't sent twice. Estimates need to be kept in a sheet: it doesn't read them from ServiceTitan, Jobber or Housecall Pro.

This is the workflow that opens in your workspace when you set the agent up. Every step can be edited.
- Step 1Weekdays at 8:00Runs each weekday morning (change the time and time zone on the trigger).
- Step 2Read your open estimatesReads your estimates sheet: one row per estimate with the customer, email, date sent, amount, job and status.
- Step 3Read the follow-up logReads the follow-ups already sent (one row per email), so no estimate is chased too often.
- Step 4Check the estimate datesIn code, not AI: works out the days since each estimate was sent in your time zone and its cadence tier — touch 1 due from day 3, touch 2 from day 7, touch 3 from day 14. Estimates sent less than 3 days ago, or with a date that can't be read, are left out. Change the cadence here (the buckets' min / max days).
- Step 5Check the follow-up log datesIn code, not AI: works out how many days ago each logged follow-up was sent, so the AI never chases an estimate twice within 2 days. Nothing is filtered out.
- Step 6Pick who to follow up and draft each emailAI counts the follow-ups already logged, decides which open estimates are due their next touch from the cadence tier worked out in code, skips won, lost and recently chased ones, and drafts a short, tailored email for each.
- Step 7Anyone to follow up?Days with nothing due are just recorded; otherwise the batch goes to review.
- Step 8Nothing dueThe run history keeps the check and the skipped estimates.
- Step 9Approve the follow-upsA teammate reads the drafted emails in Reviews, removes or edits any (e.g. a customer who already called), and approves the batch.
- Step 10Each approved follow-upSends the approved emails one by one and logs each (up to 15).
- Step 11Email the customerSends the follow-up from your workspace's sender, with replies going to your office inbox.
- Step 12Log the follow-upAdds a row (date, estimate, customer, email, touch) to your follow-up log, so tomorrow's run knows it was sent.
- Step 13Follow-ups sentThe run history keeps every email sent (and any that failed).

Example with fictional data
Comes in
Fictional sheet row: EST-2214, replace a 15-year-old 3-ton AC and furnace, $11,850, sent Oct 5, status Open.
The agent produces
A day-7 nudge drafted that names the replacement and estimate number and offers to answer questions, with no invented discounts or deadlines. Logged once sent.

- Google Sheets, connected in Settings → Integrations.
- Your estimates in a Google Sheet with a status column you keep up to date (export, form or by hand), and an empty follow-up log tab.
Setup, about 15 minutes
- Connect your AI provider. The AI steps run on your own key (OpenAI, Anthropic, Google and more). Add one in Settings → AI Providers.
- Connect Google Sheets. Connect the Google account that can open and edit your estimates sheet.
- Pick your estimates sheet. Open “Read your open estimates”, pick your Google account, paste the spreadsheet link and pick the tab.
- Pick the follow-up log tab. Add a tab with the header row Date, Estimate, Customer, Email, Touch. Then pick it in “Read the follow-up log” and “Log the follow-up”.
- Write your follow-up rules. Open “Pick who to follow up and draft each email” and replace the placeholder with your offers, phone number and signature. The cadence is set in “Check the estimate dates”.

Is it a fit?
Who it's for, and what it won't do.
Built for
- HVAC, roofing and remodeling contractors
- Home service office managers
- Owner-operators who quote but never chase
What it doesn't do
- It doesn't read estimates from ServiceTitan, Jobber or Housecall Pro: those apps have no estimate list we can use yet, so estimates live in a sheet.
- It doesn't update the estimate's status when a customer replies or books: update the sheet.
- It never emails without a person approving the batch, and never invents discounts or deadlines.
- It sends emails, not texts.
We list the limits up front so you can decide before you buy.

FAQ
Questions about Estimate Chaser.
Does it read estimates from ServiceTitan, Jobber or Housecall Pro?
Not yet; those apps have no estimate list it can use. Keep estimates in a Google Sheet with a status column, from an export, a form or by hand.
Will it spam customers?
It follows your cadence, logs every send and never chases the same estimate twice within 2 days. Nothing goes without approval, and it never invents discounts.
How long is setup?
About 15 minutes: connect Google Sheets, pick the estimates sheet and log tab, write your follow-up rules, add your office inbox and Dry Run.
Is it worth it?
It's a one-time unlock that never renews, and a single job won back covers a lot of it. Live runs need a paid plan and your own AI key; Dry Run is free.
Can it read estimates from ServiceTitan, Jobber or Housecall Pro?
Not directly yet. Keep estimates in a Google Sheet (an export, a form, or by hand) with a status column you update when a job is won or lost.
Will it chase the same customer every day?
No. Each email sent is logged, and the agent follows your cadence and never chases an estimate twice within 2 days.
How is the cadence worked out?
In code, not by the AI: “Check the estimate dates” counts the days since each estimate was sent (in the trigger's time zone) and puts it in a tier — touch 1 from day 3, touch 2 from day 7, touch 3 from day 14. Change the days on that step's buckets. Estimates whose date sent can't be read are listed in the summary for you.
Is this a subscription?
No. Estimate Chaser is a one-time purchase of $79 per workspace and never renews. The Enterprise plan includes it at no extra cost. Running it live needs a paid plan (from Basic ($39/mo)), and your AI provider bills you directly for usage.
Can I test it before it touches real data?
Yes. Once it's set up in your workspace, Dry Run plays every step on sample data with simulated AI and app calls: nothing is sent and nothing in your apps changes. Switch the trigger on only when you're happy.
Put Estimate Chaser to work.
