Sound familiar?

The job, before and after this agent.

What it feels like today

  • “Connect cards sit in a basket until someone has time on Thursday.”
  • “Our welcome email is the same generic letter for everyone.”
  • “A prayer request on a card got missed, and that hurt.”

What you get with the agent

  • Starts from each connect card your form adds to its sheet.
  • Writes a warm welcome from your pastor or welcome team, naming the next steps the guest ticked, with your links.
  • Prayer and call requests go only to your private pastoral-care Slack channel; the email just says the team has them.
  • The welcome is emailed with replies going to your welcome team.
  • Six days later, the guest gets an invitation to your next newcomers' event.

Before

Sunday's cards get typed in midweek, the welcome letter goes out the following Monday, and nobody's sure who picked up the prayer request.

After

Sunday afternoon each guest has a personal welcome mentioning the groups they ticked, your pastoral team has the prayer request privately, and the newcomers' lunch invite goes out Saturday.

How it works

The whole workflow, step by step.

When a first-time guest fills in your welcome or connect card (a form that writes to Google Sheets), AI writes a warm note from your pastor or welcome team in your own voice, naming the next steps they ticked — groups, serving, kids' ministry — with your links. Prayer requests and call requests go only to your private pastoral-care Slack channel; the welcome just says the team has the request. Six days later the guest gets an invitation to your next newcomers' event. It uses only “has kids: yes/no”, never children's names, and doesn't connect to Planning Center or Breeze.

  2. Step 2Write the welcomeAI writes a warm, personal note from your pastor or welcome team naming the next steps they ticked, prepares the newcomers' invitation, and spots prayer and call requests for the pastoral team.
  3. Step 3Prayer or call request?Prayer requests and call requests go only to your private pastoral-care channel.

Apps

Checklist

  • A paid plan (agents run live on paid plans).
  • An AI provider key (Settings → AI Providers).
  • Google Sheets and Slack, connected in Settings → Integrations, and a private pastoral-care channel.
  • A connect-card form that writes to a Google Sheet, and your next steps and newcomers' event dates.

Setup, about 15 minutes

  1. Connect your AI provider. The AI steps run on your own key (OpenAI, Anthropic, Google and more). Add one in Settings → AI Providers.
  2. Connect Google Sheets. Connect the Google account that can open your connect-card response sheet (Settings → Integrations → Google Sheets).
  3. Connect Slack. Connect the Slack workspace your pastoral team uses (Settings → Integrations → Slack).
  4. Pick your connect-card sheet. Open the trigger, pick your Google account, paste the spreadsheet link and the tab new cards are added to.
  5. Describe your community and events. Open “Write the welcome” and replace the placeholder with your voice, next steps with links and your newcomers' events.
  6. Pick the pastoral-care channel. Open “Tell the pastoral team” and pick your account and the private channel.
  7. Add your welcome-team inbox. Open “Email the welcome” and “Invite them to the newcomers' event” and enter the Reply-to address in both.
  8. Test it with Dry Run. Press Dry Run: the agent runs on sample data with no messages sent and nothing written to your apps.
  9. Switch the trigger on. Open the trigger and click “Activate app trigger”. New cards are picked up on your plan's schedule interval; cards already in the sheet aren't processed.

Is it a fit?

Who it's for, and what it won't do.

Built for

  • Churches with a welcome or connect card
  • Pastors and welcome team leaders
  • Faith communities and congregations of any size

What it doesn't do

  • It uses only “has kids: yes/no” and never children's names or details, even when a card contains them.
  • Prayer requests are never repeated in emails or posted anywhere except the private channel (they stay in your form's sheet and the run history).
  • It doesn't connect to Planning Center or Breeze, and cards already in the sheet before activation aren't processed.
  • The invitation follows 6 days later (a wait can be at most 30 days); waits need the live scheduler, so Dry Run skips them.

We list the limits up front so you can decide before you buy.

FAQ

Questions about First-Time Guest Follow-Up.

Who sees prayer requests?

Only your private pastoral-care Slack channel. They're never repeated in emails. They also stay in your form's sheet and the run history, so limit who can open those.

What about children's information?

It only uses “has kids: yes/no” and never children's names or details, even when a card contains them.

Does it work with Planning Center or Breeze?

Not directly. Use a form that writes to a Google Sheet, or export new guests to one. Setup takes about 15 minutes.

Is it worth it for a small church?

It's a one-time purchase that never renews, set against writing each welcome by hand. You need a paid plan and your own AI key; Dry Run is free.

What should the connect card ask?

Name, email, phone (optional), how they heard about you, the next steps they're interested in (groups, serving, kids' ministry, “I'd like a call”), “Do you have kids? yes/no” and an optional prayer request. Google Forms writes each card to a response sheet. Don't ask for children's names: the agent never uses them.

Is this a subscription?

No. First-Time Guest Follow-Up is a one-time purchase of $79 per workspace and never renews. The Enterprise plan includes it at no extra cost. Running it live needs a paid plan (from Basic ($39/mo)), and your AI provider bills you directly for usage.

Can I test it before it touches real data?

Yes. Once it's set up in your workspace, Dry Run plays every step on sample data with simulated AI and app calls: nothing is sent and nothing in your apps changes. Switch the trigger on only when you're happy.
