Sound familiar?

The job, before and after this agent.

What it feels like today

  • “Momentum dies after the first week because nobody sends updates.”
  • “Our sponsors never get thanked publicly.”
  • “I'm scared of accidentally sharing what one family gave.”

What you get with the agent

  • Every Monday, reads your class-totals and sponsors tabs.
  • Adds up progress against your goal in code, never by the AI, and builds a top-5 class leaderboard.
  • Writes an upbeat update with sponsor thank-yous, days left and your giving link.
  • Uses class and grade totals only, with no student names and no per-family amounts.
  • A committee member approves it before it's emailed to your parent list; the committee gets the numbers in Slack.

Before

Week three of the read-a-thon, the update you meant to send is still a draft, and the bakery that sponsored you hasn't been mentioned once.

After

Monday morning there's an update to approve: $7,400 of the $12,000 goal, Ms. Lee's class leading, a shout-out to the bakery and 9 days left. One click and every parent has it.

How it works

The whole workflow, step by step.

Every Monday during your campaign the agent reads your class-totals and sponsors tabs in Google Sheets. The total raised and the percent of your goal are calculated in code (never by the AI); AI builds the top-5 class leaderboard and writes an upbeat update with thank-yous to your business sponsors, days left and your giving link — using class totals only, with no student names and no per-family amounts. A committee member approves it, it's emailed to your parent list address (such as your Google Group), and the committee gets the numbers in Slack. It doesn't collect money or manage the list.

This is the workflow that opens in your workspace when you set the agent up. Every step can be edited.

  1. Step 1Every Monday at 8:00Runs every Monday morning while your campaign is on (switch it off when the campaign ends). Set your time zone on the trigger.
  2. Step 2Read the class totalsReads your class-totals tab: one row per class or grade with its running total. No student names or per-family amounts.
  3. Step 3Read the business sponsorsReads your sponsors tab: business name, sponsorship level and whether they may be thanked publicly.
  4. Step 4Write the progress updateAI lists the class totals (and sponsor amounts your campaign counts), builds the class leaderboard and writes an upbeat update with thank-yous to your sponsors. The total raised and the percent of goal are then calculated in code.
  5. Step 5Check the mathAdds up the class totals and counted sponsor amounts and works out the percent of goal in code — not by AI — writes the correct figures into the update and the Slack summary, and flags anything the AI got wrong for the committee.
  6. Step 6Committee approves the updateA committee member checks the numbers and wording in Reviews, edits anything and approves; nothing goes to parents before that.
  7. Step 7Not sent this weekNothing was sent; the run history keeps the draft.
  8. Step 8Email the parent listSends the approved update to your parent list address (e.g. your Google Group), with replies going to the PTA inbox.
  9. Step 9Tell the committeePosts the week's numbers to your committee's Slack channel once the update is sent.
  10. Step 10Update sentThe run history keeps the numbers and the update.

FAQ

Questions about PTA Fundraiser Progress Update.

Could it name a child or family?

No. It reads class and grade totals only, is told to leave out anything that looks like one student or family, and a committee member approves every update.

Does it collect donations?

No. It reports progress and links to your existing giving page. It doesn't collect money or track pledges per family.

How long does setup take?

About 15 minutes: connect Google Sheets and Slack, pick your fundraiser tabs, paste your campaign details and add your parent list address.

Is it worth it for a volunteer-run PTA?

It's a one-time purchase that never renews, set against a volunteer writing every update. You need a paid plan and your own AI key; Dry Run is free.

What should the sheets look like?

A class-totals tab with one row per class or grade (Class, Grade, Total) and a sponsors tab (Business, Level, Amount, Public thank-you yes/no). Keep per-family pledges in a separate tab the agent doesn't read.

Does it ever name students?

No. It uses class and grade totals only and is told to leave out any row that looks like one student or family. The committee approves every update.

How does it reach parents?

It sends one email to one list address, such as your Google Group or school mailing list. It doesn't manage the list.

Is this a subscription?

No. PTA Fundraiser Progress Update is a one-time purchase of $69 per workspace and never renews. The Enterprise plan includes it at no extra cost. Running it live needs a paid plan (from Basic ($39/mo)), and your AI provider bills you directly for usage.

Can I test it before it touches real data?

Yes. Once it's set up in your workspace, Dry Run plays every step on sample data with simulated AI and app calls: nothing is sent and nothing in your apps changes. Switch the trigger on only when you're happy.
