Lost Deal Win-Back · Sales

Turn lost GoHighLevel deals into second chances, not dead files

When an opportunity is marked lost, it waits a few business days, then drafts a respectful win-back message matched to why they said no. You approve it before it sends.

Sound familiar?

The job, before and after this agent.

What it feels like today

  • “Once a quote is marked lost, nobody ever talks to that person again.”
  • “Writing a thoughtful follow-up for every lost deal just doesn't happen when we're busy.”
  • “Our win-back offer gets used inconsistently, or not at all, depending on who's on shift.”

What you get with the agent

  • Starts on every opportunity marked lost (or abandoned) in your GoHighLevel sub-account.
  • Waits 3 business days by default, so the follow-up doesn't feel pushy.
  • Drafts a short SMS or email matched to the recorded loss reason and your playbook, or a neutral check-in when no reason is recorded.
  • Uses SMS only with consent, no Do Not Disturb and daytime hours, and skips do-not-contact and bad-fit contacts.
  • Every message waits for your approval; once approved it sends from GoHighLevel and enrolls the contact in your nurture workflow.

Before

A $18,500 roof replacement is marked lost on price. It disappears into the pipeline and the homeowner never hears from the company again.

After

Three business days later, a draft appears: a friendly note acknowledging budget concerns with the financing option your client approved. The owner clicks approve, it sends, and the homeowner joins the nurture sequence.

How it works

The whole workflow, step by step.

Starts when an opportunity in your GoHighLevel sub-account is marked lost (or abandoned, if you switch the trigger), checked every few minutes. After a 3-business-day pause (adjustable) it reads the contact's record, and AI drafts a short win-back SMS or email matched to the recorded loss reason and your playbook — a neutral check-in when no reason is recorded. SMS is used only with the consent you describe, outside Do Not Disturb and in daytime hours; do-not-contact and bad-fit contacts are skipped. Each message waits for approval; once approved it's sent from GoHighLevel and the contact is enrolled in your nurture workflow.

This is the workflow that opens in your workspace when you set the agent up. Every step can be edited.

  1. Step 1Opportunity marked lost in GoHighLevelStarts a run when an opportunity's status changes to lost (checks the 100 most recent opportunities every few minutes). Switch “New status” to Abandoned or Any status to cover more.
  2. Step 2Lost or abandoned, with an email?Only lost or abandoned opportunities continue; ones without a contact email are skipped (consent can't be checked without the contact record).
  3. Step 3Not a lost dealWon or re-opened opportunities are ignored; the run history keeps the event.
  4. Step 4Skipped — no contact emailThe opportunity's contact has no email, so the contact record can't be looked up; handle it by hand.
  5. Step 5Wait 3 business daysGives the lost decision a little breathing room before reaching out (change the wait on this step). The run resumes on its own.
  6. Step 6Look up the contactReads the contact's record from GoHighLevel: name, tags, time zone, Do Not Disturb settings and custom fields.
  7. Step 7Draft the win-back messageAI reads why the deal was lost (when it was recorded), picks a respectful angle from your playbook, chooses SMS or email by consent and writes the message — or skips contacts who shouldn't be contacted.
  8. Step 8Reach out or skip?Contacts who shouldn't be contacted (or have no allowed channel) are skipped; every other draft waits for approval.
  9. Step 9SkippedNo message and no nurture enrolment; the run history keeps the reason.
  10. Step 10Approve the win-back messageThe account owner checks the loss reason, channel and wording in Reviews, edits if needed and approves; rejecting sends nothing and doesn't enrol the contact.
  11. Step 11Send it from GoHighLevelSends the approved SMS or email from the sub-account, so replies land in GoHighLevel Conversations.
  12. Step 12Enrol in your nurture workflowAdds the contact to the GoHighLevel workflow you pick (your long-term nurture sequence).
  13. Step 13Win-back sentThe run history keeps the message and the enrolment.

Example with fictional data

Comes in

Opportunity Roof replacement, 2,400 sq ft at Acme Roofing marked lost, reason price, source Google Ads, contact has SMS consent.

The agent produces

After 3 business days: draft SMS acknowledging the quote felt high and mentioning the payment plan from your playbook, with an easy reply option. Waiting in Reviews. On approval: sent from the sub-account number, contact enrolled in Lost Leads Nurture.

What you need

Everything it takes to run it.

About 15 minutes from purchase to live. A checklist above the canvas takes you through each step.

Plan

Included in Enterprise; on other paid plans it's $99 once. Agents run live on paid plans, from Basic ($39/mo).

Your AI key

Connect any of 14 AI providers on your own key. Your provider bills usage directly, at cost; we add no markup.

Apps

Checklist

  • A paid plan (agents run live on paid plans).
  • An AI provider key (Settings → AI Providers).
  • GoHighLevel (the client's sub-account), connected in Settings → Integrations.
  • A published GoHighLevel nurture workflow, and loss reasons recorded on lost opportunities (the message is only as specific as that reason).

Setup, about 15 minutes

  1. Connect your AI provider. The AI steps run on your own key (OpenAI, Anthropic, Google and more). Add one in Settings → AI Providers.
  2. Connect GoHighLevel. Connect the client's GoHighLevel sub-account (Settings → Integrations → GoHighLevel). Agencies connect each sub-account separately.
  3. Describe the win-back playbook. Open “Draft the win-back message” and replace the first placeholder with the offer, loss reasons, allowed incentive and sign-off.
  4. Say how SMS consent is recorded. In the same step, replace the SMS consent placeholder with the tag, custom field or form checkbox that proves consent to texts.
  5. Pick the GoHighLevel sub-account and nurture workflow. Pick the same GoHighLevel connection in the trigger and the three GoHighLevel steps, then the nurture workflow in “Enrol in your nurture workflow”.
  6. Test it with Dry Run. Press Dry Run: the agent runs on sample data with no messages sent and nothing written to your apps.
  7. Switch the trigger on. Open the trigger, check “New status” (Lost) and click “Activate app trigger”. Opportunities lost from then on start the agent.

Is it a fit?

Who it's for, and what it won't do.

Built for

  • Agencies running GoHighLevel for home service and local clients
  • Contractors and med spas with high-value quotes
  • Sales teams that want a consistent, approved win-back offer

What it doesn't do

  • It never sends without a person approving the message.
  • It doesn't re-open the opportunity or change its status, and it can't tell if a deal was re-opened during the wait — the reviewer checks.
  • It isn't instant: GoHighLevel is checked every few minutes (the 100 most recent opportunities each time).
  • It doesn't invent loss reasons, incentives or prices; it skips opportunities whose contact has no email.
  • It shows as “Coming soon” until the GoHighLevel connector is approved.

We list the limits up front so you can decide before you buy.

FAQ

Questions about Lost Deal Win-Back.

Which apps does it need?

Just GoHighLevel: it reads lost opportunities and drafts the win-back there. The agent's page shows whether each app is ready to connect.

Will it send something embarrassing?

It never sends without a person approving the message, never invents loss reasons, incentives or prices, and writes a neutral check-in when nothing is recorded.

How long is setup?

About 15 minutes. You need a published GoHighLevel nurture workflow and loss reasons recorded on lost opportunities, since the message is only as specific as that reason.

Is it worth the price?

One-time price, never renews. A single recovered quote would more than cover it, and nobody has to write win-backs by hand. Live runs need a paid plan and your own AI provider key.

Abandoned opportunities too?

Open the trigger and set “New status” to Abandoned (or Any status — the agent ignores anything that isn't lost or abandoned). Set up a second copy to cover both separately.

Can I change the waiting time?

Yes, on the “Wait 3 business days” step (up to 30 days). Dry Run doesn't wait.

Where does the loss reason come from?

From what GoHighLevel has on the opportunity and contact (lost reason, custom fields, tags). If nothing is recorded, the agent writes a neutral check-in instead of guessing.

Is this a subscription?

No. Lost Deal Win-Back is a one-time purchase of $99 per workspace and never renews. The Enterprise plan includes it at no extra cost. Running it live needs a paid plan (from Basic ($39/mo)), and your AI provider bills you directly for usage.

Can I test it before it touches real data?

Yes. Once it's set up in your workspace, Dry Run plays every step on sample data with simulated AI and app calls: nothing is sent and nothing in your apps changes. Switch the trigger on only when you're happy.

Lost Deal Win-Back is almost ready.
