Signed Contract Filing · Sales
Signed in DocuSign means won in HubSpot, logged and celebrated
When an envelope is fully signed, it marks your Notion log Signed, moves the HubSpot deal to won with a signing note, and tells the team in Slack.
Can't be bought yet: waiting for DocuSign approval. It opens for purchase on its own once approved.

Sound familiar?
The job, before and after this agent.
What it feels like today
- “Contracts get signed and the deal still says Contract Sent in HubSpot for weeks.”
- “Our forecast is wrong because nobody updates won deals until month-end cleanup.”
- “The team finds out about a big win days later, if at all.”
What you get with the agent
- Picks up every completed DocuSign envelope (checked every 15 minutes, DocuSign's limit).
- Marks the matching row in your Notion contracts log as Signed, with the date.
- Moves the HubSpot deal to your won stage and adds a note with the signer, documents, dates and an envelope link.
- Announces the signing in your Slack channel.
- Envelopes it can't link to a deal are logged and flagged, never guessed onto the wrong deal.
Before
The client signs on Friday evening. On Monday the deal is still open in HubSpot, the forecast is off, and the rep forgets to tell anyone until the pipeline meeting.
After
Within 15 minutes of the last signature, the Notion row says Signed, the deal is closed won with a note and link, and the Slack channel is celebrating.
How it works
The whole workflow, step by step.
Starts when a DocuSign envelope is completed (checked every 15 minutes, DocuSign's limit). It finds the envelope in your Notion contracts log (the one Deal-to-Contract Sender writes, or rows you add with the Envelope ID and Deal ID), marks it Signed with the date, moves the HubSpot deal to your won stage, adds a note with the signer, document names, dates and a link to the envelope, and announces it in Slack. Signed envelopes that aren't linked to a deal are added to the log and flagged in Slack without touching HubSpot. DocuSign gives no download link for signed documents, so it records the status, signers, dates and a link, not the PDF or its text.

This is the workflow that opens in your workspace when you set the agent up. Every step can be edited.
- Step 1Envelope fully signedStarts when a DocuSign envelope is completed (everyone has signed). DocuSign allows checking only every 15 minutes, so it can take up to 15 minutes.
- Step 2Find it in your contracts logLooks up the envelope in your Notion contracts database by its Envelope ID, to find the HubSpot deal and the signer recorded when it was sent.
- Step 3List the signed documentsReads the names of the documents in the envelope from DocuSign (names only; DocuSign gives no download link).
- Step 4Prepare the filingAI reads the envelope, the contracts-log row and the document names, and prepares the deal note, the Slack announcement and the dates to record.
- Step 5Linked to a deal?Envelopes found in the contracts log with a Deal ID update HubSpot; others are added to the log and flagged in Slack without touching HubSpot.
- Step 6Mark it Signed in NotionSets the contracts-log row's Status to Signed and fills in the Signed date.
- Step 7Mark the deal wonMoves the HubSpot deal to your won stage.
- Step 8Add a note to the dealLogs the signing on the deal's timeline: date, signer, documents and the envelope link.
- Step 9Add it to the contracts logAdds the signed envelope to your Notion contracts database (Status Signed, no Deal ID) so nothing signed goes unrecorded.
- Step 10Announce it in SlackPosts the signing to your channel (deal won), or flags a signed envelope that isn't linked to a deal, with the Notion page.
- Step 11DoneThe run history keeps the envelope, the filing and what was updated.

What goes in, and what comes out.
Example with fictional data
Comes in
DocuSign envelope Acme services agreement completed at 4:40pm; Notion log row links it to the HubSpot deal for Harbor Supply Co.
The agent produces
Notion row marked Signed, today's date. HubSpot deal moved to Closed Won with a note: signed by the client's COO, documents Services Agreement and Order Form, sent and signed dates, envelope link. Slack: Harbor Supply Co signed the services agreement.
What you need
Everything it takes to run it.

Setup, about 20 minutes
- Connect your AI provider. The AI steps run on your own key (OpenAI, Anthropic, Google and more). Add one in Settings → AI Providers.

- Pick your contracts database. Open the three Notion steps and pick your account and the same contracts database (Name (title), Envelope ID (text), Deal ID (text), Signer (text), Signer email (email), Status (select with the options Sent and Signed), Sent (date), Signed (date)).
- Pick your won stage. Open “Mark the deal won” and pick your HubSpot account, the pipeline and the won stage, then pick the account in “Add a note to the deal”.
- Pick the Slack channel. Open “Announce it in Slack” and pick your account and channel. Invite the app to private channels first (/invite @Fluxo Flow).
- Test it with Dry Run. Press Dry Run: the agent runs on sample data with no messages sent and nothing written to your apps.

Is it a fit?
Who it's for, and what it won't do.
Built for
- Sales teams closing deals with DocuSign and HubSpot
- Sales ops and RevOps keeping the forecast honest
- Teams already using Deal-to-Contract Sender
What it doesn't do
- It doesn't save or read the signed PDF: DocuSign gives no download link. It records the status, signer, dates, document names and a link to the envelope, not the document text.
- It doesn't guess which deal an envelope belongs to: without a contracts-log row it only logs and flags it.
- It isn't instant: DocuSign allows checking every 15 minutes.
We list the limits up front so you can decide before you buy.

FAQ
Questions about Signed Contract Filing.
Which apps does it need?
DocuSign, Notion, HubSpot and Slack. The agent's page shows whether each app is ready to connect.
Does it save the signed PDF?
No. DocuSign gives other apps no download link for signed documents, so it records the status, signer, dates, document names and a link to open the envelope. Signers still get the PDF from DocuSign.
How does it know which deal was signed?
From your Notion contracts log: the row with the envelope id and deal id. Deal-to-Contract Sender writes these for you; for envelopes you send yourself, add a row. Without one, it flags rather than guesses.
Is it worth the price?
A one-time price that never renews, against updating three tools by hand after every signature. Setup is about 20 minutes; live runs need a paid plan and your own AI provider key.
Why can it take 15 minutes?
DocuSign's rules allow checking envelope status at most every 15 minutes.
What does the Notion contracts database need?
These properties: Name (title), Envelope ID (text), Deal ID (text), Signer (text), Signer email (email), Status (select with the options Sent and Signed), Sent (date), Signed (date).
Is this a subscription?
No. Signed Contract Filing is a one-time purchase of $99 per workspace and never renews. The Enterprise plan includes it at no extra cost. Running it live needs a paid plan (from Basic ($39/mo)), and your AI provider bills you directly for usage.
Can I test it before it touches real data?
Yes. Once it's set up in your workspace, Dry Run plays every step on sample data with simulated AI and app calls: nothing is sent and nothing in your apps changes. Switch the trigger on only when you're happy.
