Walk into every booked call already knowing who's on the line
The moment someone books on Calendly, you get a one-page brief in Slack: who they are, what they told you, their HubSpot history, talking points and questions to ask.
Can't be bought yet: waiting for Calendly approval. It opens for purchase on its own once approved.

Sound familiar?
The job, before and after this agent.
What it feels like today
- “Five minutes before a call I'm flipping between Calendly, HubSpot and my inbox trying to remember who this is.”
- “I only realize mid-call that this person already has an open deal with us.”
- “Booking-form answers are useful, but nobody reads them before the meeting.”
What you get with the agent
- Starts within seconds of each new Calendly booking, with the person's answers to your booking questions.
- Looks them up in HubSpot by email: lifecycle stage, lead status, last contact and any linked deals.
- A one-page brief: who they are, what they said, pipeline status, talking points, questions to ask and watch-outs.
- Delivered to you as a Slack direct message with the meeting link.
- Built only from your booking and CRM data, never invented facts.
Before
The intro call starts and you're asking basic questions the prospect already answered in the booking form, while quietly searching HubSpot in another tab.
After
When the call was booked last Tuesday, a brief landed in your Slack: an existing contact, a stalled deal from spring, and their note about needing a decision before year-end. You open with that.
How it works
The whole workflow, step by step.
Starts within seconds of each new Calendly booking (Calendly webhook, Standard plan or higher). It looks the person up in HubSpot by email and, when they're already a contact, lists their linked deals. AI writes a one-page brief using only that data: who they are, what they said in your booking questions, where they are in your pipeline, talking points, questions to ask and watch-outs. The brief is sent to you as a Slack direct message with the meeting link. It doesn't research people on the web and doesn't change your CRM.

This is the workflow that opens in your workspace when you set the agent up. Every step can be edited.
- Step 1New Calendly bookingStarts within seconds of someone booking one of your Calendly events, with their name, email, the meeting time and their answers to your booking questions (Calendly webhook; needs a paid Calendly plan).
- Step 2Find them in HubSpotLooks up the person who booked in HubSpot by their email address: name, company, job title, lifecycle stage, lead status and when they were last contacted.
- Step 3In your CRM?When the person is already a HubSpot contact, their deals are looked up too; a first-time contact goes straight to the brief.
- Step 4Find their dealsLists the HubSpot deals linked to that contact: name, amount, stage, close date and last update.
- Step 5Write the meeting briefAI combines the booking (time, answers to your booking questions) with the HubSpot contact and deals into a one-page brief: who they are, what they asked for, where they are in your pipeline, what to cover and what to find out.
- Step 6Find you in SlackLooks up your Slack member account from your email address, so the brief arrives as a direct message from the Fluxo Flow app.
- Step 7DM you the briefSends the brief to you as a Slack direct message from the Fluxo Flow app.
- Step 8DoneThe run history keeps the booking, the CRM lookup and the brief.
Example run
What goes in, and what comes out.
Example with fictional data
Comes in
New Calendly booking: 30 Minute Intro with Dana Whitfield of Harbor Supply Co, answer to booking question: want to replace spreadsheets for order tracking before Q1.
The agent produces
Slack DM: Dana is an existing HubSpot contact (lead status Open, last contacted 74 days ago) with a linked deal stuck in Discovery. Talking points: Q1 deadline, spreadsheet pain. Questions: who else signs off, current order volume. Watch-out: the deal went silent once before.

Plan
Included in Enterprise; on other paid plans it's $89 once. Agents run live on paid plans, from Basic ($39/mo).
Your AI key

Checklist
- A paid plan (agents run live on paid plans).
- An AI provider key (Settings → AI Providers).
- Calendly on a Standard plan or higher (the instant booking trigger uses a Calendly webhook), HubSpot and Slack, connected in Settings → Integrations.
Setup, about 12 minutes
- Connect your AI provider. The AI steps run on your own key (OpenAI, Anthropic, Google and more). Add one in Settings → AI Providers.
- Connect Calendly. Connect the Calendly account people book with (Settings → Integrations → Calendly). The instant trigger needs a Standard plan or higher.
- Connect HubSpot. Connect the HubSpot account your contacts and deals live in (Settings → Integrations → HubSpot).
- Connect Slack. Connect your Slack workspace (Settings → Integrations → Slack).
- Pick your Calendly account. Open the trigger and pick the Calendly account whose bookings start the agent.
- Describe your meetings. Open “Write the meeting brief” and replace the placeholder with what you sell and what you want to know before a call.
- Pick your HubSpot account. Open “Find them in HubSpot” and “Find their deals” and pick your HubSpot account in each.
- Tell it where to send the brief. Open “Find you in Slack” and enter your Slack email address, then pick your Slack account there and in “DM you the brief”.
- Test it with Dry Run. Press Dry Run: the agent runs on sample data with no messages sent and nothing written to your apps.
- Switch the trigger on. Open the trigger and click “Activate app trigger”: Calendly then sends every new booking to the agent.
Is it a fit?
Who it's for, and what it won't do.
Built for
- Founders and account executives taking intro calls
- Consultants and agency owners booking discovery calls
- Customer success managers on Calendly and HubSpot
What it doesn't do
- It doesn't research people on the web or LinkedIn; the brief uses only the booking and your HubSpot data.
- It doesn't create or update HubSpot records or log the meeting.
- It sends the brief when the booking is made, not as a reminder right before the meeting, and it doesn't react to cancellations (see Cancellation Win-Back).

FAQ
Questions about Meeting Prep Brief.
Does it research people on the web or LinkedIn?
No. It uses only the booking and your HubSpot data, so it can't make things up. Better booking questions give you better briefs.
What do I need?
Calendly on Standard or higher (the instant booking trigger uses a Calendly webhook), HubSpot and Slack. Setup takes about 12 minutes. The agent's page shows whether each app is ready to connect.
Is it worth the price?
A one-time price that never renews. Compare it with the prep time before every single call. Live runs need a paid plan and your own AI provider key; Dry Run is free.
Does it research the person on the web or LinkedIn?
No. The brief uses only the booking (including answers to your Calendly booking questions) and what's in your HubSpot. Add good booking questions to get better briefs.
Why does it need a paid Calendly plan?
The instant “New booking” trigger uses a Calendly webhook, which Calendly offers on Standard plans and above.
Who gets the brief?
The Slack member whose email you enter in “Find you in Slack”. For a team, set up one copy per host, each with its own Calendly account.
Is this a subscription?
No. Meeting Prep Brief is a one-time purchase of $89 per workspace and never renews. The Enterprise plan includes it at no extra cost. Running it live needs a paid plan (from Basic ($39/mo)), and your AI provider bills you directly for usage.
Can I test it before it touches real data?
Yes. Once it's set up in your workspace, Dry Run plays every step on sample data with simulated AI and app calls: nothing is sent and nothing in your apps changes. Switch the trigger on only when you're happy.
