Sound familiar?

The job, before and after this agent.

What it feels like today

  • “A price increase means a week of mail-merge anxiety and at least one customer getting the wrong number.”
  • “Grandfathered customers always seem to get the scary version of the letter.”
  • “Months later, nobody can find what we actually told a specific customer.”

What you get with the agent

  • A personal notice per affected customer: plan, old and new price, effective date, the reason, their options and who to contact.
  • Your grandfathering rule applied; exempt, unchanged or unclear customers set aside, not emailed.
  • The whole batch waits for one approval, where you can edit or hold any notice.
  • Each approved notice gets a final price check before it's emailed with replies to your customer inbox.
  • Every sent notice logged on the HubSpot contact, with a summary of sent, exempt and held notices in Slack.

Before

Finance exports a spreadsheet, someone builds a mail merge late at night, and the next morning an annual customer writes in upset about a price that doesn't apply to them.

After

You post the change once. Within minutes there's a batch of personal drafts, annual customers already set aside per your rule. You approve, and every notice is sent and logged on the right contact.

How it works

The whole workflow, step by step.

Start one run per price change with what changes, old and new price per plan, the effective date, the reason, your grandfathering rule and the customer's options. The agent reads your customers sheet (up to 50 per run), and AI drafts a personal notice for each affected customer: their plan and price now and new, the date, why, their options and who to contact. Exempt, unchanged or unclear customers are set aside. The whole batch waits for one approval. Each approved notice gets a final price check, is emailed with replies to your customer inbox and logged on the HubSpot contact, and a summary goes to Slack. It drafts and organises notices for a person to approve and makes no legal decision. Contractual and consumer-law notice periods are yours to check, and it doesn't change prices in your billing system.

This is the workflow that opens in your workspace when you set the agent up. Every step can be edited.

  1. Step 1Run a price changeStart one run per price change: post what changes, old and new price per plan, the effective date, the reason, your grandfathering rule and the customer's options (from a form, or with Run in the canvas).
  2. Step 2Check the effective dateIn code, not AI: works out how many days from today (in your time zone) the price change takes effect and whether that's at least your 30-day notice period, for the reviewer. Nothing is filtered out. Change the notice period here (within.min).
  3. Step 3Read affected customersReads your customers tab (e.g. a billing or CRM export): name, email, company, plan, current price, billing cycle, start date.
  4. Step 4Each customerDrafts a notice for every customer row (up to 50 per run).
  5. Step 5Draft the personal noticeAI checks whether this customer's plan is part of the change and whether your grandfathering rule exempts them, then drafts a personal notice: their plan and price now → new, the date, why, their options and who to contact.
  6. Step 6Approve the noticesEvery drafted notice waits in Reviews together. Check prices, dates and wording against your terms (including any notice period you promise), edit any, set send to false on any that shouldn't go, and approve.
  7. Step 7Each approved noticeWording check, code checks, send and CRM note for every notice in the approved batch.
  8. Step 8Final check on the wordingAI reads each approved notice for a price or date that differs from the approved ones, discounts or options you didn't list, pressure and legal statements — stating the plan, the old and new price, the date, the reason and your options is fine. It must quote the exact sentence it objects to.
  9. Step 9Check before sendingIn code: drafted to notify, still marked to send, exactly one valid email, the prices and date present, and a subject and body with no placeholders left — plus the wording check's verdict. Anything that fails is held, with the reason.
  10. Step 10Send it?Notices that pass every check are emailed and noted in HubSpot; everything else is held and listed in the summary with the reason.
  11. Step 11HeldExempt, skipped, on hold, set to not send or stopped by a check; listed in the Slack summary.
  12. Step 12Email the noticeSends the approved notice from your workspace's sender, with replies to your customer inbox.
  13. Step 13Find the HubSpot contactFinds the customer's HubSpot contact by email.
  14. Step 14In HubSpot?Customers with a HubSpot contact get a note; others are listed in the summary.
  15. Step 15Not in HubSpotSent, but no HubSpot contact has this email.
  16. Step 16Note it on the contactLogs the notice (plan, old → new price, date) on the contact's HubSpot timeline.
  17. Step 17Count what happenedIn code, not AI: sorts every approved notice by what really happened — sent (and noted in HubSpot or not), exempt, skipped, held (with the reason) or failed.
  18. Step 18Post the summary to SlackPosts the batch summary — counted in code — to your channel.
  19. Step 19DoneThe run history keeps the batch, every outcome and the summary.

  • Google Sheets, HubSpot and Slack, connected in Settings → Integrations.
  • A customers sheet (e.g. a billing export) and a way to post the price change once (a form or Run in the canvas).

FAQ

Questions about Price Change Notice Writer.

Does it handle the legal side?

No. It drafts and organizes notices for a person to approve and makes no legal decision. Contractual and consumer-law notice periods are yours to check.

What if a price in a notice is wrong?

Every notice passes a final price check against the change you posted, and nothing is emailed before you approve the batch. It never offers discounts or options you didn't list.

What do I need?

A customers sheet in Google Sheets (a billing export works), HubSpot and Slack. It reads up to 50 customers per run; split bigger lists into tabs. Setup takes about 20 minutes.

Is it worth the price?

A one-time price that never renews, against a week of manual drafting and the cost of getting one notice wrong. Live runs need a paid plan and your own AI provider key.

What does the run need?

A JSON POST with change_name, effective_date, reason, plans (a list of plan, old_price, new_price, billing_cycle), grandfathering (e.g. “customers on annual contracts keep their price until renewal”), options and contact. Post it from a small form or with Run in the canvas.

Which customers does it read?

Up to 50 rows of the customers tab per run (an export from your billing system or CRM works). For more, split the export into tabs of 50 and run once per tab.

Does it check notice periods?

It works out in code how many days away the effective date is and tells the reviewer when that's inside your notice period (30 days by default — change it on “Check the effective date”). Which contractual and consumer-law notice periods apply is yours to check.

Is this a subscription?

No. Price Change Notice Writer is a one-time purchase of $119 per workspace and never renews. The Enterprise plan includes it at no extra cost. Running it live needs a paid plan (from Basic ($39/mo)), and your AI provider bills you directly for usage.

Can I test it before it touches real data?

Yes. Once it's set up in your workspace, Dry Run plays every step on sample data with simulated AI and app calls: nothing is sent and nothing in your apps changes. Switch the trigger on only when you're happy.
