Sound familiar?

The job, before and after this agent.

What it feels like today

  • “Game-day mornings are a frantic mess of weather apps and group texts.”
  • “Some coaches hear about a cancellation after families are already at the field.”
  • “Every call gets second-guessed because nobody wrote down why.”

What you get with the agent

  • On game-day mornings, reads today's games and gets the National Weather Service forecast at each field.
  • Applies your policy (lightning, heat by age division, rain) and drafts the call: on, modified, watch or cancelled, with the forecast values behind it.
  • The league director reviews every call and email; nothing is sent before approval.
  • Each approved call is emailed to that game's coach and team-list addresses.
  • A board post with the day's calls goes to Slack as a record.

Before

At 6:30 a.m. you're checking radar, texting eight coaches, and fielding calls from parents asking if the U10 game is still on.

After

At 6:30 a.m. you open one review: the U8 games marked modified for heat with water breaks per your policy, one field on watch. You approve, and every coach has it.

How it works

The whole workflow, step by step.

On game-day mornings the agent reads today's schedule from Google Sheets and gets the National Weather Service forecast at each field (US only). AI applies your league policy — thunderstorm and lightning rules, heat limits by age division, rain and field closures — and drafts the call (on, modified, watch or cancelled) and the email for each game. The league director reviews every call and edits anything; each approved call gets a final check and is emailed to that game's coach and team-list addresses, and a board post goes to Slack. It uses no player data at all. Officials on site still apply the lightning rule live, and it doesn't reschedule fixtures.

This is the workflow that opens in your workspace when you set the agent up. Every step can be edited.

  1. Step 1Game days at 7:00Runs at 7:00 on Saturdays and Sundays (change the days on the trigger for weekday games). Set your time zone on the trigger.
  2. Step 2Read today's gamesReads your schedule tab: date, time, field with Lat and Lon, division, teams, and the coach and team-list email addresses. No player data.
  3. Step 3Keep today's gamesIn code, not AI: works out today's date in your time zone and keeps only the games dated today, so the AI never decides which day a game is on. Change the window here (within.min / within.max).
  4. Step 4Each game todayGets the forecast at the field and drafts the call for every game the date check kept (up to 40).
  5. Step 5Find the forecast officeAsks the National Weather Service which forecast grid covers the field (from its latitude and longitude).
  6. Step 6Get the forecastReads the National Weather Service 12-hour forecast periods for the field (temperature, chance of rain, wind and the forecast text).
  7. Step 7Apply the league policyAI applies your league policy (thunderstorm rules, heat limits by age division, rain) to the forecast at the field and drafts the email to coaches and team lists. The game date was checked in code.
  8. Step 8Director reviews every callAll of today's calls wait in Reviews together. The league director checks each forecast and reason, changes any call and edits the emails, then approves; coaches and families hear nothing before that.
  9. Step 9Calls rejectedNothing was sent; the run history keeps the calls.
  10. Step 10Each approved gameChecks and emails every approved game call.
  11. Step 11Final check on the wordingAI reads each approved email only for a mismatch with the game's call, a child or player named, or a promise about the weather — stating the call, the forecast values, adjustments and the lightning rule is fine. It must quote the exact sentence it objects to.
  12. Step 12Check before sendingIn code: still marked to send after review, coach and team-list addresses present, and a subject and body with no placeholders left — plus the wording check's verdict. Anything that fails isn't emailed and is listed in the board post with the reason.
  13. Step 13Send this call?Calls that pass every check are emailed; held or incomplete ones are not.
  14. Step 14Email coaches and team listsSends the approved call to the game's coaches and team-list addresses (up to 5), with replies going to the league inbox.
  15. Step 15Not emailedSet to not send, no forecast or stopped by a check; listed in the board post with the reason.
  16. Step 16Count the callsIn code, not AI: sorts today's approved games by the call that was emailed (on, modified, watch, cancelled) and lists the games that weren't emailed with the reason.
  17. Step 17Post to the league boardPosts today's calls (counted in code) to your league's Slack channel.
  18. Step 18DoneThe run history keeps the forecasts, the approved calls and the emails.

Example run

What goes in, and what comes out.

Example with fictional data

Comes in

Today (fictional): 12 games across 3 fields. Forecast heat index 96°F by noon; your policy calls for extra breaks above 90°F for U8–U10.

The agent produces

Morning games on; noon U8–U10 games marked modified with breaks as your policy states. Emails drafted per game, waiting for the director's approval.

What you need

Everything it takes to run it.

About 25 minutes from purchase to live. A checklist above the canvas takes you through each step.

Plan

Included in Enterprise; on other paid plans it's $99 once. Agents run live on paid plans, from Basic ($39/mo).

Your AI key

Connect any of 14 AI providers on your own key. Your provider bills usage directly, at cost; we add no markup.

Checklist

  • A paid plan (agents run live on paid plans).
  • An AI provider key (Settings → AI Providers).
  • Google Sheets and Slack, connected in Settings → Integrations, plus an HTTP / Custom API connection to https://api.weather.gov (free, no key).
  • A schedule tab with each field's Lat and Lon and coach / team-list emails (at most 5 per game), and your written weather policy.

Setup, about 25 minutes

  1. Connect your AI provider. The AI steps run on your own key (OpenAI, Anthropic, Google and more). Add one in Settings → AI Providers.
  2. Connect Google Sheets. Connect the Google account that can open your schedule sheet (Settings → Integrations → Google Sheets).
  3. Connect the National Weather Service (HTTP / Custom API). In Settings → Integrations, add an HTTP / Custom API connection named “National Weather Service” with base URL https://api.weather.gov and Authentication “None”. The NWS API is free, public domain and needs no key; it covers US locations only.
  4. Connect Slack. Connect the Slack workspace your league board uses (Settings → Integrations → Slack).
  5. Pick your schedule. Open “Read today's games” and pick your account, spreadsheet and schedule tab.
  6. Set up the weather lookups. Open “Find the forecast office” and “Get the forecast”: pick the National Weather Service connection in both, and in Extra headers replace the placeholder with your business name and a contact email.
  7. Paste your weather policy. Open “Apply the league policy” and replace the placeholder with your league's weather rules.
  8. Add your league inbox and board channel. Open “Email coaches and team lists” and enter the Reply-to address, then “Post to the league board” and pick your account and channel.
  9. Test it with Dry Run. Press Dry Run: the agent runs on sample data with no messages sent and nothing written to your apps.
  10. Switch the trigger on. Open the trigger, set your time zone and game days, and switch the schedule on. It runs at 7:00 on Saturdays and Sundays by default.

Is it a fit?

Who it's for, and what it won't do.

Built for

  • Youth sports league directors
  • Recreation department coordinators
  • Club and tournament organizers in the US

What it doesn't do

  • It uses no player data at all: only the schedule, fields and adult contact addresses.
  • Officials on site still apply the lightning rule live; a morning forecast (US only) can't see every storm.
  • It doesn't reschedule fixtures or change your league software.
  • It applies only your written policy, and the director approves every call.

We list the limits up front so you can decide before you buy.

FAQ

Questions about Game-Day Weather Call.

Does it replace the lightning rule on site?

No. A morning forecast can't see a storm that builds later. Officials and coaches still apply your lightning rule live, and the director approves every call.

Does it use player data?

None at all. It uses only the schedule, fields and adult contact addresses.

How long does setup take?

About 25 minutes: connect Google Sheets, the free weather service and Slack, set up your schedule tab and paste your weather policy. US locations only.

Is it worth paying for?

It's a one-time purchase that never renews, set against the game-day scramble of checking forecasts and messaging coaches. You need a paid plan and your own AI key; Dry Run is free.

Where does the weather come from?

The US National Weather Service API (https://api.weather.gov): free, public domain and no key, through an HTTP / Custom API connection. Two calls per location: one finds the forecast grid for the latitude and longitude, the second reads the 12-hour forecast. US locations only. NWS asks every app to name itself and a contact in the User-Agent header, which is why you add yours in setup. Its forecasts are general area forecasts, not on-site measurements.

What should the schedule look like?

One row per game with Date, Time, Field, Lat, Lon (named exactly so, up to 4 decimals), Division, Home, Away and the coach and team-list email addresses (at most 5 per game; use a mailing-list address per team). No player names or details are needed or read.

Does it reschedule games?

No. It sends the director's call; rescheduling happens in your league software.

How does it know which games are today?

In code, not by the AI: “Keep today's games” works out today's date in your trigger's time zone and keeps only schedule rows whose Date is today, so you can keep the whole season in one tab. The AI only applies your policy to the forecast and writes the emails.

Is this a subscription?

No. Game-Day Weather Call is a one-time purchase of $99 per workspace and never renews. The Enterprise plan includes it at no extra cost. Running it live needs a paid plan (from Basic ($39/mo)), and your AI provider bills you directly for usage.

Can I test it before it touches real data?

Yes. Once it's set up in your workspace, Dry Run plays every step on sample data with simulated AI and app calls: nothing is sent and nothing in your apps changes. Switch the trigger on only when you're happy.
