Sound familiar?

The job, before and after this agent.

What it feels like today

  • “Our delivery team finds out about new clients days after the deal closes.”
  • “What sales promised and what delivery plans rarely match.”
  • “Every kickoff starts with the client re-explaining their project.”

What you get with the agent

  • Starts when a Zoho CRM deal reaches Closed Won (stage name adjustable).
  • Reads the deal and its contact, including Description and a Handoff_Notes field if you add one.
  • A kickoff brief: what was sold, stakeholders, commitments quoted from the record, gaps to confirm and first steps.
  • An onboarding page in your Notion database and a Slack alert to the delivery team.
  • Fires once per deal, so later edits never start a second kickoff.

Before

A deal closes in Zoho on Monday; delivery hears about it Wednesday and the kickoff call is mostly the client repeating what they told sales.

After

Monday afternoon the delivery team has a Notion brief with scope, the client contact, the promised launch date quoted from the deal and a short list of things to confirm.

How it works

The whole workflow, step by step.

When a Zoho CRM deal moves to Closed Won, the agent reads the deal and its contact. AI writes the kickoff brief: what was sold, the stakeholders, the commitments recorded in the sale (quoted), the gaps the delivery team must confirm and the first steps, using only what Zoho contains. The brief is created as a page in your Notion onboarding database and your delivery team gets a Slack alert with the link. It remembers each deal it handed off, so later edits don't start a second kickoff, and skips deals won more than 30 days ago. Zoho notes can't be read, so add a Handoff_Notes deal field for scope and promises.

This is the workflow that opens in your workspace when you set the agent up. Every step can be edited.

  1. Step 1Deal created or changed in Zoho CRMStarts a run each time a Zoho CRM deal is created or changed (checked on your plan's schedule interval); the next step keeps only Closed Won deals.
  2. Step 2Closed Won?Only deals in the Closed Won stage go on; every other change stops here.
  3. Step 3Not wonThe change wasn't a Closed Won deal; nothing is done.
  4. Step 4Handed off already?Checks whether this deal was already handed off, so later edits to a won deal don't start a second kickoff.
  5. Step 5First time?A deal that was already handed off is skipped.
  6. Step 6Already handed offThis deal's kickoff brief was created on an earlier run.
  7. Step 7Closed recently? In code, not AI: works out how long ago the deal's Closing_Date was in your time zone; a deal won more than 30 days ago that was only edited now is skipped (a blank closing date counts as recent). Change the 30 days here (within.min).
  8. Step 8Won in the last 30 days?Deals won more than 30 days ago that were only edited now are remembered and skipped, without an AI call.
  9. Step 9Remember the old dealRemembers the old deal so its later edits are skipped at once.
  10. Step 10Old deal, skippedThe deal was won more than 30 days ago (checked in code); no kickoff is created.
  11. Step 11Read the deal's contactReads the contact linked to the deal (name, title, email, phone). A deal without a contact carries on without one.
  12. Step 12Write the kickoff briefAI turns the deal and its contact into a kickoff brief: scope, stakeholders, commitments made, gaps to confirm and first steps.
  13. Step 13Create the onboarding page in NotionCreates a page in your onboarding database with the full kickoff brief.
  14. Step 14Alert the delivery teamPosts the win, the short summary and the link to the kickoff page to your delivery channel.
  15. Step 15Remember the handoffRemembers that this deal was handed off (kept until you clear it), so it fires once per deal.
  16. Step 16Handed offThe run history keeps the brief and the Notion page link.

Apps

Checklist

  • A paid plan (agents run live on paid plans).
  • An AI provider key (Settings → AI Providers).
  • Zoho CRM, Notion (with an onboarding database shared with Fluxo Flow) and Slack, connected in Settings → Integrations. Zoho CRM is waiting for vendor approval, so this agent switches on once it's live.
  • Deals with a filled-in description, or a Handoff_Notes deal field where sales writes scope and promises.

Setup, about 20 minutes

  1. Connect your AI provider. The AI steps run on your own key (OpenAI, Anthropic, Google and more). Add one in Settings → AI Providers.
  2. Connect Zoho CRM. Connect your Zoho CRM org (Settings → Integrations → Zoho CRM).
  3. Connect Notion. Connect Notion and share your onboarding database with Fluxo Flow (Settings → Integrations → Notion).
  4. Connect Slack. Connect the Slack workspace your delivery team uses (Settings → Integrations → Slack).
  5. Pick your Zoho CRM org. Open the trigger and “Read the deal's contact” and pick your Zoho CRM account in each. If your won stage has another name, change it in “Closed Won?”.
  6. Describe your services. Open “Write the kickoff brief” and replace the placeholder with your services and kickoff needs.
  7. Pick the Notion onboarding database. Open “Create the onboarding page in Notion” and pick your account and database.
  8. Pick the Slack account and channel. Open “Alert the delivery team” and pick your account and channel. Invite the app to private channels first (/invite @Fluxo Flow).
  9. Test it with Dry Run. Press Dry Run: the agent runs on sample data with no messages sent and nothing written to your apps.
  10. Switch the trigger on. Open the trigger and click “Activate app trigger”: deal changes are checked on your plan's schedule interval and Closed Won ones are handed off.

Is it a fit?

Who it's for, and what it won't do.

Built for

  • Service businesses running sales in Zoho CRM
  • Agencies and consultancies
  • Onboarding and implementation teams
  • Operations leads standardizing handoffs

What it doesn't do

  • It can't read Zoho notes, emails or activities: the brief comes from the deal's fields and its contact, so add a Handoff_Notes deal field.
  • It doesn't create projects, tasks or invoices, or contact the customer.
  • It doesn't change anything in Zoho CRM.
  • It hands each deal off once; to hand one off again, clear its memory entry.

FAQ

Questions about Closed-Won Handoff for Zoho CRM.

Which apps does it need?

Zoho CRM, Notion and Slack. The agent's page shows whether each app is ready to connect.

Does it read Zoho notes or emails?

No. It reads the deal's fields and its contact; Zoho notes, emails and activities can't be read, so a Handoff_Notes deal field for scope and promises makes the brief much stronger.

Will it change anything in Zoho?

No. It doesn't change the deal, contact the customer or create tasks or invoices. Deals won more than 30 days ago are skipped. Setup takes about 20 minutes.

What does it cost?

A one-time purchase that never renews. To run it live you need a paid plan and your own AI provider key (OpenAI, Anthropic, Google and others), added in Settings. Dry Run on sample data is free, so you can see real output before you commit.

My won stage isn't called “Closed Won”.

Open the “Closed Won?” step and change the stage name to yours.

Is this a subscription?

No. Closed-Won Handoff for Zoho CRM is a one-time purchase of $89 per workspace and never renews. The Enterprise plan includes it at no extra cost. Running it live needs a paid plan (from Basic ($39/mo)), and your AI provider bills you directly for usage.

Can I test it before it touches real data?

Yes. Once it's set up in your workspace, Dry Run plays every step on sample data with simulated AI and app calls: nothing is sent and nothing in your apps changes. Switch the trigger on only when you're happy.
