Sound familiar?

The job, before and after this agent.

What it feels like today

  • “I copy names into a certificate template one by one, and typos slip in.”
  • “Learners finish a course and wait weeks for their certificate.”
  • “I can never find who got which certificate when someone asks.”

What you get with the agent

  • Starts when a learner is added to your Completed sheet in Google Sheets.
  • Writes a simple certificate with the name, course, date, hours and certificate ID copied exactly from the row, plus your signatory.
  • Adds your accreditation statement only if you provide one; never adds grades or credits that aren't in your sheet.
  • By default each certificate waits for approval, then is created as a Google Doc and emailed with a view-only link.
  • Marks the row “Certificate sent” with the time and link.

Before

Friday afternoon you open the template, paste a name, fix the date, export, attach, email, and repeat for every learner who finished this week.

After

Each learner who finishes is added to the sheet. You approve the certificate, they get a congratulations email with the link, and the row shows it's done.

How it works

The whole workflow, step by step.

When a learner is added to your Completed sheet in Google Sheets, AI writes a simple certificate with their name, course, completion date and hours copied exactly from the row, plus your signatory and (only if you provide one) your accreditation statement. By default each certificate waits for approval. It's then created as a Google Doc, shared with a view-only link, emailed to the learner with a short congratulations, and the row is marked “Certificate sent” with the link. It's a simple document certificate, not a designed PDF or a credential verification service, and it never adds grades or accreditations that aren't in your sheet.

This is the workflow that opens in your workspace when you set the agent up. Every step can be edited.

  1. Step 1New row in your Completed sheetStarts a run for each learner added to the bottom of your Completed sheet (checked on your plan's schedule interval).
  2. Step 2Read the completion dateIn code, not AI: reads the row's completion date, writes it out in full for the certificate and notes whether it is in the future (UTC unless you set your time zone on this step).
  3. Step 3Personalise the certificateAI checks the row has what a certificate needs and writes the certificate (as HTML for a Google Doc) with the learner's name, course, completion date and hours exactly as in the sheet.
  4. Step 4Ready to issue?Rows missing a name, course or email are held. With review switched off, ready certificates are issued at once; by default every certificate is approved first.
  5. Step 5Held — row incompleteNo certificate: the row is missing a name, course or email (listed in the run history). Fix the row and add it again.
  6. Step 6Approve the certificateThe certificate text waits in Reviews. Check the name, course, date and hours, edit the certificate if needed and approve.
  7. Step 7Create the certificate documentCreates the certificate as a Google Doc from the approved HTML.
  8. Step 8Share it (view-only link)Turns on view-only access for anyone with the link, so the learner can open it without a Google account.
  9. Step 9Email the learnerEmails the learner a short congratulations with the certificate link, with replies going to your training inbox.
  10. Step 10Mark the row doneWrites “Certificate sent”, the time and the document link into the learner's row, starting at the column you pick.
  11. Step 11Certificate issuedThe run history keeps the document link and the email sent.
  12. Step 12SkippedRejected in Reviews; no document was created.

The agent produces

Certificate drafted with those details as written and your signatory. After approval: Google Doc created, view-only link emailed to Dana, row marked “Certificate sent”.

Apps

Checklist

  • A paid plan (agents run live on paid plans).
  • An AI provider key (Settings → AI Providers).
  • Google Sheets, Google Docs and Google Drive, connected in Settings → Integrations (Docs and Drive are awaiting Google's approval, so this agent is coming soon).
  • A Completed sheet with one row per learner (name, email, course) and three empty columns for the status.

Setup, about 15 minutes

  1. Connect your AI provider. The AI steps run on your own key (OpenAI, Anthropic, Google and more). Add one in Settings → AI Providers.
  2. Connect Google Sheets. Connect the Google account that can edit your Completed sheet (Settings → Integrations → Google Sheets).
  3. Connect Google Docs. Connect Google Docs with the account where certificates are created (Settings → Integrations → Google Docs).
  4. Connect Google Drive. Connect Google Drive with the same account, so the certificate can be shared (Settings → Integrations → Google Drive).
  5. Pick your Completed sheet. Open the trigger, pick your Google account, paste the spreadsheet link and the tab name.
  6. Describe your certificate. Open “Personalise the certificate” and replace the placeholder with your organisation, signatory and sign-off.
  7. Pick your Google account for Docs and Drive. Open “Create the certificate document” and “Share it (view-only link)” and pick your account in each.
  8. Add your training inbox. Open “Email the learner” and enter the Reply-to address.
  9. Choose where the row is marked done. Open “Mark the row done”, pick the same account, spreadsheet and tab, and the first empty column.
  10. Test it with Dry Run. Press Dry Run: the agent runs on sample data with no messages sent and nothing written to your apps.
  11. Switch the trigger on. Open the trigger and click “Activate app trigger”: learners added at the bottom of the sheet are picked up on your plan's schedule interval. Rows already there aren't processed.

Is it a fit?

Who it's for, and what it won't do.

Built for

  • Training providers and course creators
  • Continuing education and workshop organizers
  • Corporate trainers running short courses

What it doesn't do

  • It drafts and organises for a person to approve; it makes no grading or assessment decision and never adds grades, credits or accreditations that aren't in your sheet or details.
  • It makes a simple document certificate, not a designed PDF.
  • It isn't a credential or verification service: anyone with the link can view the certificate.

FAQ

Questions about Completion Certificate Sender.

Which apps does it need?

Google Sheets, Google Docs and Google Drive. The agent's page shows whether each app is ready to connect.

What if a name or date is wrong?

Details are copied exactly from your row, rows missing a name, course or email are held, and by default every certificate waits for a person to approve.

Is it a verified credential?

No. It's a simple document certificate with a view-only link, not a designed PDF or a verification service, and it makes no grading decision.

What does setup and running take?

About 15 minutes of setup, a paid plan and your own AI key; Dry Run is free. It's a one-time purchase that never renews.

What does the certificate look like?

A clean one-page Google Doc made from simple HTML: headings, the learner's name, course, date, hours, certificate ID and signatory, in your brand colours. It isn't a designed PDF template.

Can it issue certificates without review?

Yes. Review is on by default; change “REVIEW EACH CERTIFICATE: yes” to “no” in the AI step and ready certificates are issued at once (unusual rows still wait).

Is it a verifiable credential?

No. It's a document certificate with a view-only link; there's no verification service or badge.

Is this a subscription?

No. Completion Certificate Sender is a one-time purchase of $69 per workspace and never renews. The Enterprise plan includes it at no extra cost. Running it live needs a paid plan (from Basic ($39/mo)), and your AI provider bills you directly for usage.

Can I test it before it touches real data?

Yes. Once it's set up in your workspace, Dry Run plays every step on sample data with simulated AI and app calls: nothing is sent and nothing in your apps changes. Switch the trigger on only when you're happy.
