Sound familiar?

The job, before and after this agent.

What it feels like today

  • “Internet leads wait hours on Saturday while everyone's on the floor.”
  • “Salespeople email payment numbers that F&I then has to walk back.”
  • “Half our web leads never make it into the CRM.”

What you get with the agent

  • Stock number looked up in your inventory sheet: status, advertised price and features.
  • A reply that confirms availability only as your sheet shows it, answers from the vehicle data and proposes two test-drive times.
  • Payment, APR, credit and trade-in value questions emailed to your F&I person; the customer's reply carries no numbers.
  • A salesperson approves every reply by default.
  • A HubSpot contact and deal with the stock number, plus a post to your sales floor channel in Slack.

Before

A shopper asks if the Highlander is still there, whether it has a third row and what the payment would be. The lead sits until Monday.

After

Within minutes a draft confirms availability from your sheet, answers the third-row question, offers two test-drive times and says your finance manager will be in touch. F&I already has the payment question.

How it works

The whole workflow, step by step.

When your website's vehicle-page or contact form posts a lead (stock #, questions, trade-in yes/no), the agent looks the stock # up in your inventory sheet. AI drafts the reply: availability only as your sheet shows it, answers from the vehicle data, two proposed test-drive times within your hours and the trade-in basics to send. Financing, payment, credit and trade-in value questions are emailed to your F&I person, and the customer's reply contains no numbers. With the approval switch on (the default) a salesperson approves every reply. Then the lead becomes a HubSpot contact and a deal with the stock #, and #sales-floor is told in Slack. It drafts and organises for a person to approve and makes no credit decision: no payments, APRs, credit answers or trade-in values. It doesn't negotiate below the advertised price, doesn't book the test drive (it proposes times) and doesn't import ADF/XML leads from third-party lead sites.

This is the workflow that opens in your workspace when you set the agent up. Every step can be edited.

  1. Step 1Lead from your websiteStarts when your website's vehicle-page or contact form posts a lead to this webhook: name, email, phone, stock #, questions and trade-in yes/no.
  2. Step 2Work out today and the next daysIn code, not AI: today's date and weekday in your time zone and the dates of the next 7 days, so the AI proposes test-drive times on real dates.
  3. Step 3Look up the stock # in your inventoryFinds the vehicle in your inventory sheet by stock #: status, advertised price, features.
  4. Step 4Draft the replyAI confirms availability from your sheet, answers the questions from the vehicle data, offers two test-drive times from your hours and asks the trade-in basics. Finance, payment and credit questions are flagged for your F&I person, with no numbers in the draft.
  5. Step 5Finance questions?Financing, payment, credit and trade-in value questions go to your F&I person by email, so a person answers them.
  6. Step 6Hand finance questions to your F&I personEmails your F&I manager the customer's finance questions in their own words, with their contact details and the vehicle. The customer's reply contains no numbers.
  7. Step 7F&I notifiedThe run history keeps the email to your F&I person.
  8. Step 8No finance questionsNothing for F&I in this lead.
  9. Step 9Approve first? With the approval switch on (the default) every reply waits for a salesperson; switched off, only finance leads, unknown or sold vehicles and odd leads wait.
  10. Step 10Salesperson approves the replyA salesperson checks the availability, the answers and the test-drive times, edits the reply if needed and approves.
  11. Step 11Not sentThe salesperson rejected the reply; nothing was sent or logged.
  12. Step 12Email the customerSends the reply from your workspace's sender, with replies going to your sales inbox.
  13. Step 13Create or update the HubSpot contactCreates the lead as a HubSpot contact (or updates the one with the same email).
  14. Step 14Create the deal (stock #)Creates a deal named after the customer and the vehicle (with its stock #) in your sales pipeline.
  15. Step 15Link the deal to the contactAssociates the deal with the contact so the lead history sits together.
  16. Step 16Post to #sales-floorPosts the lead, the vehicle, availability, trade-in and the proposed test-drive times to your sales floor channel.
  17. Step 17Answered and loggedThe run history keeps the reply, the HubSpot ids and the Slack post.

What goes in, and what comes out.

Example with fictional data

Comes in

Fictional lead on stock L24117: still available? Third row and CarPlay? Monthly payment with $3,000 down? Has a trade.

The agent produces

A draft reply confirming status from your sheet, answering the features from the vehicle data, proposing two test-drive times and asking trade-in basics. The payment question goes to F&I; nothing is quoted.

Apps

Checklist

  • A paid plan (agents run live on paid plans).
  • An AI provider key (Settings → AI Providers).
  • Google Sheets, HubSpot and Slack, connected in Settings → Integrations.
  • An inventory sheet with a stock # column, status and advertised price, and a website form that can post JSON to a webhook.
  • Your sales hours, price disclaimer and your F&I manager's name and email.

Setup, about 25 minutes

  1. Connect your AI provider. The AI steps run on your own key (OpenAI, Anthropic, Google and more). Add one in Settings → AI Providers.
  2. Connect Google Sheets. Connect the Google account that can open your inventory sheet (Settings → Integrations → Google Sheets).
  3. Connect HubSpot. Connect the HubSpot account your sales team uses (Settings → Integrations → HubSpot).
  4. Connect Slack. Connect the Slack workspace your sales team uses (Settings → Integrations → Slack).
  5. Pick your inventory sheet. Open “Look up the stock # in your inventory”, pick your account, the spreadsheet and tab, and enter the stock # column's header.
  6. Describe your dealership. Open “Draft the reply” and replace the placeholder with your hours, price disclaimer, F&I manager's name and email, trade-in basics and sign-off, then open “Work out today and the next days” and enter your time zone.
  7. Add your sales inbox. Open “Email the customer” and enter the address customers' replies should go to.
  8. Pick your HubSpot account and pipeline. Open the three HubSpot steps, pick your account in each, and the pipeline and first stage in “Create the deal (stock #)”.
  9. Pick the sales floor channel. Open “Post to #sales-floor” and pick your account and channel. Invite the app to private channels first (/invite @Fluxo Flow).
  10. Test it with Dry Run. Press Dry Run: the agent runs on sample data with no messages sent and nothing written to your apps.
  11. Switch the trigger on. Open the trigger, switch the webhook on and copy its URL and secret into your website's lead form.

Is it a fit?

Who it's for, and what it won't do.

Built for

  • Independent and franchise dealerships
  • Internet sales and BDC managers
  • Used car lots running HubSpot

What it doesn't do

  • It drafts and organises for a person to approve; it makes no legal, credit, medical/veterinary, permit, eligibility or coverage decision. It never gives payments, APRs, credit answers or trade-in values — a person handles those.
  • It doesn't negotiate or offer anything below the advertised price, and it only states availability your sheet shows.
  • It doesn't book the test drive: it proposes two times and the customer replies.
  • It doesn't import ADF/XML leads from third-party lead sites (AutoTrader, Cars.com) — only your own website form.

We list the limits up front so you can decide before you buy.

FAQ

Questions about Dealership Internet Lead Responder.

Will it quote payments or trade values?

Never. It makes no credit decision: payments, APRs, credit answers and trade-in values go to your F&I person. It won't offer anything below the advertised price.

Can it answer leads from third-party listing sites?

No. It answers leads from your own website form, not ADF/XML feeds. It proposes test-drive times and the customer replies to book.

How long is setup?

About 25 minutes: connect Google Sheets, HubSpot and Slack, pick your inventory sheet, describe your dealership, pick your pipeline and channel, then Dry Run.

What does it cost?

A one-time unlock that never renews. Live runs need a paid plan and your own AI key; Dry Run is free.

What should the website form send?

A JSON POST with name, email, phone, stock_number, questions and trade_in (yes/no). Your site posts it with the webhook's signature header.

Does it quote payments or trade-in values?

Never. Payments, APRs, credit and trade-in values are regulated and handled by a person: those questions are emailed to your F&I manager, and the customer's reply says they'll be contacted.

Can it read leads from AutoTrader or Cars.com?

No. It doesn't import ADF/XML leads from third-party lead sites; it answers leads from your own website form.

Is this a subscription?

No. Dealership Internet Lead Responder is a one-time purchase of $129 per workspace and never renews. The Enterprise plan includes it at no extra cost. Running it live needs a paid plan (from Basic ($39/mo)), and your AI provider bills you directly for usage.

Can I test it before it touches real data?

Yes. Once it's set up in your workspace, Dry Run plays every step on sample data with simulated AI and app calls: nothing is sent and nothing in your apps changes. Switch the trigger on only when you're happy.
