Sound familiar?

The job, before and after this agent.

What it feels like today

  • “Gifts taken at events on the card reader never get a thank-you.”
  • “Square donations never make it into our donor CRM.”
  • “We only notice a major gift when we reconcile at month end.”

What you get with the agent

  • Picks up each completed Square payment (in person, online or invoice) that matches your donations rule.
  • Writes a personal thank-you naming the amount and what it supports, with your receipt wording copied word for word.
  • Creates or updates the donor's HubSpot contact and logs the gift.
  • Lists in-person gifts with no email in Slack with the amount, date and receipt link for a handwritten note, and flags major gifts for a call.
  • By default every thank-you waits for approval.

Before

Your fall fundraiser takes 60 card donations at the door. Weeks later you're squinting at a Square export trying to work out who gave what.

After

Donors with an email get an approved thank-you the same week; the rest are listed in Slack with amounts and receipt links for handwritten notes, and every gift is in HubSpot.

How it works

The whole workflow, step by step.

For each completed Square payment (in person, online or invoice), AI checks it against your donations rule and writes a personal thank-you that names the amount and what it supports, adding your own receipt wording word for word with only the blanks filled in. The donor's HubSpot contact is created or updated and the gift is logged on their timeline. In-person card payments usually carry no email address or name: those, and major gifts, are posted to Slack with the amount, date, receipt link and Square customer id so someone writes a handwritten note or calls. By default every thank-you waits for approval. It makes no tax decision.

This is the workflow that opens in your workspace when you set the agent up. Every step can be edited.

  1. Step 1New payment in SquareStarts a run for each new Square payment (in person, online or invoice), checked on your plan's schedule interval. Leave the location empty for every location.
  2. Step 2Completed?Only payments with Status COMPLETED go on (pending, failed and cancelled ones stop here).
  3. Step 3Not completedThe payment wasn't completed; nothing is done.
  4. Step 4Write the thank-youAI checks the payment is a donation (your rule), writes a personal thank-you that names what the gift is for with your receipt wording, and flags in-person gifts without an email for a handwritten note.
  5. Step 5A donation?Payments that don't match your donations rule (shop sales, tickets…) stop here.
  6. Step 6Not a donationThe payment didn't match your donations rule; nothing is sent or logged.
  7. Step 7Call this donor?Major gifts and gifts without an email address are posted to Slack so a person calls or writes by hand.
  8. Step 8Alert the team in SlackPosts “call this donor” (major gift) or “thank by phone or letter” (no email) with the details from the payment.
  9. Step 9Team alertedThe run history keeps the alert that was posted.
  10. Step 10No call neededNot a major gift and the donor has an email address: no Slack alert.
  11. Step 11Email address?Gifts without an email address are thanked by hand; the rest are logged in HubSpot and get the thank-you email.
  12. Step 12No email addressNo email or CRM contact can be created; the Slack alert asks for a call or letter.
  13. Step 13Create or update the donor in HubSpotFinds the donor's HubSpot contact by email (or creates it) with their name.
  14. Step 14Log the gift on the contactAdds a note with the amount, date, purpose and reference to the donor's HubSpot timeline.
  15. Step 15Logged in HubSpotThe run history keeps the contact id and the note.
  16. Step 16Review first? With review switched on (the default) every thank-you waits for approval; with it off, major gifts and unusual gifts still do.
  17. Step 17Approve the thank-youA person checks the thank-you and the receipt wording in Reviews, edits them if needed and approves; nothing is sent before that.
  18. Step 18Email the thank-youSends the thank-you (with your receipt wording) to the donor from your workspace's sender, with replies going to your development inbox.
  19. Step 19Thank-you sentThe run history keeps the thank-you that was sent.

What goes in, and what comes out.

Example with fictional data

Comes in

Square payment (fictional): $500 card payment at the Spring Gala, no email attached, note “donation”.

The agent produces

Posted to Slack: $500 gift on the gala date with the receipt link and Square customer id, flagged as a major gift for a call and a handwritten note.

What you need

Everything it takes to run it.

About 20 minutes from purchase to live. A checklist above the canvas takes you through each step.

Plan

Included in Enterprise; on other paid plans it's $89 once. Agents run live on paid plans, from Basic ($39/mo).

Your AI key

Connect any of 14 AI providers on your own key. Your provider bills usage directly, at cost; we add no markup.

Apps

Checklist

  • A paid plan (agents run live on paid plans).
  • An AI provider key (Settings → AI Providers).
  • Square, HubSpot and Slack, connected in Settings → Integrations. Square is waiting for vendor approval, so this agent switches on once it's live.
  • Your own receipt wording and a rule for which payments are donations.

Setup, about 20 minutes

  1. Connect your AI provider. The AI steps run on your own key (OpenAI, Anthropic, Google and more). Add one in Settings → AI Providers.
  2. Connect Square. Connect Square (Settings → Integrations → Square) with access to payments.
  3. Connect HubSpot. Connect the HubSpot account your donors are kept in (Settings → Integrations → HubSpot).
  4. Connect Slack. Connect the Slack workspace your development team uses (Settings → Integrations → Slack).
  5. Pick your Square account. Open the trigger and pick the Square account donations are paid into (and a location, if only one takes donations).
  6. Describe your organisation and paste your receipt wording. Open “Write the thank-you” and replace the placeholder with your funds, signer, major-gift amount, donations rule and receipt wording.
  7. Pick your HubSpot account. Pick the same HubSpot account in “Create or update the donor in HubSpot” and “Log the gift on the contact”.
  8. Pick the Slack channel. Open “Alert the team in Slack” and pick your account and channel. Invite the app to private channels first (/invite @Fluxo Flow).
  9. Add your development inbox. Open “Email the thank-you” and enter the address donors' replies should go to.
  10. Test it with Dry Run. Press Dry Run: the agent runs on sample data with no messages sent and nothing written to your apps.
  11. Switch the trigger on. Open the trigger and click “Activate app trigger”. New payments are picked up on your plan's schedule interval; earlier payments aren't processed.

Is it a fit?

Who it's for, and what it won't do.

Built for

  • Nonprofits taking donations at events with Square
  • Churches and community groups with a giving kiosk or front desk
  • Small charities using HubSpot

What it doesn't do

  • It drafts and organises for a person to approve; it makes no tax decision — it never decides whether or how much of a gift is tax-deductible.
  • In-person card payments often carry no email or name: those can't be emailed and are listed in Slack for a handwritten note.
  • It doesn't recognise recurring Square gifts: each completed donation is thanked.
  • Payments not yet COMPLETED when they're picked up are skipped, and payments before activation aren't processed.
  • It never invents amounts, impact figures or promises.

We list the limits up front so you can decide before you buy.
