E-commerce Returns Assistant · Operations
Answer return requests same day, by your policy, every time
Each return request is matched to the real Shopify order, checked against your policy and drafted as a decision and reply. Nothing reaches a customer until your team approves.
Can't be bought yet: waiting for Shopify approval. It opens for purchase on its own once approved.
- Starts when your form or app sends it something
- 1 AI step
- A person approves before it acts
- About 15 min to set up
Sound familiar?
The job, before and after this agent.
What it feels like today
- “Every return means opening the order, checking dates and rereading our policy.”
- “Two people on the team apply the return window differently.”
- “Return emails sit for days because they're tedious to answer.”
What you get with the agent
- Each request matched to the Shopify order by number and email, so decisions use what was really bought and paid.
- Your return policy applied consistently: window, condition, final sale, refund method and fees.
- A drafted decision, refund estimate from the price paid, and customer reply.
- Unmatched orders, unclear cases and high-value returns sent to your Slack support channel with the analysis.
- After approval, the customer is emailed and a return tag and note are added to the order.
Before
Monday's inbox has fifteen return requests. Each one is a Shopify search, a date calculation and a policy check, and the final-sale item slips through with a full refund.
After
Each request arrives with the order matched, the policy applied and a reply drafted. You approve the clear ones in a batch; the mismatched order and the high-value one are waiting in Slack.
How it works
The whole workflow, step by step.
Receives each return request (order number, email, items, reason) from your returns form or help center through a webhook and looks up the order in Shopify. AI applies your return policy to the real order (items, price paid, dates, final sale) and drafts the decision, a refund estimate and the customer reply. Orders that can't be matched and unclear or high-risk cases go to your Slack support channel with the customer's request and the analysis. Clear decisions wait for a teammate in Reviews; once approved, the customer is emailed and a return tag and note are added to the Shopify order. You issue the refund, exchange or label in Shopify yourself.

This is the workflow that opens in your workspace when you set the agent up. Every step can be edited.
- Step 1New return requestYour returns form or help center posts each return request (order number, email, items, reason) to the webhook URL.
- Step 2Look up the order in ShopifyFinds the order by its number and the customer's email, so the decision is based on what was really bought, paid and delivered.
- Step 3Work out the order datesIn code, not AI: how many days ago the order was fulfilled (shipped) and placed, in the trigger's time zone, for the return-window check.
- Step 4Check it against your return policyAI checks the request against the Shopify order and your policy (window, condition, final sale, refund method), and drafts the decision, the customer reply and an order note.
- Step 5Check the refund mathRecalculates the refund estimate in code — not by AI — from each returned item's price paid (quantity × unit price) minus the policy's restocking or return-shipping deductions, writes it into the reply and order note, and flags anything the AI got wrong.
- Step 6Clear case?Uncertain or high-risk returns go to your team in Slack; clear approvals and denials go to Reviews for a final check.
- Step 7Send it to the team in SlackPosts the request, the order match, the reasons and the draft reply to your support channel for a person to handle.
- Step 8EscalatedThe run history keeps the request and the analysis.
- Step 9Confirm the return decisionA teammate checks the decision, refund estimate and reply in Reviews, edits them if needed and approves.
- Step 10Check before sendingIn code: exactly one valid customer email, an approve or deny decision (not “review”) and a reply with no placeholders left. Anything that fails is held, with the reason in the run history.
- Step 11Send it?Replies that pass the checks are emailed and noted on the order; the rest are held for a person.
- Step 12HeldThe reply failed a check (recipient, order id, placeholders) or the decision is still “review”; handle it by hand. The reason is in the run history.
- Step 13Email the customerSends the approved reply to the customer, with replies going to your support inbox.
- Step 14Note the decision on the orderAdds a return-approved or return-denied tag and a note with the decision to the Shopify order (existing tags and note are kept).
Example run
What goes in, and what comes out.
Example with fictional data
Comes in
Return form from a fictional customer: order #2214, Harbor Rain Jacket size M, too small, tags on, wants an exchange for L.
The agent produces
Order matched, within the 30-day window, eligible for exchange. Drafted reply offering size L and next steps; waiting in Reviews. After approval: emailed, order tagged return-approved with a note.
What you need
Everything it takes to run it.
About 15 minutes from purchase to live. A checklist above the canvas takes you through each step.
Plan
Included in Enterprise; on other paid plans it's $89 once. Agents run live on paid plans, from Basic ($39/mo).
Your AI key
Connect any of 14 AI providers on your own key. Your provider bills usage directly, at cost; we add no markup.
Checklist
- A paid plan (agents run live on paid plans).
- An AI provider key (Settings → AI Providers).
- Shopify and Slack, connected in Settings → Integrations.
- A returns form or help center that can send requests to a webhook URL.
Setup, about 15 minutes
- Connect your AI provider. The AI steps run on your own key (OpenAI, Anthropic, Google and more). Add one in Settings → AI Providers.
- Connect Shopify. Connect your Shopify store (Settings → Integrations → Shopify) with access to orders.
- Connect Slack. Connect the Slack workspace your support team uses (Settings → Integrations → Slack).
- Paste your return policy. Open “Check it against your return policy” and replace the placeholder with your full policy and store name. Decisions follow exactly what you write.
- Pick your Shopify store. Open “Look up the order in Shopify” and “Note the decision on the order” and pick your store in each.
- Pick the Slack account and channel. Open “Send it to the team in Slack” and pick your account and channel. Invite the app to private channels first (/invite @Fluxo Flow).
- Add your support email address. Open “Email the customer” and enter the address customers should reply to.
- Test it with Dry Run. Press Dry Run: the agent runs on sample data with no messages sent and nothing written to your apps.
- Switch the trigger on. Open the trigger, switch the webhook on and send your returns form's submissions (order_number, email, items, reason) to its URL.

FAQ
Questions about E-commerce Returns Assistant.
Which apps does it need?
Shopify for the real order and Slack for your team. The agent's page shows whether each app is ready to connect.
Will it refund people on its own?
No. It never emails a customer without a person approving, and it doesn't issue refunds, exchanges or labels; you do that in Shopify after approving. Mismatched orders are treated as high risk and sent to your team.
How long is setup?
About 15 minutes: paste your return policy, connect Shopify and Slack, and point your returns form at its webhook. To run it live you need a paid plan and your own AI provider key (OpenAI, Anthropic, Google and others), added in Settings. Dry Run on sample data is free, so you can see real output before you commit.
Is it worth the price?
It's a one-time purchase that never renews. Compare it with the time spent per return and the cost of one wrongly approved refund.
Does it issue refunds or return labels?
No. After you approve, it emails the customer and notes the decision on the order; you issue the refund, exchange or label in Shopify.
What if the order number and email don't match?
The request is treated as high risk and sent to your team in Slack instead of being answered.
Is this a subscription?
No. E-commerce Returns Assistant is a one-time purchase of $89 per workspace and never renews. The Enterprise plan includes it at no extra cost. Running it live needs a paid plan (from Basic ($39/mo)), and your AI provider bills you directly for usage.
Can I test it before it touches real data?
Yes. Once it's set up in your workspace, Dry Run plays every step on sample data with simulated AI and app calls: nothing is sent and nothing in your apps changes. Switch the trigger on only when you're happy.
