Task Intake Triage · Operations
Turn one-line ClickUp requests into tasks anyone can pick up
When a task lands in your ClickUp List, it suggests priority and due date, rewrites a clear description with a done-when checklist and asks the questions the requester left open.
Can't be bought yet: waiting for ClickUp approval. It opens for purchase on its own once approved.
- Starts from an event in a connected app
- 1 AI step
- A person approves before it acts
- About 10 min to set up
Sound familiar?
The job, before and after this agent.
What it feels like today
- “Half our tasks are one line long and nobody knows what done looks like.”
- “We start work and only then discover the details we needed.”
- “Everyone marks their own request as urgent.”
What you get with the agent
- Starts within seconds of each new task in the ClickUp List you pick.
- Suggested priority and due date from your rules, only when the task doesn't have them yet.
- A clear description with goal, context and a done-when checklist, with the original text kept word for word underneath.
- Clarifying questions posted as a task comment so the requester fills the gaps.
- A teammate approves before the task is updated, or let clear-cut tasks update on their own.
Before
A task reads “fix the signup thing ASAP.” A developer spends an hour figuring out which signup, what's broken and whether it's actually urgent.
After
The same task now has a goal, context, a three-point done-when checklist and a priority based on your rules. A comment asks which browser it happened in, and the requester answers before work starts.
How it works
The whole workflow, step by step.
Starts within seconds when a task is created in the ClickUp List you pick (ClickUp webhook). AI suggests a priority and a due date from your rules (only when the task has none), rewrites the description into goal, context and a done-when checklist with the original text kept word for word underneath, and writes the clarifying questions it leaves open. Tasks that are already clear are left alone. A teammate approves in Reviews before the task is updated and the questions are posted as a comment; you can let clear-cut tasks be updated without review. It doesn't assign people or change the status.

This is the workflow that opens in your workspace when you set the agent up. Every step can be edited.
- Step 1New task in your ClickUp ListStarts within seconds when a task is created in the List you pick (ClickUp webhook).
- Step 2Read the taskReads the new task from ClickUp: name, description, status, priority, due date and assignees.
- Step 3Work out the candidate due datesIn code, not AI: today in your time zone, whether the task already has a due date, and the due dates for usual turnarounds (1, 2, 3, 5 and 10 business days; 7, 14 and 30 days). The AI picks one of these — it never counts days itself.
- Step 4Triage the taskAI suggests a priority and due date from your rules (picking one of the due dates worked out in code), rewrites the description so anyone can pick it up, and writes the clarifying questions the task leaves open.
- Step 5Update it?Tasks that are already clear are left alone; clear-cut suggestions are applied at once if you switched review off; everything else waits for a person.
- Step 6Check the triageA teammate checks the suggested priority, due date, description and questions in Reviews, edits them if needed and approves.
- Step 7Update the taskWrites the clearer description and, when the task had none, the suggested priority and due date (fields left blank don't change).
- Step 8Ask the questionsPosts the triage summary and the clarifying questions as a comment on the task.
- Step 9Left as isTasks that were already clear, or whose triage was rejected, are kept in the run history unchanged.

Example with fictional data
Comes in
New ClickUp task at fictional Tidewater Apps: “Export button broken on reports??” with no priority or due date.
The agent produces
Suggested priority High and due Friday per your rules. New description: goal, context, done-when checklist (CSV downloads, matches filters, works on large reports), original text below. Comment asks which report and since when. Waiting in Reviews.
What you need
Everything it takes to run it.
About 10 minutes from purchase to live. A checklist above the canvas takes you through each step.
Plan
Included in Enterprise; on other paid plans it's $69 once. Agents run live on paid plans, from Basic ($39/mo).

Checklist
- A paid plan (agents run live on paid plans).
- An AI provider key (Settings → AI Providers).
- ClickUp, connected in Settings → Integrations.
Setup, about 10 minutes
- Connect your AI provider. The AI steps run on your own key (OpenAI, Anthropic, Google and more). Add one in Settings → AI Providers.
- Connect ClickUp. Connect ClickUp (Settings → Integrations → ClickUp) and select the Workspace when ClickUp asks.
- Pick the List to triage. Open the trigger and pick your ClickUp account, Workspace, Space and List.
- Describe your rules. Open “Triage the task” and replace the placeholder with what the List is for, your priority rules and turnaround times.
- Pick your ClickUp account in each step. Open “Read the task”, “Update the task” and “Ask the questions” and pick your ClickUp account in each.
- Test it with Dry Run. Press Dry Run: the agent runs on sample data with no messages sent and nothing written to your apps.
- Switch the trigger on. Open the trigger and click “Activate app trigger”: ClickUp then sends every new task in the List to the agent.
Is it a fit?
Who it's for, and what it won't do.
Built for
- Teams using ClickUp as an intake queue
- Product and engineering leads triaging requests

What it doesn't do
- It doesn't assign people or change the task's status.
- It doesn't overwrite a priority or due date someone already set.
- It doesn't read attachments or linked docs, only the task's own text.
We list the limits up front so you can decide before you buy.

FAQ
Questions about Task Intake Triage.
Which apps does it need?
ClickUp, where it reads and triages new tasks. The agent's page shows whether each app is ready to connect.
Will it overwrite what my team wrote?
No. It never overwrites a priority or due date that's already set, keeps the original description word for word, and doesn't assign people or change status. A teammate approves changes unless you opt out for clear-cut tasks.
How long does setup take?
About 10 minutes: connect ClickUp, pick the List and describe what it's for and your priority rules. To run it live you need a paid plan and your own AI provider key (OpenAI, Anthropic, Google and others), added in Settings. Dry Run on sample data is free, so you can see real output before you commit.
Is it worth the price?
It's a one-time purchase that never renews. Compare it with the time lost on every unclear task that gets picked up anyway.
Does it assign tasks?
No. It suggests priority and due date, rewrites the description and asks questions; who does the work stays your call.
How is the due date worked out?
In code, not by the AI: the agent computes today (in your trigger's time zone) and the due dates for usual turnarounds — 1, 2, 3, 5 and 10 business days, 7, 14 and 30 days — and the AI picks the one your rules call for, or copies an exact date written in the task. Relative deadlines like “by Friday” become a question instead of a guess.
Will it overwrite what someone already set?
No. A priority or due date that's already on the task is left alone, and the original description is kept word for word under the new one.
Can it update tasks without me checking?
Yes: in “Triage the task” change “UPDATE WITHOUT REVIEW: no” to “yes”. Tasks with many open questions still go to Reviews.
Is this a subscription?
No. Task Intake Triage is a one-time purchase of $69 per workspace and never renews. The Enterprise plan includes it at no extra cost. Running it live needs a paid plan (from Basic ($39/mo)), and your AI provider bills you directly for usage.
Can I test it before it touches real data?
Yes. Once it's set up in your workspace, Dry Run plays every step on sample data with simulated AI and app calls: nothing is sent and nothing in your apps changes. Switch the trigger on only when you're happy.
