Reply to every guest review, calmly and in your own voice

AI drafts a short public reply for each review in your sheet and alerts managers to bad or serious ones at once. A manager approves every reply before anyone posts it.

Sound familiar?

The job, before and after this agent.

What it feels like today

  • “Reviews pile up for weeks because nobody has time to answer them well.”
  • “A one-star review about an allergy sat unanswered over a weekend.”
  • “When I'm tired, my replies come out defensive.”

What you get with the agent

  • Each review added to your sheet gets a 40–120 word reply in your voice: specific, apologetic where needed, never arguing or admitting liability.
  • Comps are only offered if your voice guide allows it.
  • 1–2 star reviews and serious complaints (illness, allergies, injury, discrimination, legal threats) are posted to your managers' Slack channel right away.
  • A manager approves every reply; it's then saved in the review's row and emailed to whoever posts replies.

Before

Sunday night you scroll through a dozen reviews, write three replies, and leave the angry one for “later”. Later never comes.

After

Every review has a calm, specific draft waiting. The serious one reached your managers the hour it came in. You approve, copy and paste.

How it works

The whole workflow, step by step.

Paste or export your Google, Yelp or TripAdvisor reviews into a Google Sheet. For each new row, AI notes the sentiment and every issue the guest raised and drafts a 40–120 word public reply in your voice: specific, apologetic where needed, never arguing or admitting liability, and offering comps only if your voice guide allows it. 1–2★ reviews and serious complaints (illness, allergies, injury, discrimination, legal threats) are posted to your managers' Slack channel at once. A manager approves every reply; it is then written into the review's row and emailed to whoever posts replies. It doesn't post on the review sites — you copy and paste the approved reply.

This is the workflow that opens in your workspace when you set the agent up. Every step can be edited.

  1. Step 1New review in your Reviews sheetStarts a run for each review added to the bottom of your Reviews sheet (pasted in, or exported from Google, Yelp or TripAdvisor), checked on your plan's schedule interval.
  2. Step 2Read the review and draft a replyAI reads the rating and the review, notes the sentiment and each issue raised, flags low ratings and serious complaints for the manager, and drafts a public reply in your voice.
  3. Step 3Alert the manager?1–2★ reviews and serious complaints go to the manager in Slack at once; others don't need an alert.
  4. Step 4Alert the manager in SlackPosts the rating, a one-line summary, the issues and the suggested follow-up to your managers' channel, so a bad review is seen the same day.
  5. Step 5Manager alertedThe Slack alert is in the run history.
  6. Step 6No alert needed3★ and above without a serious complaint: no Slack alert; the reply still waits for approval.
  7. Step 7Manager approves the replyThe drafted reply waits in Reviews. The manager edits it if needed and approves it; nothing is written back or sent before that.
  8. Step 8Write the approved reply into the rowWrites the approved reply, “Approved — ready to post” and the time into the review's own row, starting at the column you pick.
  9. Step 9Email the approved reply to whoever posts itEmails the approved reply with the review link to the person who posts replies on Google, Yelp or TripAdvisor.
  10. Step 10Ready to postThe run history keeps the review, the approved reply and where it was saved.
  11. Step 11SkippedThe manager rejected the draft; nothing was written or sent.

Example with fictional data

Comes in

2★ review from “Sam K.” (example): “Food was great but we waited 40 minutes for mains and nobody explained why.”

The agent produces

Managers alerted in Slack. Draft reply thanks Sam for the kind words on the food, apologizes for the wait without excuses and invites them back. Waiting for manager approval.

Apps

Checklist

  • A paid plan (agents run live on paid plans).
  • An AI provider key (Settings → AI Providers).
  • Google Sheets and Slack, connected in Settings → Integrations.
  • A Google Sheet with one row per review (reviews added at the bottom) and three empty columns for the reply, status and approval time.

Setup, about 15 minutes

  1. Connect your AI provider. The AI steps run on your own key (OpenAI, Anthropic, Google and more). Add one in Settings → AI Providers.
  2. Connect Google Sheets. Connect the Google account that can edit your Reviews sheet (Settings → Integrations → Google Sheets).
  3. Connect Slack. Connect the Slack workspace your managers use (Settings → Integrations → Slack) and invite the app to the managers' channel.
  4. Pick your Reviews sheet. Open the trigger, pick your Google account, paste the spreadsheet link and the tab name.
  5. Describe your voice. Open “Read the review and draft a reply” and replace the placeholder with your venue, voice, sign-off and offline contact.
  6. Pick the managers' channel. Open “Alert the manager in Slack” and pick your account and channel.
  7. Choose where approved replies go. Open “Write the approved reply into the row”, pick the same account, spreadsheet and tab, and the first empty column.
  8. Add who posts replies. Open “Email the approved reply to whoever posts it” and enter their address.
  9. Test it with Dry Run. Press Dry Run: the agent runs on sample data with no messages sent and nothing written to your apps.
  10. Switch the trigger on. Open the trigger and click “Activate app trigger”: reviews added at the bottom of the sheet are picked up on your plan's schedule interval. Rows already there aren't processed.

Is it a fit?

Who it's for, and what it won't do.

Built for

  • Restaurant and café owners
  • Hotel, B&B and short-stay managers
  • Venue and attraction operators
  • Multi-location hospitality groups

What it doesn't do

  • It doesn't post replies on Google, Yelp or TripAdvisor (there's no connector for that): you copy and paste the approved reply.
  • It doesn't fetch reviews from the review sites: you paste or export them into the sheet.
  • Nothing is written back or emailed before a manager approves it.
  • It isn't the NPS analyzer: it answers public reviews one by one, it doesn't analyse private survey themes.

We list the limits up front so you can decide before you buy.

FAQ

Questions about Guest Review Responder.

What if the AI writes something we'd never say?

Nothing goes anywhere until a manager approves it, and you can edit any draft. It's told never to argue or admit liability, and it only works from the review and your voice guide. Try it with Dry Run first.

Does it post on Google, Yelp or TripAdvisor?

No. There's no connector that can post review replies, so you paste or export reviews into a Google Sheet and copy the approved reply back.

How long is setup?

About 15 minutes: connect Google Sheets and Slack, pick your reviews sheet, describe your voice and pick the managers' channel.

Is it worth paying for?

It's a one-time purchase that never renews, set against writing every reply yourself. You need a paid plan and your own AI provider key to run it live; Dry Run is free.

Does it post the reply on Google or Yelp?

No. There is no connector that can post review replies, so the approved reply is saved in the sheet and emailed to whoever posts replies, who copies and pastes it.

What should the sheet look like?

One row per review with columns such as Date, Platform, Reviewer, Rating, Review and Link, plus three empty columns at the right (e.g. Reply, Status, Approved at) for the agent to fill in. Add new reviews at the bottom.

Is this a subscription?

No. Guest Review Responder is a one-time purchase of $79 per workspace and never renews. The Enterprise plan includes it at no extra cost. Running it live needs a paid plan (from Basic ($39/mo)), and your AI provider bills you directly for usage.

Can I test it before it touches real data?

Yes. Once it's set up in your workspace, Dry Run plays every step on sample data with simulated AI and app calls: nothing is sent and nothing in your apps changes. Switch the trigger on only when you're happy.
