Sound familiar?

The job, before and after this agent.

What it feels like today

  • “The same lead fills in two forms and now two reps are calling them.”
  • “A customer's history is split across three records and nobody trusts the timeline.”
  • “Duplicate cleanup is a quarterly fire drill instead of something that happens as we go.”

What you get with the agent

  • Every new HubSpot contact checked for likely duplicates soon after it's created.
  • Searches by company email domain, phone number and last name, skipping free mail like gmail.com.
  • AI keeps only likely duplicates of the same person, with the evidence and which record to keep.
  • Merge suggestion posted to your Slack channel and noted on the new contact's timeline.
  • It never merges, edits or deletes anything: a person merges in HubSpot.

Before

A rep calls a new lead, only to hear that a colleague called yesterday under a different record created from the webinar form.

After

Minutes after the second record appears, Slack shows a merge suggestion: same phone, same name at the same company, keep the older record. Someone merges it before anyone dials.

How it works

The whole workflow, step by step.

For each new HubSpot contact, the agent searches for existing contacts with the same company email domain (free mail like gmail.com is skipped), the same phone number or the same last name. AI compares them and keeps only likely duplicates of the same person (matching phone, same name at the same company, near-identical emails), with the evidence and which record to keep. The merge suggestion is posted to your Slack channel and noted on the new contact. A person merges in HubSpot: the agent never merges, edits or deletes records, and it checks new contacts only.

This is the workflow that opens in your workspace when you set the agent up. Every step can be edited.

  1. Step 1New contact in HubSpotStarts a run for each contact created in HubSpot (checked on your plan's schedule interval).
  2. Step 2Prepare the match keysAI works out the company email domain (skipping free mail like gmail.com), the phone number digits and the last name to search on.
  3. Step 3Find contacts at the same company domainSearches HubSpot for contacts whose email uses the same company domain.
  4. Step 4Find contacts with the same phoneSearches HubSpot's searchable phone number (digits without the country code).
  5. Step 5Find contacts with the same last nameSearches HubSpot for contacts with the same last name (the comparison step decides which are really the same person).
  6. Step 6Decide which are likely duplicatesAI compares the new contact with every candidate (email, phone, name, company) and keeps only likely duplicates, with the evidence and which record to keep.
  7. Step 7Any likely duplicates?Contacts with no likely duplicate end here; the rest go to Slack with a note on the record.
  8. Step 8No duplicatesThe run history keeps the check.
  9. Step 9Suggest the merge in SlackPosts the new contact, each likely duplicate with the evidence and which record to keep, to your CRM channel.
  10. Step 10Note it on the new contactLogs the likely duplicates on the new contact's timeline so anyone opening it sees the warning.
  11. Step 11Flagged for reviewThe run history keeps the duplicates found; a person merges them in HubSpot.

Example run

What goes in, and what comes out.

Example with fictional data

Comes in

New HubSpot contact: Rob Martinez, rob.martinez@globex-acme.example, phone (512) 555-0188, company Globex Acme.

The agent produces

Likely duplicate found: an existing Robert Martinez at the same domain with the same phone number. Evidence: matching phone and name at the same company. Suggestion: keep the older record with deal history. Posted to #crm-hygiene and noted on the new contact.

Apps

Checklist

  • A paid plan (agents run live on paid plans).
  • An AI provider key (Settings → AI Providers).
  • HubSpot and Slack, connected in Settings → Integrations.

Setup, about 12 minutes

  1. Connect your AI provider. The AI steps run on your own key (OpenAI, Anthropic, Google and more). Add one in Settings → AI Providers.
  2. Connect HubSpot. Connect your HubSpot account (Settings → Integrations → HubSpot).
  3. Connect Slack. Connect the Slack workspace your team uses (Settings → Integrations → Slack).
  4. Pick your HubSpot account. Pick your HubSpot account on the trigger and in the three search steps and “Note it on the new contact”.
  5. Pick the Slack account and channel. Open “Suggest the merge in Slack” and pick your account and channel. Invite the app to private channels first (/invite @Fluxo Flow).
  6. Test it with Dry Run. Press Dry Run: the agent runs on sample data with no messages sent and nothing written to your apps.
  7. Switch the trigger on. Open the trigger and click “Activate app trigger”: new HubSpot contacts are checked on your plan's schedule interval.

Is it a fit?

Who it's for, and what it won't do.

Built for

  • HubSpot admins and RevOps teams
  • Sales teams with several lead forms and sources
  • Marketing teams importing event and webinar lists

What it doesn't do

  • It never merges, edits or deletes contacts: a person merges in HubSpot.
  • It checks new contacts only, not your existing database.
  • It finds up to 25 candidates per search, so a very common last name or a big company domain may hide some matches.
  • Phone matching relies on HubSpot's searchable phone number (digits without the country code).

We list the limits up front so you can decide before you buy.

FAQ

Questions about Duplicate Contact Reviewer.

Will it flag colleagues at the same company?

No. A shared domain or last name alone isn't enough; it needs a matching phone, the same name at the same company, or near-identical emails.

Could it merge the wrong records?

It can't merge at all. It suggests merges in Slack and on the record, and a person merges in HubSpot after checking.

Does it clean my existing database?

No, it checks new contacts only, so it stops the problem growing. It looks at up to 25 candidates per search. Setup takes about 12 minutes with HubSpot and Slack.

Is it worth the price?

A one-time price that never renews, versus periodic manual dedupe projects and confused reps. Live runs need a paid plan and your own AI provider key.

Does it merge contacts?

No. It suggests merges in Slack and notes them on the record; a person merges in HubSpot (Actions → Merge).

Will colleagues at the same company be flagged?

No. A shared company domain or last name alone isn't treated as a duplicate; it needs a matching phone, a matching name at the same company, or near-identical emails.

Is this a subscription?

No. Duplicate Contact Reviewer is a one-time purchase of $79 per workspace and never renews. The Enterprise plan includes it at no extra cost. Running it live needs a paid plan (from Basic ($39/mo)), and your AI provider bills you directly for usage.

Can I test it before it touches real data?

Yes. Once it's set up in your workspace, Dry Run plays every step on sample data with simulated AI and app calls: nothing is sent and nothing in your apps changes. Switch the trigger on only when you're happy.
