Sound familiar?

The job, before and after this agent.

What it feels like today

  • “Interviewers open the candidate's profile for the first time as the call starts.”
  • “The third interviewer asks the same questions as the first two.”
  • “Recruiters write prep notes for every panel by hand.”

What you get with the agent

  • Candidate interviews spotted on your Google Calendar, with the candidate and interviewers picked out of the invite.
  • The candidate looked up in Greenhouse by email and their activity feed read.
  • A two-minute brief: background, a summary of earlier interviewer notes, focus areas and logistics.
  • Four job-related suggested questions, with protected characteristics left out.
  • DMed to every interviewer in Slack about 3 hours before the interview.

Before

11:58. The panel skims Greenhouse and opens with: so, walk us through your background.

After

At 11am each interviewer has a Slack DM: what the phone screen covered, what to dig into, four questions and the meeting link.

How it works

The whole workflow, step by step.

Watches the Google Calendar your interviews are booked on. For each new candidate interview, AI identifies the candidate (the guest outside your company's domain) and the interviewers (your colleagues on the invite). About 3 hours before the interview it looks the candidate up in Greenhouse by email, reads their activity feed, and writes a two-minute brief — background from their profile, a short summary of what earlier interviewers noted (only what the notes say, nothing about protected characteristics), focus areas, four job-related suggested questions and logistics — then DMs it to each interviewer in Slack. It doesn't read résumé files or scorecards, and needs the candidate's email on the invite.

This is the workflow that opens in your workspace when you set the agent up. Every step can be edited.

  1. Step 1New event on the interview calendarStarts when an event is added to the Google Calendar your interviews are booked on (checked on your plan's schedule interval).
  2. Step 2Is it an interview? Who's who?AI decides whether the event is a candidate interview, picks out the candidate (the guest outside your company) and the interviewers (your colleagues on the invite), and works out when to send the brief.
  3. Step 3Candidate interview?Events that aren't candidate interviews (internal meetings, calls without an outside guest) stop here.
  4. Step 4Not an interviewThe run history keeps the event and the reason it was skipped.
  5. Step 5Wait until shortly before the interviewPauses until about 3 hours before the interview (right away when it's sooner), so the brief arrives when the interviewer needs it and uses the latest Greenhouse data.
  6. Step 6Look up the candidate in GreenhouseFinds the candidate in Greenhouse by the email on the invite: current company and title, tags, applications and other profile details.
  7. Step 7Found in Greenhouse? When the candidate is in Greenhouse, their activity feed (interviewer notes, emails, activity) is read too; otherwise the brief is written from the invite only.
  8. Step 8Read the candidate's notesReads the candidate's Greenhouse activity feed: notes from earlier interviews and screens, emails and activity (newest 100).
  9. Step 9Write the prep briefAI writes a one-screen brief from the Greenhouse profile, the relevant notes from earlier conversations and the invite: who the candidate is, what earlier interviewers noted, what to focus on, and suggested questions for the role.
  10. Step 10Each interviewerRepeats for every colleague on the invite (up to 10).
  11. Step 11Find the interviewer in SlackLooks up the interviewer's Slack account by their work email.
  12. Step 12DM them the briefSends the brief as a direct message from the Fluxo Flow app.
  13. Step 13Briefs sentThe run history keeps the brief and which interviewers got it (and any that couldn't be found in Slack).

Apps

Checklist

  • A paid plan (agents run live on paid plans).
  • An AI provider key (Settings → AI Providers).
  • Google Calendar, Greenhouse and Slack, connected in Settings → Integrations.
  • Interview invites that include the candidate's email address, with interviewers using the same email in Slack.

Setup, about 15 minutes

  1. Connect your AI provider. The AI steps run on your own key (OpenAI, Anthropic, Google and more). Add one in Settings → AI Providers.
  2. Connect Google Calendar. Connect the Google account whose calendar interviews are booked on (Settings → Integrations → Google Calendar).
  3. Connect Greenhouse. Connect Greenhouse (Settings → Integrations → Greenhouse) with a Harvest V3 credential that can list candidates and notes (harvest:candidates:list, harvest:notes:list).
  4. Connect Slack. Connect the Slack workspace your interviewers use (Settings → Integrations → Slack).
  5. Pick the interview calendar account. Open the trigger and pick the Google account (and calendar, if not the main one) interviews are booked on.
  6. Describe your domain and invite titles. Open “Is it an interview? Who's who?” and replace the placeholder with your email domain(s) and how interview invites are titled.
  7. Pick your Greenhouse and Slack accounts. Pick your Greenhouse account on “Look up the candidate in Greenhouse” and “Read the candidate's notes”, and your Slack workspace on “Find the interviewer in Slack” and “DM them the brief”.
  8. Test it with Dry Run. Press Dry Run: the agent runs on sample data with no messages sent and nothing written to your apps.
  9. Switch the trigger on. Open the trigger and activate it. From then on, each new event on the calendar is checked on your plan's schedule interval.

Is it a fit?

Who it's for, and what it won't do.

Built for

  • Recruiters coordinating interview panels
  • Hiring managers
  • Talent teams on Greenhouse and Google Calendar

What it doesn't do

  • It can't read résumé files or scorecards — it uses the Greenhouse profile, the candidate's notes (newest 100) and the invite.
  • It doesn't schedule, move or cancel interviews. If an interview is moved after it was booked, the brief still goes at the originally planned time.
  • It doesn't score or recommend candidates.

FAQ

Questions about Interview Prep Brief.

Which apps does it need?

Google Calendar, Greenhouse and Slack. The agent's page shows whether each app is ready to connect.

Does it read résumés or score candidates?

No. It uses the Greenhouse profile, the candidate's notes and the invite; résumé files and scorecards aren't read, and it never scores or recommends.

What about bias?

Suggested questions are job-related, and anything about protected characteristics, health, family or pay history is left out. It summarizes the notes and never invents facts.

Setup and cost?

About 15 minutes once the apps are connected; invites must include the candidate's email. A one-time unlock that never renews; live runs need a paid plan and your own AI key.

How does it know who the candidate is?

The candidate is the guest whose email isn't on your company's domain. If the invite doesn't include the candidate's email, it can't look them up and the brief says so.

Can it read résumés?

No. It uses the Greenhouse candidate profile, the candidate's notes and the invite. Résumé files and scorecards aren't read.

What does it take from the notes?

Only what the notes say that matters for the interview — earlier interviewers' observations and follow-ups — summarised, never extended. Anything about protected characteristics, health, family or pay history is left out.

Is this a subscription?

No. Interview Prep Brief is a one-time purchase of $99 per workspace and never renews. The Enterprise plan includes it at no extra cost. Running it live needs a paid plan (from Basic ($39/mo)), and your AI provider bills you directly for usage.

Can I test it before it touches real data?

Yes. Once it's set up in your workspace, Dry Run plays every step on sample data with simulated AI and app calls: nothing is sent and nothing in your apps changes. Switch the trigger on only when you're happy.
