Sound familiar?
The job, before and after this agent.
What it feels like today
- “We only notice a bestseller is out when a customer complains.”
- “The morning stock check is a spreadsheet ritual nobody enjoys.”
- “Purchase orders get rushed, so we miss case packs and supplier minimums.”
What you get with the agent
- A daily read of your Google Sheets inventory at the time you choose.
- Days of cover and likely stock-out date for each item, from your own on-hand, on-order, sales and lead-time numbers.
- Draft purchase orders grouped by supplier, rounded to case packs and minimums, waiting for approval in Reviews.
- Slack alerts for low stock with urgent items first; approved orders emailed to your purchasing inbox.
- A daily inventory report by email, plus flags for rows with missing or impossible numbers.
Before
You open the stock sheet with your coffee, eyeball the reorder column, and fire off an order. Two weeks later the item you skipped sells out on a Saturday.
After
At 7am Slack tells you two items run out before their supplier can restock, and draft orders are already waiting. You check the quantities, approve, and the orders go to purchasing.
How it works
The whole workflow, step by step.
Every morning the agent reads your inventory sheet in Google Sheets. AI works out each item's days of cover and likely stock-out date from your on-hand, on-order, daily-sales and lead-time numbers, picks what to reorder under the rules you write and drafts purchase orders grouped by supplier, rounded to case packs and minimums. When something needs reordering, your Slack channel is alerted (urgent items first) and the draft orders wait for approval in Reviews; approved orders are emailed to your purchasing inbox. A daily inventory report is emailed either way. It reads the sheet you keep up to date; it doesn't connect to a POS or email suppliers itself.

This is the workflow that opens in your workspace when you set the agent up. Every step can be edited.
- Step 1Every morningRuns every day at 07:00 (change the time and time zone on the trigger).
- Step 2Read your inventory sheetReads every row of your inventory sheet: SKU, product, on hand, reorder point, daily sales, lead time, supplier…
- Step 3Check stock and draft purchase ordersAI works out days of cover and likely stock-out dates from your numbers, picks what to reorder under your rules, and drafts purchase orders grouped by supplier plus a daily report (estimated costs are checked in code next).
- Step 4Check the mathRecalculates each purchase-order line's estimated cost (quantity × unit cost), the estimated total and each item's days of cover in code — not by AI — writes the correct figures into the purchase orders and report, and flags anything the AI got wrong for the buyer.
- Step 5Anything to reorder? When at least one item needs reordering, Slack is alerted and the draft purchase orders go to Reviews; the daily report is emailed either way.
- Step 6Alert Slack about low stockPosts the items to reorder, urgent ones first with their stock-out dates, to your operations channel.
- Step 7Approve the purchase ordersA buyer checks the draft purchase orders in Reviews, edits quantities if needed and approves them.
- Step 8Email the approved purchase ordersEmails the approved purchase orders, grouped by supplier, to your purchasing inbox, ready to forward or place.
- Step 9Email the daily inventory reportEmails the day's report: items checked, what to reorder, data issues and the draft purchase orders.
- Step 10ReportedThe run history keeps each day's analysis.

The agent produces
Cedar 8oz: about 7 days of cover, stock-out before restock. Draft PO for 72 units (3 cases) to the wax supplier, flagged urgent in Slack and waiting in Reviews. Daily report emailed.

- Small warehouse and operations managers

FAQ
Questions about Inventory & Restock Monitor.
How accurate are the forecasts?
It's simple, transparent arithmetic on your own sheet's averages, not seasonal demand modelling. That's why draft orders wait for you to check quantities and approve them.
Does it connect to my POS or email suppliers?
No. It reads the inventory sheet you keep up to date (by hand, POS export or another workflow), and approved orders go to your purchasing inbox so a person places them.
What do I need to get started?
About 20 minutes of setup with Google Sheets and Slack connected, and a sheet with one row per item. To run it live you need a paid plan and your own AI provider key (OpenAI, Anthropic, Google and others), added in Settings. Dry Run on sample data is free, so you can see real output before you commit.
Is it worth the price?
It's a one-time purchase that never renews. One avoided stock-out on a top seller can cover it.
What does my inventory sheet need?
One row per item with at least SKU, Product, On hand and Reorder point. Avg daily sales, Lead time (days), On order, Supplier, Supplier email, Unit cost and Case pack make the forecasts and orders much better.
Does it email my suppliers?
No. Approved purchase orders go to your purchasing inbox so a person sends or places them.
Is this a subscription?
No. Inventory & Restock Monitor is a one-time purchase of $99 per workspace and never renews. The Enterprise plan includes it at no extra cost. Running it live needs a paid plan (from Basic ($39/mo)), and your AI provider bills you directly for usage.
Can I test it before it touches real data?
Yes. Once it's set up in your workspace, Dry Run plays every step on sample data with simulated AI and app calls: nothing is sent and nothing in your apps changes. Switch the trigger on only when you're happy.
