Sound familiar?

The job, before and after this agent.

What it feels like today

  • “Somebody always ends up taking notes instead of actually being in the meeting.”
  • “A week later nobody remembers what we decided or who said they'd do it.”
  • “Our meeting notes are scattered across docs, chat threads and people's notebooks.”

What you get with the agent

  • A summary, the decisions, open questions and risks from every transcript, written only from what was said.
  • Action items with owners and due dates; anything without a clear owner is marked Unassigned, never guessed.
  • Every meeting saved as a page in your Notion meeting-notes database, searchable in one place.
  • A short Slack recap with decisions, action items and a link to the full notes, posted to your team channel.
  • Test recordings and empty transcripts are skipped, so your notes database stays clean.

Before

The call ends, everyone rushes to the next one, and the notes are half a page of fragments. Two days later you're scrolling chat to work out who agreed to send the revised proposal.

After

Minutes after the call, a recap lands in Slack: three decisions, five action items with owners, and a link to the full notes in Notion. Anything nobody owned is flagged as Unassigned so it gets picked up.

How it works

The whole workflow, step by step.

Receives each finished meeting's transcript (with title, date and attendees) through a webhook from your meeting recorder, note-taker or a form. AI writes a summary, the decisions, action items with owners and due dates, open questions and risks, using only what was said; action items without a clear owner are marked Unassigned, never guessed. The full notes are saved as a page in your Notion meeting-notes database and a short recap with a link to that page is posted to your Slack channel. It works from transcript text: it doesn't record or convert audio.

This is the workflow that opens in your workspace when you set the agent up. Every step can be edited.

  1. Step 1New meeting transcriptYour meeting recorder or note-taker (or a form your team pastes into) posts each finished meeting's transcript to the workflow's webhook URL.
  2. Step 2Write the meeting notesAI turns the transcript into a summary, decisions, action items with owners and due dates, open questions and risks, using only what was said.
  3. Step 3Real meeting?Transcripts with no real discussion (a test recording, a two-line chat) are kept in the run history instead of being filed.
  4. Step 4Save the notes in NotionCreates a page in your meeting-notes database with the full notes: summary, decisions, action items, open questions, risks and attendees.
  5. Step 5Post the recap in SlackOnce the notes are saved, posts the short recap with decisions and action items (owners first) and the link to the Notion page to your team's channel.
  6. Step 6Kept in history onlyTranscripts with nothing to summarize are kept in the run history.

Example run

What goes in, and what comes out.

Example with fictional data

Comes in

Transcript of a 30-minute “Website refresh: weekly sync” at fictional Pinecrest Studio, with attendees Ana, Theo and Rui discussing launch timing and copy review.

The agent produces

Notion page with a summary, 2 decisions (launch moves to the 24th; homepage copy frozen Friday), 4 action items (Theo: final copy by Thu; Rui: staging link by Wed; 2 more), 1 open question, plus a Slack recap linking to it.

What you need

Everything it takes to run it.

About 15 minutes from purchase to live. A checklist above the canvas takes you through each step.

Plan

Included in Pro and up; on other paid plans it's $49 once. Agents run live on paid plans, from Basic ($39/mo).

Your AI key

Connect any of 14 AI providers on your own key. Your provider bills usage directly, at cost; we add no markup.

Apps

Checklist

  • A paid plan (agents run live on paid plans).
  • An AI provider key (Settings → AI Providers).
  • Notion and Slack, connected in Settings → Integrations.
  • A meeting tool, note-taker or form that can send the transcript text to a webhook URL.

Setup, about 15 minutes

  1. Connect your AI provider. The AI steps run on your own key (OpenAI, Anthropic, Google and more). Add one in Settings → AI Providers.
  2. Connect Notion. Connect the Notion workspace that holds your meeting notes (Settings → Integrations → Notion) and share the database with it.
  3. Connect Slack. Connect the Slack workspace your team uses (Settings → Integrations → Slack).
  4. Pick your meeting-notes database. Open “Save the notes in Notion” and pick your account and database.
  5. Pick the Slack account and channel. Open “Post the recap in Slack” and pick your account and channel. Invite the app to private channels first (/invite @Fluxo Flow).
  6. Test it with Dry Run. Press Dry Run: the agent runs on sample data with no messages sent and nothing written to your apps.
  7. Switch the trigger on. Open the trigger, switch the webhook on and paste its URL into your meeting tool's webhook settings (send the title, date, attendees and transcript).

Is it a fit?

Who it's for, and what it won't do.

Built for

  • Remote and hybrid teams with back-to-back calls
  • Agencies running weekly client syncs
  • Operations leads who run standups and planning meetings
  • Founders who want a searchable record of decisions

What it doesn't do

  • It doesn't record, join or transcribe meetings, and it can't read audio or video files. It needs the transcript text.
  • It doesn't create tasks in a project-management tool or send reminders about overdue action items.
  • It doesn't email the notes to attendees.

We list the limits up front so you can decide before you buy.

FAQ

Questions about Meeting Notes Agent.

What if the AI gets something wrong?

It writes only from what was said in the transcript and marks unclear owners as Unassigned instead of guessing. The full notes sit in Notion where anyone can correct them, and you can Dry Run it on a past transcript first.

Does it record or join my meetings?

No. It works from the transcript text your meeting recorder or note-taker already produces, sent to its webhook. Most note-takers can do this, or you can paste a transcript into a form.

How long does setup take, and which apps do I need?

About 15 minutes. You need Notion and Slack connected, plus a tool that can send transcript text to a webhook. To run it live you need a paid plan and your own AI provider key (OpenAI, Anthropic, Google and others), added in Settings. Dry Run on sample data is free, so you can see real output before you commit.

Is it worth the price?

It's a one-time purchase that never renews. Compare that with someone writing up and sharing notes after every meeting, every week.

Does it record or transcribe meetings?

No. It works from the transcript your meeting tool already makes (most recorders and note-takers can send it to a webhook, or you can paste it into a form that does).

What if nobody owns an action item?

It's marked “Unassigned” rather than guessed, so it stands out in the recap.

Is this a subscription?

No. Meeting Notes Agent is a one-time purchase of $49 per workspace and never renews. Pro, Business, Elite and Enterprise plans include it at no extra cost. Running it live needs a paid plan (from Basic ($39/mo)), and your AI provider bills you directly for usage.

Can I test it before it touches real data?

Yes. Once it's set up in your workspace, Dry Run plays every step on sample data with simulated AI and app calls: nothing is sent and nothing in your apps changes. Switch the trigger on only when you're happy.
