Document Processor · Operations

Stop retyping invoices and contracts into spreadsheets

It reads each document's text, pulls out the key fields exactly as written and files invoices to Google Sheets and contracts to Notion. Anything that looks off waits for a person.

Sound familiar?

The job, before and after this agent.

What it feels like today

  • “Someone spends hours every week copying invoice totals and due dates into our sheet.”
  • “Contract renewal dates are buried in PDFs nobody reopens.”
  • “We once nearly paid an invoice after the supplier's bank details had quietly changed.”

What you get with the agent

  • Each document classified: invoice, receipt, credit note, purchase order, contract or other.
  • Key fields extracted exactly as written: counterparty, number, dates, currency, subtotal, tax, total and line items, or parties, renewal and key terms for contracts.
  • Totals that don't add up, missing invoice details, changed bank details and risky contract terms are flagged and held in Reviews.
  • Financial documents added as rows to your Google Sheets ledger; contracts filed as pages in your Notion contracts database.
  • Anything else is posted to Slack so nothing disappears.

Before

Friday afternoon: twenty supplier invoices, one open spreadsheet, and a lot of squinting. A line total is off by a few dollars and nobody notices until month end.

After

Invoices arrive as rows in your ledger with every field filled in. The one whose line items don't add up, and the one with new bank details, are waiting in Reviews with the reason spelled out.

How it works

The whole workflow, step by step.

Receives each document's text through a webhook, from your document parser, scanner software, e-invoicing system or an email parser. AI identifies the type (invoice, receipt, credit note, purchase order, contract or other) and extracts the key fields exactly as written: counterparty, number, dates, currency, subtotal, tax, total and line items, or for contracts the parties, dates, renewal terms, value and key terms. It flags totals that don't add up, missing invoice details, changed bank details and risky contract terms; flagged documents wait for a person in Reviews. Financial documents are added to your Google Sheets ledger, contracts to your Notion contracts database, and anything else is posted to Slack. It reads text: it doesn't run OCR on scans or images.

This is the workflow that opens in your workspace when you set the agent up. Every step can be edited.

  1. Step 1New document textYour document parser, scanner software or another workflow posts each document's text (with its file name and source) to the webhook URL.
  2. Step 2Classify and extract the fieldsAI identifies the document type, extracts the key fields (amounts, dates, parties, terms) exactly as printed and flags anything odd; the document's arithmetic is checked in code in the next step.
  3. Step 3Check the document's arithmeticRecalculates in code — not by AI — each line's quantity × unit price, the line amounts added up and the total minus tax, and compares them with the printed figures; the extracted figures stay exactly as printed and any mismatch sends the document to Reviews.
  4. Step 4Needs a person?Documents with low confidence, any issue or arithmetic that doesn't add up wait for a check in Reviews before they're filed.
  5. Step 5Check the extracted fieldsA teammate compares the extracted fields with the document, fixes them if needed and approves them for filing.
  6. Step 6Which kind of document?Invoices, receipts, credit notes and purchase orders go to your ledger sheet; contracts to Notion; anything else to Slack.
  7. Step 7Add to the ledger sheetAdds a row to your Google Sheet: type, counterparty, number, dates, currency, subtotal, tax, total, issues and file name.
  8. Step 8Add to the contracts databaseCreates a page in your Notion contracts database with the parties, dates, renewal terms, value and key terms.
  9. Step 9Post other documents to SlackDocuments that are neither financial nor contracts are posted to your operations channel with a one-line summary, so nothing is lost.
  10. Step 10FiledThe run history keeps the document's extracted fields and where it was filed.

Example run

What goes in, and what comes out.

Example with fictional data

Comes in

Text of invoice INV-3307 from fictional Copperleaf Packaging: 3 line items, subtotal $1,240.00, tax $99.20, total $1,339.20, due in 30 days.

The agent produces

Classified as invoice. Row added to the ledger with counterparty, number, dates, USD, subtotal, tax and total. No issues flagged. A second invoice with a changed bank account was held in Reviews instead.

What you need

Everything it takes to run it.

About 20 minutes from purchase to live. A checklist above the canvas takes you through each step.

Plan

Included in Enterprise; on other paid plans it's $99 once. Agents run live on paid plans, from Basic ($39/mo).

Your AI key

Connect any of 14 AI providers on your own key. Your provider bills usage directly, at cost; we add no markup.

Apps

Checklist

  • A paid plan (agents run live on paid plans).
  • An AI provider key (Settings → AI Providers).
  • Google Sheets, Notion and Slack, connected in Settings → Integrations.
  • A tool that sends document text to a webhook URL (document parser, scanner software, email parser or your own system).

Setup, about 20 minutes

  1. Connect your AI provider. The AI steps run on your own key (OpenAI, Anthropic, Google and more). Add one in Settings → AI Providers.
  2. Connect Google Sheets. Connect the Google account that can edit your ledger spreadsheet (Settings → Integrations → Google Sheets).
  3. Connect Notion. Connect the Notion workspace that holds your contracts database (Settings → Integrations → Notion) and share the database with it.
  4. Connect Slack. Connect the Slack workspace your team uses (Settings → Integrations → Slack).
  5. Pick your ledger sheet. Open “Add to the ledger sheet”, pick your account, paste the spreadsheet link and pick the tab.
  6. Pick your contracts database. Open “Add to the contracts database” and pick your account and database.
  7. Pick the Slack account and channel. Open “Post other documents to Slack” and pick your account and channel. Invite the app to private channels first (/invite @Fluxo Flow).
  8. Test it with Dry Run. Press Dry Run: the agent runs on sample data with no messages sent and nothing written to your apps.
  9. Switch the trigger on. Open the trigger, switch the webhook on and point your document parser at its URL (send file_name, source and the text).

Is it a fit?

Who it's for, and what it won't do.

Built for

  • Accounts-payable and bookkeeping teams
  • Operations managers handling supplier paperwork
  • Small finance teams without a document system
  • Agencies tracking client contracts

What it doesn't do

  • It doesn't run OCR or read PDFs, images or scans directly; it needs the document's text.
  • It doesn't watch a Gmail inbox or a Drive folder by itself.
  • It doesn't process ID documents, pay invoices or post them to your accounting software.
  • It doesn't give legal or tax advice; it reports what's written and what looks unusual.

We list the limits up front so you can decide before you buy.

FAQ

Questions about Document Processor.

Can I trust the numbers it extracts?

It copies values exactly as written and checks that totals add up. Anything inconsistent, missing or suspicious, like changed bank details, waits for a person in Reviews before it's filed.

Can I send it PDFs or photos?

It reads text, not images. Send the text from your document parser, scanner software, e-invoicing system or email parser. Most tools can convert text-based PDFs to text.

Which apps do I need?

Google Sheets, Notion and Slack, plus a tool that sends document text to a webhook. Setup takes about 20 minutes. To run it live you need a paid plan and your own AI provider key (OpenAI, Anthropic, Google and others), added in Settings. Dry Run on sample data is free, so you can see real output before you commit.

Is it worth the price?

It's a one-time purchase that never renews. Set that against the hours of manual data entry each month, and the cost of paying one fraudulent invoice.

Can I send it a PDF or a photo?

Not directly: it reads text. Send the text your document parser, scanner software or e-invoicing system extracts (text-based PDFs can be converted to text by most tools).

What columns should the ledger sheet have?

Received, Type, Counterparty, Number, Issue date, Due date, Currency, Subtotal, Tax, Total, Issues, File, in that order.

Does it fix totals that don't add up?

No — it files what the document says. The arithmetic (each line, the lines against the subtotal, total minus tax) is checked in code, not by the AI; when the document's own figures don't add up, it's flagged and waits in Reviews with the difference, and the printed figures are left as they are.

Is this a subscription?

No. Document Processor is a one-time purchase of $99 per workspace and never renews. The Enterprise plan includes it at no extra cost. Running it live needs a paid plan (from Basic ($39/mo)), and your AI provider bills you directly for usage.

Can I test it before it touches real data?

Yes. Once it's set up in your workspace, Dry Run plays every step on sample data with simulated AI and app calls: nothing is sent and nothing in your apps changes. Switch the trigger on only when you're happy.
