Calendar integration

Calendly integration for AI workflows.

Turn every Calendly booking into follow-up: CRM updates, reminders, prep tasks — and send one-time booking links.

Beta

In short

Fluxo Flow connects to Calendly by signing in to Calendly; workflows can get an event's invitees, list event types and create a one-time booking link and more, and start from new booking, booking canceled and new booking (instant). The integration is in beta.

Beta means it works but hasn't been tested against every account setup yet; actions and fields may still change. Found a problem? Tell us.

What you can do

Actions and triggers for Calendly.

Actions

  • Get an event's invitees

Returns who booked a scheduled event: name, email, time zone, status (active or canceled) and answers to your booking questions.

  • List event types

Lists your active event types with their booking links.

  • Create a one-time booking link

Creates a single-use booking link for an event type (it stops working after one booking). Handy in follow-up emails and SMS.

  • Find available times

Lists open slots for an event type between two times (up to 7 days apart).

  • Book a meeting

Books a meeting on an event type for someone (Calendly's Scheduling API; needs a paid Calendly plan). Calendly sends its usual confirmations.

  • Cancel an event

Cancels a scheduled event; Calendly notifies the invitees.

Triggers

  • New booking (checked on your plan's schedule interval)

Starts a run when someone books one of your events (checks your upcoming events; use “Get an event's invitees” for who booked).

  • Booking canceled (checked on your plan's schedule interval)

Starts a run when an upcoming event is canceled (by you or the invitee).

  • New booking (instant) (instant webhook)

Starts a run within seconds of someone booking one of your events, with the invitee's name, email and answers. Needs a paid Calendly plan.

  • Booking canceled (instant) (instant webhook)

Starts a run within seconds of an invitee canceling (or rescheduling) a booking. Needs a paid Calendly plan.

Limits and timing

  • Polling triggers are checked on your plan's schedule interval: Basic every 15 minutes, Pro every 5 minutes, Business every 2 minutes, Elite every minute.
  • Calendly triggers check at most every 2 minutes, whatever your plan, to respect Calendly's limits.
  • Instant triggers arrive by webhook within seconds of the event.
  • If Calendly says to slow down (HTTP 429 or 503), requests wait as told and retry a limited number of times.

FAQ

Calendly questions, answered.

How fast does “New booking” fire?

It checks Calendly on your plan's schedule interval (at least every 2 minutes) and looks at your next 500 upcoming events. On a paid Calendly plan, “New booking (instant)” fires within seconds through a Calendly webhook (beta) and includes the invitee's details.

Do I need a paid Calendly plan?

Triggers, invitee lookups, booking links and cancelling work on any plan. “Book a meeting” uses Calendly's Scheduling API, which needs a paid plan.

Whose events are included?

The events of the Calendly user who connected.

Is the Calendly integration finished?

It's in beta: it works, but it hasn't been tested against every account setup yet. Tell us if something doesn't behave as expected.

Can I use Calendly on the Free plan?

You can connect it, build with it and Dry Run on the Free plan. Running workflows live (triggers, schedules, webhooks) needs a paid plan.

What happens if the connection expires?

Access tokens are renewed automatically. If Calendly revokes access (for example, the person who connected it leaves), steps that use the connection fail and show the error in the run trace; reconnect in Settings → Integrations.

Can I call Calendly endpoints the integration doesn't cover?

Yes, if Calendly has an API: save a key in the encrypted credential vault and call it with an HTTP Request step.

Can I test a workflow without touching my real data?

Yes. Dry Run walks through every step with simulated app calls, so nothing is sent until you run it for real or activate its trigger.
