Sound familiar?

The job, before and after this agent.

What it feels like today

  • “Quote requests wait a day while a PM does the math for each language pair.”
  • “We under-quote rush and certified jobs.”
  • “Quotes live in sent folders, not in a pipeline.”

What you get with the agent

  • Each language pair priced only from your rate card (per word by pair and specialty, minimum fee, rush multiplier, certification fee); pair amounts, rush and total recalculated in code, not by the AI.
  • Certified, sworn, legal and medical work flagged for your PM.
  • Two suggested linguists per pair from your roster.
  • PM approval on every quote before it's emailed to the client.
  • The client and a deal with the total saved in HubSpot, plus a Slack summary.

Before

A device maker needs English to German and French by Friday. The PM builds the quote in a spreadsheet the next morning.

After

Within minutes a quote with both pairs priced, the rush multiplier applied and a medical flag is waiting for the PM, with two linguists suggested per pair.

How it works

The whole workflow, step by step.

Starts from each request your quote form posts. The agent reads your rate card and linguist roster in Google Sheets, and AI prices each language pair from your card only (per word by pair and specialty, minimum fee, rush multiplier, certification fee). Every pair amount, the rush surcharge and the total are then recalculated in code, never by the AI, and any AI mistake is corrected and flagged. It flags certified, sworn, legal and medical work for your PM and suggests 2 linguists per pair from your roster. Your PM approves and can edit every quote. It's then emailed to the client, the client and a deal with the total are saved in HubSpot, and the PM gets a summary in Slack. It uses the word count the client gives and doesn't count the file. It applies no CAT-tool or translation-memory discounts unless your card defines them, doesn't decide what certification is needed and doesn't contact linguists.

This is the workflow that opens in your workspace when you set the agent up. Every step can be edited.

  1. Step 1Quote requestStarts when your website's quote form posts here: language pairs, word count, subject area, deadline, whether a certified translation is needed and a file link.
  2. Step 2Read your rate cardReads your rate card tab: per-word rate by language pair and specialty, minimum fee, rush multipliers and certification fee.
  3. Step 3Read your linguist rosterReads your linguist roster tab: name, language pairs, specialties, certified or sworn status and availability notes.
  4. Step 4Work out the deadlineIn code, not AI: how many working days (Monday–Friday) and calendar days from today the client's deadline is, in the trigger's time zone (set timezone here; UTC otherwise), for the rush check.
  5. Step 5Price the quoteAI prices each language pair from your rate card only (per word, minimum fee, rush, certification), flags certified, sworn, legal or medical work for your PM, suggests 2 linguists per pair from your roster and drafts the quote email.
  6. Step 6Check the mathRecalculates each pair (words × rate, or the minimum fee when higher), the translation subtotal, the rush surcharge, the certification fee and the total in code — not by AI — writes the correct figures into the quote, email and Slack summary, and flags anything the AI got wrong for the PM. Pairs without a rate stay unpriced.
  7. Step 7PM approves the quoteThe project manager checks every rate, the flags and the suggested linguists in Reviews, edits the quote if needed and approves it to send. Reject to send nothing.
  8. Step 8Email the quoteEmails the approved quote to the client, with replies to your PM inbox.
  9. Step 9Save the client in HubSpotCreates or updates the client's HubSpot contact.
  10. Step 10Create the HubSpot dealCreates a deal for the quote in your pipeline stage, with the approved total.
  11. Step 11Link the deal to the clientLinks the new deal to the client's contact.
  12. Step 12Tell the PM in SlackPosts the quote, flags and suggested linguists to your PM channel.
  13. Step 13Quote sentThe run history keeps the pricing, the quote and the HubSpot deal.

Comes in

Fictional request: 4,200 words, English to German and French, medical device instructions, due in 4 days, not certified.

The agent produces

Each pair priced from your card with totals checked in code, rush applied if your bands say so, flagged as medical for the PM, two linguists suggested per pair, waiting for approval.

Apps

Checklist

  • A paid plan (agents run live on paid plans).
  • An AI provider key (Settings → AI Providers).
  • Google Sheets, HubSpot and Slack, connected in Settings → Integrations.
  • A rate card and a linguist roster in Google Sheets, and a quote form that can post JSON to a webhook.

Setup, about 20 minutes

  1. Connect your AI provider. The AI steps run on your own key (OpenAI, Anthropic, Google and more). Add one in Settings → AI Providers.
  2. Connect Google Sheets. Connect the Google account that can open your rate card and roster (Settings → Integrations → Google Sheets).
  3. Connect HubSpot. Connect the HubSpot account for your clients (Settings → Integrations → HubSpot).
  4. Connect Slack. Connect the Slack workspace your PMs use (Settings → Integrations → Slack).
  5. Add your quoting rules. Open “Price the quote” and replace the placeholder with your turnaround, rush rule, validity, payment terms and sign-off.

Is it a fit?

Who it's for, and what it won't do.

Built for

  • Translation and localization agencies
  • Language service project managers
  • Freelance translator collectives

What it doesn't do

  • It uses the word count the client gives and doesn't count the file.
  • No CAT-tool or translation-memory discounts unless your card defines them; it never invents a rate or discount.
  • It flags certified, legal and medical work but doesn't decide what certification or expertise is needed — your PM and linguists do.
  • It doesn't contact linguists or book the work.

We list the limits up front so you can decide before you buy.

FAQ

Questions about Translation Quote Builder.

Does it count the words in the file?

No. It prices the word count the client gives, and the quote says the price may change once the files are counted.

Will it decide what certification is needed?

No. It flags certified, legal and medical work; your PM and linguists decide. It doesn't contact linguists, and applies no memory discounts unless your card defines them.

How long is setup?

About 20 minutes: connect Google Sheets, HubSpot and Slack, add your quoting rules, pick the rate card and roster, then Dry Run.

What does it cost?

A one-time unlock that never renews. Live runs need a paid plan and your own AI key; Dry Run is free.

What should the form send?

A JSON POST with client_name, client_email, company, source_language, target_languages (a list), word_count, subject_area, deadline, certified (yes / no), file_link and notes.

What should the rate card look like?

One row per pair and specialty: Source, Target, Specialty, Per word, Minimum fee; plus rows for rush bands (e.g. “Rush: under 3 working days ×1.25”) and the certification fee. Discounts for repetitions or translation memory apply only if your card defines them.

Can the AI get the totals wrong?

Not in what your PM or client sees: after the AI prices the quote, each pair (words × rate, or the minimum fee), the rush surcharge, the certification fee and the total are recalculated in code and written into the quote email, the HubSpot deal and the Slack summary. If the AI's math was off, the review screen shows what was corrected.

Is this a subscription?

No. Translation Quote Builder is a one-time purchase of $119 per workspace and never renews. The Enterprise plan includes it at no extra cost. Running it live needs a paid plan (from Basic ($39/mo)), and your AI provider bills you directly for usage.

Can I test it before it touches real data?

Yes. Once it's set up in your workspace, Dry Run plays every step on sample data with simulated AI and app calls: nothing is sent and nothing in your apps changes. Switch the trigger on only when you're happy.
