Never let a HubSpot deal go quiet without a follow-up again

Sound familiar?
The job, before and after this agent.
What it feels like today
- “Deals die in the proposal stage because nobody followed up after the second week.”
- “I spend Monday mornings filtering HubSpot views to figure out who my reps forgot about.”
- “Reps know they should chase, but writing yet another check-in email is the task they always push to tomorrow.”
What you get with the agent
- Up to 100 open HubSpot deals reviewed every weekday morning, with no manual filtering.
- Deals with no activity for a week, no next step or a passed close date flagged, plus anything your own playbook rules call stale.
- A ranked top 10 by risk and deal value, so the biggest at-risk deals come first.
- A short, stage-aware follow-up email draft and one concrete next step for each.
- Nothing is sent or changed for you: reps personalize the drafts and send them themselves.
Before
A $24k deal sits in Proposal Sent for 19 days. Nobody notices until the forecast call, when the prospect has already gone with someone else.
After
On day 8, that deal shows up at the top of the morning Slack digest with a three-line check-in draft and a suggested next step. The rep tweaks one sentence and sends it before standup.
How it works
The whole workflow, step by step.
Every weekday morning it reads up to 100 open deals from HubSpot. AI picks the ones going quiet (no activity for a week, no next step booked, or a close date already passed, or your own rules), ranks them by risk and value, and drafts a short follow-up email for each, matched to the deal's stage and your playbook. The top 10, each with a next step and a draft, are posted to your sales channel in Slack for reps to personalize and send. It doesn't send messages or change deals itself.

This is the workflow that opens in your workspace when you set the agent up. Every step can be edited.
- Step 1Weekdays at 8:00Runs every weekday morning before the sales team starts. Set your time zone on the trigger.
- Step 2Find open deals in HubSpotReads up to 100 open deals with their stage, amount, close date and last activity dates.
- Step 3Check the datesIn code, not AI: for each deal, the days since its last activity, whether a next activity is booked and whether its close date has passed, in your time zone; deals created in the last 2 days are left out. Change the 2 days here (olderThan) and the 7-day quiet threshold (within.max: -7).
- Step 4Pick the deals going quiet and draft follow-upsAI picks the open deals with no recent activity, no next step booked or a close date already passed (all worked out in code), ranks them by value and risk, and drafts a follow-up email for each.
- Step 5Any deals to chase? When at least one deal needs a follow-up, the list goes to the sales channel; otherwise nothing is posted.
- Step 6Post today's follow-ups to SlackPosts the deals going quiet, each with the next step and a draft email, to your sales channel.
- Step 7Follow-ups postedThe run history keeps the reviewed deals and drafts.
- Step 8Nothing to chaseEvery open deal had recent activity; the run history keeps the check.
Example run
What goes in, and what comes out.
Example with fictional data
Comes in
Weekday 8:00 run. HubSpot shows the Acme Dental Group deal ($18,000, Proposal stage) with no activity for 11 days and a close date that passed last Friday.
The agent produces
Ranked number 2 in today's Slack digest. Why: proposal stage, close date passed, 11 days silent. Draft: a short note asking whether the proposal answered their questions on rollout timing, with two call times. Next step: move the close date after the reply.

Checklist
- A paid plan (agents run live on paid plans).
- An AI provider key (Settings → AI Providers).
- HubSpot and Slack, connected in Settings → Integrations.
- Deals in HubSpot with activity logged (emails, calls, meetings or notes), so “last activity” is meaningful.
Setup, about 15 minutes
- Connect your AI provider. The AI steps run on your own key (OpenAI, Anthropic, Google and more). Add one in Settings → AI Providers.
- Connect HubSpot. Connect the HubSpot account your sales team works in (Settings → Integrations → HubSpot).
- Connect Slack. Connect the Slack workspace your sales team uses (Settings → Integrations → Slack).
- Describe your sales playbook. Open “Pick the deals going quiet and draft follow-ups” and replace the placeholder with your offer, stage names and follow-up rules.

- Pick the Slack account and sales channel. Open “Post today's follow-ups to Slack” and pick your account and channel. Invite the app to private channels first (/invite @Fluxo Flow).
- Test it with Dry Run. Press Dry Run: the agent runs on sample data with no messages sent and nothing written to your apps.
- Switch the trigger on. Open the trigger, set your time zone and switch the schedule on. It runs every weekday at 8:00.
Is it a fit?
Who it's for, and what it won't do.
Built for
- Small B2B sales teams running deals in HubSpot
- Sales managers who want a daily list of who to chase
- Founder-led sales teams juggling deals between other work
What it doesn't do
- It doesn't send emails, SMS, WhatsApp or LinkedIn messages; reps send the drafts themselves.
- It doesn't change deal stages or create tasks in HubSpot.
- It doesn't read email threads or contact details; drafts are based on the deal's fields and your playbook, so reps add the personal touch.
- It reviews up to 100 open deals per run.
We list the limits up front so you can decide before you buy.

FAQ
Questions about Sales Follow-Up & Pipeline Nurture.
Will it email my prospects on its own?
No. It only drafts. Reps read, personalize and send the follow-ups from their own inbox or HubSpot, so nothing reaches a prospect without a person.
Can I change what counts as stale?
Yes. Write your own rules in the playbook, for example chase proposals after 3 days. The default checks activity, next step and close date.
What do I need to run it?
HubSpot and Slack, with activity logged on your deals so last activity means something. A paid plan runs it live with your own AI provider key; Dry Run is free.
Is it worth the price?
It's a one-time price that never renews. Weigh that against a manager rebuilding stale-deal lists and reps writing check-ins from scratch every morning. Setup is about 15 minutes.
Does it email prospects?
No. It drafts the follow-ups; reps personalize and send them from their own inbox or HubSpot.
Is this a subscription?
No. Sales Follow-Up & Pipeline Nurture is a one-time purchase of $79 per workspace and never renews. The Enterprise plan includes it at no extra cost. Running it live needs a paid plan (from Basic ($39/mo)), and your AI provider bills you directly for usage.
Can I test it before it touches real data?
Yes. Once it's set up in your workspace, Dry Run plays every step on sample data with simulated AI and app calls: nothing is sent and nothing in your apps changes. Switch the trigger on only when you're happy.
