Sound familiar?

The job, before and after this agent.

What it feels like today

  • “Showing requests sit in my inbox while I'm at another showing.”
  • “Post-showing feedback is scattered across texts and emails, and I can't tell who's serious.”
  • “Buyers never make it into the CRM because I don't have time to type them in.”

What you get with the agent

  • Three proposed showing times from your availability and each listing's showing instructions, plus your booking link.
  • Buyer questions answered from the listing's facts in your sheet, with anything uncertain marked for you to confirm.
  • Feedback turned into likes, concerns, a 0 to 100 interest score and a suggested next step.
  • Hot buyers, ready to offer or asking for a second look, posted to your Slack channel right away.
  • Once you approve the reply, the buyer is created or updated in HubSpot with a note of the request or feedback.

Before

A pre-approved buyer asks for a showing at 5:40pm. You see it at 9. They've already booked with the agent who answered first.

After

Within minutes a reply is waiting in Reviews with three times that fit your rules and the garage question answered from the listing sheet. One tap and it's sent, and the buyer is in HubSpot.

How it works

The whole workflow, step by step.

Every showing request or post-showing feedback your website or forms send in is read by AI together with that property's row from your listings sheet in Google Sheets. For requests it proposes 3 showing times from your availability and the listing's own showing instructions (and adds your booking link), answers the buyer's questions from the listing's facts only, and notes what to confirm with the listing side; for feedback it summarizes what the buyer liked and their concerns, scores their interest from 0 to 100 and suggests a next step. Hot buyers are posted to your Slack channel right away. You approve each drafted reply before it's emailed to the buyer; the buyer is added to HubSpot with a note of the request or feedback. It doesn't see or book your calendar and doesn't send SMS.

This is the workflow that opens in your workspace when you set the agent up. Every step can be edited.

  1. Step 1Showing request or feedbackYour website, listing pages or feedback form posts each showing request (or post-showing feedback) to the workflow's webhook URL.
  2. Step 2Read your listings sheetReads your listings sheet on every message: each property's status, showing instructions (occupied, notice, lockbox, pets) and key facts, so replies use the current details.
  3. Step 3Read the request and draft the replyAI reads the buyer's request or feedback with that property's row from your listings sheet, proposes showing times from your availability and the listing's instructions, answers questions from the listing's facts, scores buyer interest and drafts a personal reply.
  4. Step 4Hot buyer?Hot buyers (ready to offer or wanting a second showing soon) are posted to the agent in Slack right away.
  5. Step 5Alert the agent in SlackPosts the hot buyer, the property, what they said and the suggested next step to your Slack channel.
  6. Step 6Not urgentEverything else is answered through Reviews; the run history keeps the details.
  7. Step 7Agent approves the replyThe agent checks the proposed times or follow-up in Reviews, edits the reply and approves it to email the buyer and update HubSpot.
  8. Step 8Email the buyerSends the approved reply to the buyer, with replies going to the agent's inbox.
  9. Step 9Add the buyer to HubSpotCreates the buyer as a contact in HubSpot (or updates the one with the same email) for your follow-up.
  10. Step 10Log it on the buyer in HubSpotAdds a note to the buyer's HubSpot contact with the property, the request or feedback summary, the interest score, the next step and the buyer's own message.

What goes in, and what comes out.

Example with fictional data

Comes in

Fictional request on 42 Maple Ridge Dr: pre-approved, weekday evenings after 5 or Saturday morning, asks whether the garage fits a full-size truck.

The agent produces

A draft reply offering Tuesday 5:30, Thursday 6:00 and Saturday 10:00, answering the garage question from the listing sheet or flagging it to confirm, a note of what to clear with the listing side, and a HubSpot contact once you approve.

What you need

Everything it takes to run it.

About 15 minutes from purchase to live. A checklist above the canvas takes you through each step.

Plan

Included in Enterprise; on other paid plans it's $79 once. Agents run live on paid plans, from Basic ($39/mo).

Your AI key

Connect any of 14 AI providers on your own key. Your provider bills usage directly, at cost; we add no markup.

Apps

Checklist

  • A paid plan (agents run live on paid plans).
  • An AI provider key (Settings → AI Providers).
  • Google Sheets, Slack and HubSpot, connected in Settings → Integrations.
  • A Google Sheet of your listings (one row each, kept current), and a website or form that can send showing requests and feedback to a webhook URL.

Setup, about 15 minutes

  1. Connect your AI provider. The AI steps run on your own key (OpenAI, Anthropic, Google and more). Add one in Settings → AI Providers.
  2. Connect Google Sheets. Connect the Google account that can open your listings sheet (Settings → Integrations → Google Sheets).
  3. Connect Slack. Connect the Slack workspace you use for alerts (Settings → Integrations → Slack).
  4. Connect HubSpot. Connect the HubSpot account you keep buyers in (Settings → Integrations → HubSpot).
  5. Pick your listings sheet. Open “Read your listings sheet”, pick your Google account, paste the spreadsheet link and pick the tab with one row per listing (address, status, showing instructions, key facts).
  6. Describe your showing availability. Open “Read the request and draft the reply” and replace the placeholder with your hours, notice and booking link.
  7. Pick the Slack channel. Open “Alert the agent in Slack” and pick your account and channel. Invite the app to private channels first (/invite @Fluxo Flow).
  8. Add your email and HubSpot account. Open “Email the buyer” to enter your reply-to address, and “Add the buyer to HubSpot” and “Log it on the buyer in HubSpot” to pick your account.
  9. Test it with Dry Run. Press Dry Run: the agent runs on sample data with no messages sent and nothing written to your apps.
  10. Switch the trigger on. Open the trigger, switch the webhook on and send your showing-request and feedback forms to its URL.

Is it a fit?

Who it's for, and what it won't do.

Built for

  • Buyer's and listing agents juggling showings
  • Real estate teams with a shared showing inbox
  • Agents who run HubSpot as their CRM

What it doesn't do

  • It can't see or book your calendar (Google Calendar, Outlook Calendar and Calendly are waiting for approval); proposed times come from the rules you write, and you confirm them.
  • It doesn't send SMS or reminders; replies go by email after you approve them.
  • It doesn't contact the listing agent or confirm access with the seller.
  • It doesn't track showing-to-offer conversion or enroll buyers in sequences (use HubSpot for that).

We list the limits up front so you can decide before you buy.

FAQ

Questions about Showing Coordinator & Buyer Follow-Up.

Will it book showings on my calendar?

No. It proposes times from the availability rules you write, and you confirm them. It doesn't text buyers either; replies go by email.

What if it answers a buyer's question wrong?

It answers only from the facts in your listings sheet and says you'll confirm anything else. Every reply waits for your approval, and Dry Run lets you test it on sample requests first.

How long is setup?

About 15 minutes: connect Google Sheets, Slack and HubSpot, point it at your listings sheet, describe your availability and run a Dry Run. Keep the sheet current and the replies stay current.

What does it cost?

A one-time unlock that never renews. It runs live on a paid plan with your own AI provider key; Dry Run is free.

Does it book the showing in my calendar?

Not yet: Google Calendar, Outlook Calendar and Calendly are waiting for approval. It proposes times from your rules (and can include your booking link); you confirm them.

Where do the listing details come from?

From a Google Sheet with one row per listing (address, status, showing instructions, key facts). It's read on every message, so a status or instruction change counts straight away.

Does it text buyers?

No. Replies go by email after you approve them. SMS needs Twilio, which is waiting for approval.

Is this a subscription?

No. Showing Coordinator & Buyer Follow-Up is a one-time purchase of $79 per workspace and never renews. The Enterprise plan includes it at no extra cost. Running it live needs a paid plan (from Basic ($39/mo)), and your AI provider bills you directly for usage.

Can I test it before it touches real data?

Yes. Once it's set up in your workspace, Dry Run plays every step on sample data with simulated AI and app calls: nothing is sent and nothing in your apps changes. Switch the trigger on only when you're happy.
