Send every parent a warm progress update, from your gradebook
AI drafts a short update for each guardian using only the marks and comments already in your sheet. The teacher approves the batch, and every figure is checked before sending.

Sound familiar?
The job, before and after this agent.
What it feels like today
- “Writing an update for every student each month takes my whole weekend.”
- “Parents only hear from us when something's wrong.”
- “Every teacher writes updates differently, and some never send them.”
What you get with the agent
- On your reporting schedule, reads your gradebook and drafts a short, warm update per student from the row's marks and teacher comment.
- Lists every figure it used, and never calculates, predicts or changes a grade.
- The whole batch waits for the teacher, who can edit any update or hold any student.
- Each approved update gets a final check that every figure matches the row, then is emailed to the guardian.
- Files one Notion page per class recording what was sent or held, and why.
Before
Report week: 28 emails to write, each one copied from the gradebook, rephrased so it doesn't sound robotic, and checked twice for the wrong name.
After
The batch is ready on Monday. You read through, soften one line, hold one student for a phone call, approve, and the class record is filed in Notion.
How it works
The whole workflow, step by step.
On your reporting schedule (monthly by default) the agent reads your gradebook in Google Sheets. For each student, AI drafts a short, warm update for the guardian using only the marks and the teacher's comment in the row, listing every figure it used — it never calculates, predicts or changes a grade. The whole batch waits for the teacher's approval, with edits allowed. Each approved update gets a final figures check and is emailed to the guardian, and one Notion page per class records what was sent or held. It drafts and organises for a person to approve; it makes no grading decision. Up to 50 students per run; student-data rules (FERPA, GDPR) are the school's to apply.

This is the workflow that opens in your workspace when you set the agent up. Every step can be edited.
- Step 11st of each month at 8:00Runs on the 1st of every month. For termly reports, change the schedule on the trigger to your reporting dates. Set your time zone.
- Step 2Read the gradebookReads your gradebook tab: one row per student with class, guardian name and email, attendance, marks and the teacher's comment.
- Step 3Read the class listReads your Classes tab (Class, Teacher), used to file one Notion page per class.
- Step 4Each studentRepeats the draft step for every student row (up to 50 per run).
- Step 5Draft the guardian updateAI writes a short, warm update for the student's guardian using only the numbers and the teacher's comment in the row. It doesn't grade or assess.
- Step 6Teacher approves the batchAll the drafts wait in Reviews together. The teacher edits any update, sets send to false on any that shouldn't go out, and approves the batch; nothing is sent before that.
- Step 7Each approved updateRepeats the checks and send for every update in the approved batch.
- Step 8Final check on the wordingAI reads each approved update for figures that aren't in the gradebook figures it listed, grading or predictions, comparisons, labels and sensitive details only — stating the marks from the row, strengths and a next step is fine. It must quote the exact sentence it objects to.
- Step 9Check before sendingIn code: drafted to send, still marked to send after review, guardian email present, and a subject and body with no placeholders left — plus the wording check's verdict. Anything that fails is held, with the reason.
- Step 10Send it?Updates that pass every check are emailed; skipped and held ones are listed on the class page with the reason.
- Step 11Email the guardianSends the approved update to the guardian from your workspace's sender, with replies going to your school office or teacher inbox.
- Step 12HeldSkipped, set to not send or stopped by a check; the reason is on the class page and in the run history.
- Step 13Count what happenedIn code, not AI: sorts every approved update into sent, skipped, held (with the reason) or failed, from what each step really did — the class pages are filed from this list.
- Step 14Each classFiles one Notion page per class from your Classes tab.
- Step 15Write the class recordAI lays out the class's page: each student's update as approved, with whether it was sent or held (and why) copied from the code count.
- Step 16File the class page in NotionCreates the class's page in your Notion progress-notes database, for the teacher's records.
- Step 17Batch finishedUpdates sent and class pages filed; counts are in the run history.
- Step 18Batch rejectedThe teacher rejected the batch; nothing was sent or filed.
Example run
What goes in, and what comes out.
Example with fictional data
Comes in
Gradebook row (fictional): Leo, reading 82 → 88, spelling 74, teacher comment “much more confident reading aloud”.
The agent produces
Draft to Leo's guardian: reading up from 82 to 88, spelling at 74, and the teacher's note about confidence reading aloud. Figures used are listed for the teacher to check before approval.

FAQ
Questions about Student Progress Notes.
Does it grade students?
No. It only writes up what the gradebook row already says, makes no grading decision, and every figure is checked against the row before sending. The teacher approves every batch.
What about student privacy?
It sends each update only to the guardian email in the row and doesn't copy guardian emails into Notion. FERPA, GDPR and your own policies stay the school's to apply.
How long does setup take?
About 25 minutes: connect Google Sheets and Notion, describe your gradebook, pick your tabs and Notion database, and run a Dry Run.
Is it worth paying for?
It's a one-time purchase that never renews, set against writing each update by hand. It handles up to 50 students per run. You need a paid plan and your own AI key; Dry Run is free.
How many students per run?
Up to 50 per run (each run has an AI cost cap). For larger groups, set up one copy per class or year-group tab.
Who handles student-data rules?
You do. FERPA, GDPR and your own policies are the school's to apply. The agent sends each update only to the guardian email in the row and files the class record in your Notion workspace; it doesn't copy guardian emails into Notion.
Is this a subscription?
No. Student Progress Notes is a one-time purchase of $129 per workspace and never renews. The Enterprise plan includes it at no extra cost. Running it live needs a paid plan (from Basic ($39/mo)), and your AI provider bills you directly for usage.
Can I test it before it touches real data?
Yes. Once it's set up in your workspace, Dry Run plays every step on sample data with simulated AI and app calls: nothing is sent and nothing in your apps changes. Switch the trigger on only when you're happy.
