Finance & payments integration

Xero integration for AI workflows.

Raise, send and chase Xero invoices automatically — and act the moment they're paid.

Beta

In short

Fluxo Flow connects to Xero by signing in to Xero; workflows can create or update a contact, find a contact and create an invoice and more, and start from new or updated invoice, invoice paid and new or updated contact. The integration is in beta.

Beta means it works but hasn't been tested against every account setup yet; actions and fields may still change. Found a problem? Tell us.

What you can do

Actions and triggers for Xero.

Actions

  • Create or update a contact

Creates a customer/supplier contact, or updates it when you give its ContactID. Contact names must be unique in Xero.

  • Find a contact

Searches contacts by name, email or account number.

  • Create an invoice

Creates a sales invoice (draft, or approved so it can be emailed and paid).

  • Email an invoice

Emails an approved sales invoice to the contact from Xero (uses the organisation's default email template).

  • Get an invoice's online link

Returns the online invoice link customers can view and pay from (approved invoices only).

  • Find an invoice

Looks up an invoice by its number.

  • Record a payment

Records a payment against an approved invoice into a bank account.

Triggers

  • New or updated invoice (checked on your plan's schedule interval)

Starts a run each time an invoice (sales or bill) is created or changed.

  • Invoice paid (checked on your plan's schedule interval)

Starts a run once when a sales invoice becomes fully paid.

  • New or updated contact (checked on your plan's schedule interval)

Starts a run each time a contact is created or changed.

Build it yourself

What teams build with Xero.

There's no ready-made template for Xero yet. These are the workflows to build: each step is a real node or Xero action.

  • Act when an invoice is paid

    1. Xero: Invoice paid
    2. AI Generate: thank-you note
    3. Send Email
  • Bill approvals

    1. Xero: New or updated invoice (bills too)
    2. Router: bill over threshold?
    3. Human Review: budget owner
    4. Slack: Post a message
  • Invoice from an order

    1. Webhook trigger (order)
    2. Xero: Find a contact
    3. Xero: Create an invoice
    4. Xero: Get an invoice's online link
    5. Send Email

How to connect

Connect Xero in a minute.

Connects by signing in to Xero. Tokens are encrypted and renewed automatically.

  1. Open Settings → Integrations and click Connect on Xero.
  2. Sign in to Xero and tick the organisation(s) to connect.
  3. Pick the organisation in each Xero step, e.g. “Create an invoice” or the “Invoice paid” trigger.

What you need on the Xero side

  • A Xero user who can connect apps; tick each organisation to connect.

Permissions & limits

What it can access, and how fast it runs.

Permissions requested

  • Invoices (create, email, find, triggers)

  • Payments

Limits and timing

  • Polling triggers are checked on your plan's schedule interval: Basic every 15 minutes, Pro every 5 minutes, Business every 2 minutes, Elite every minute.
  • Xero triggers check at most every 5 minutes, whatever your plan, to respect Xero's limits.
  • If Xero says to slow down (HTTP 429 or 503), requests wait as told and retry a limited number of times.
  • Triggers look at up to 100 changed records per check.
  • The connector paces Xero calls at up to 60 a minute to stay within Xero's rate limit.

FAQ

Xero questions, answered.

I have several Xero organisations. Which one is used?

The one you pick in each step. Only organisations you ticked when connecting are listed; reconnect to add more.

How fast do the triggers fire?

They check Xero on your plan's schedule interval (at least every 5 minutes), looking at up to 100 changed records each time.

Is the Xero integration finished?

It's in beta: it works, but it hasn't been tested against every account setup yet. Tell us if something doesn't behave as expected.

Can I use Xero on the Free plan?

You can connect it, build with it and Dry Run on the Free plan. Running workflows live (triggers, schedules, webhooks) needs a paid plan.

What happens if the connection expires?

Access tokens are renewed automatically. If Xero revokes access (for example, the person who connected it leaves), steps that use the connection fail and show the error in the run trace; reconnect in Settings → Integrations.

Can I call Xero endpoints the integration doesn't cover?

Yes, if Xero has an API: save a key in the encrypted credential vault and call it with an HTTP Request step.

Can I test a workflow without touching my real data?

Yes. Dry Run walks through every step with simulated app calls, so nothing is sent until you run it for real or activate its trigger.
