Sound familiar?

The job, before and after this agent.

What it feels like today

  • “By Thursday night I'm too tired from harvest to write the newsletter.”
  • “Members don't know what to do with kohlrabi, so it goes to waste.”
  • “People forget which site or share size they signed up for.”

What you get with the agent

  • The day before pickup, reads this week's harvest from Google Sheets and your newest farm notes from Notion.
  • Writes the newsletter: what's in the box, storage tips, 2 simple recipes with common allergens listed, and a farm update.
  • You approve the newsletter before anything is sent.
  • Every active member gets it with a personal line filled straight from your sheet: share size, pickup site and extras.

Before

Thursday 10 p.m., boots still on, you type the box list into an email, skip the recipes again, and hope everyone remembers their pickup site.

After

Thursday afternoon you read a finished newsletter with storage tips and two recipes, approve it, and each member gets it with their own share and site.

How it works

The whole workflow, step by step.

The day before pickup, the agent reads this week's harvest from Google Sheets and your latest farm notes from Notion. AI writes the newsletter: what's in the box, storage tips, 2 simple recipes using box items (each with its common allergens listed for you to check) and a farm update. The farmer approves it, then every active member gets it by email with a personal line filled straight from your members sheet — share size, pickup site and extras — so there's one AI step a week however many members you have. It doesn't manage subscriptions or payments.

This is the workflow that opens in your workspace when you set the agent up. Every step can be edited.

  1. Step 1Every Tuesday at 10:00Runs the day before pickup (Tuesday for a Wednesday pickup; change the day on the trigger). Set your time zone on the trigger.
  2. Step 2Read this week's harvestReads your harvest tab: what's going in this week's box (item, quantity, notes).
  3. Step 3Read the latest farm notesReads your 3 newest notes from your Notion farm-notes database (what happened on the farm this week).
  4. Step 4Write the newsletterAI writes the newsletter: what's in the box, storage tips, 2 simple recipes using box items and a farm update from your notes.
  5. Step 5Farmer approves the newsletterThe farmer reads the newsletter in Reviews, checks the box list and the recipes' allergens, edits anything and approves; nothing goes to members before that.
  6. Step 6Not sent this weekNothing was sent; the run history keeps the draft.
  7. Step 7Read your membersReads your active-members tab: Name, Email, Share, Site and Extras (one row per active member).
  8. Step 8Each memberEmails the approved newsletter to every active member with their own pickup line (up to 300; no AI per member).
  9. Step 9Email the memberSends the newsletter with a personal line filled from the member's row (share size, pickup site, extras), with replies going to your farm inbox.
  10. Step 10Newsletter sentThe run history keeps the newsletter and each member's send.

What goes in, and what comes out.

Example with fictional data

Comes in

Harvest tab (fictional): kale, carrots, kohlrabi, garlic scapes, strawberries. Farm note: “first strawberries after the late frost”.

The agent produces

Newsletter with the box list, storage tips, a kohlrabi slaw and scape pesto (allergens listed), and the strawberry update. Waiting for your approval, then sent with each member's share and site.

FAQ

Questions about CSA Box Newsletter.

Are the recipes safe for allergies?

Each recipe lists its common allergens and you approve every newsletter, but members with allergies should always check ingredients. You can list allergens to avoid entirely.

Does it get expensive with more members?

No. The personal line is filled straight from your sheet, so there's one AI step a week whether you have 40 members or 300.

How long does setup take?

About 20 minutes: connect Google Sheets and Notion, pick your harvest tab, notes database and members tab, and describe your pickups.

Is it worth it for a small farm?

It's a one-time purchase that never renews, set against writing a newsletter every week in harvest season. You need a paid plan and your own AI key; Dry Run is free.

What should the sheets look like?

A harvest tab with Item, Quantity and Notes for this week's box, and an active-members tab with the columns Name, Email, Share, Site and Extras named exactly so (Extras can be blank). Keep paused or cancelled members in another tab.

Why isn't each member's line written by AI?

It's filled straight from your sheet, which keeps it accurate and cheap: one AI step per week, however many members you have.

Is this a subscription?

No. CSA Box Newsletter is a one-time purchase of $79 per workspace and never renews. The Enterprise plan includes it at no extra cost. Running it live needs a paid plan (from Basic ($39/mo)), and your AI provider bills you directly for usage.

Can I test it before it touches real data?

Yes. Once it's set up in your workspace, Dry Run plays every step on sample data with simulated AI and app calls: nothing is sent and nothing in your apps changes. Switch the trigger on only when you're happy.
