Sound familiar?

The job, before and after this agent.

What it feels like today

  • “Release emails are one generic blast that members barely read.”
  • “We only find out about a bad address or a no-ship state after the box goes out.”
  • “Members miss the customize-by date and complain later.”

What you get with the agent

  • Reads the release's items from your Notion release notes and your members from Google Sheets.
  • Drafts a personal email for each member: their tier's items with tasting notes, a pairing for their preferences, how to swap or skip by the deadline, and pickup or shipping details.
  • Flags members with a missing address, a ship-to state on your no-ship list, an unknown tier or no email instead of emailing them.
  • The club manager approves the batch; each email gets a final check and is sent with replies to your club inbox.
  • Posts the counts and the members who need you to Slack.

Before

Release week you send one email to everyone, field “what's in mine?” replies for days, and discover a member moved to a state you can't ship to.

After

Each member gets their own tier's lineup with a pairing they'll like and the swap deadline. Three members with address problems are listed in Slack before anything ships.

How it works

The whole workflow, step by step.

Post each club release (name, ship and pickup dates, customise-by deadline) from your form. The agent reads the release's items from your Notion release-notes database and your members from Google Sheets, and AI drafts a personal email for each member: their tier's items with tasting notes, a pairing that fits their preferences, how to swap or skip by the deadline, and pickup hours or shipping. Members with a missing address, a ship-to state on your no-ship list, an unknown tier or no email are flagged instead. The club manager approves the batch, each email gets a final check and is sent, and the flagged members are listed in Slack. It doesn't charge cards or create shipments; age checks and alcohol-shipping law are yours. About 50 members per run by default (each run has a $2 AI cost ceiling).

This is the workflow that opens in your workspace when you set the agent up. Every step can be edited.

  1. Step 1New club releaseRun once per release: your form or site posts the release name, ship or pickup dates and the customise-by deadline.
  2. Step 2Read the release datesIn code, not AI: writes out the customise-by deadline, ship date and pickup dates in full with their weekdays (UTC unless you set your time zone on this step), so the emails never get a weekday wrong.
  3. Step 3Read the release notesReads this release's items from your Notion release-notes database (tasting notes, pairings, which tiers get each).
  4. Step 4Read your membersReads your members tab: name, email, tier, preferences, pickup or ship, ship-to state and address.
  5. Step 5Each memberDrafts a personal release email for every member row (up to 50 per run).
  6. Step 6Draft the member's release emailAI writes a personal release email for this member: their tier's items with tasting notes, a pairing that fits their preferences, how to swap or skip by the deadline, and pickup hours or shipping. Members with a missing address or a no-ship state are flagged instead.
  7. Step 7Approve the release batchAll members' release emails wait in Reviews together. The club manager checks items, wording and flags, edits any email, sets send to false on any that shouldn't go, and approves; nothing is sent before that.
  8. Step 8Batch rejectedNothing was sent; the run history keeps the drafts.
  9. Step 9Each approved emailChecks and sends every approved release email.
  10. Step 10Final check on the wordingAI reads each approved email only for a printed street address, charges or price changes your club rules don't mention, and AI mentions — the items, tasting notes, dates and swap or skip steps are fine. It must quote the exact sentence it objects to.
  11. Step 11Check before sendingIn code: not flagged and still marked to send after review, exactly one valid email, and a subject and body with no placeholders left — plus the wording check's verdict. Anything that fails is held and listed in Slack with the reason.
  12. Step 12Send this email?Approved emails that pass every check are sent; flagged or held ones are listed in Slack.
  13. Step 13Email the memberSends the approved release email from your workspace's sender, with replies going to your club inbox.
  14. Step 14HeldFlagged, set to not send, or stopped by a check; listed in Slack with the reason.
  15. Step 15Count what happenedIn code, not AI: sorts every member into sent, needs you (flagged or held, with the reason) or failed, from what each step really did.
  16. Step 16Post the flagged list to SlackPosts the counts and the members who need you (counted in code) to your club channel.
  17. Step 17DoneThe run history keeps the drafts, the approved batch and every outcome.

What goes in, and what comes out.

Example with fictional data

Comes in

Release (fictional): Spring Release, ships April 20, pickup April 18–27, customize by April 10. Member: Grace, Reserve tier, likes bold reds, ships to a state on your no-ship list.

The agent produces

Grace flagged in Slack (no-ship state) instead of emailed. Other Reserve members get personal emails with their wines, notes, a pairing and the April 10 swap deadline, waiting for approval.

What you need

FAQ

Questions about Club Release Notifier.

What about age checks and shipping law?

Those stay yours. It flags only the states you list, and it doesn't charge cards or create shipments; orders run in your club system.

What if an email says the wrong thing?

Nothing is sent before the manager approves the batch, and each email gets a final check. Tasting notes and items come from your Notion release notes.

How big a club can it handle?

About 50 members per run by default, which keeps each run inside its AI cost limit. Larger clubs can split members across tabs. Setup takes about 25 minutes.

Is it worth paying for?

It's a one-time purchase that never renews, set against writing personal release emails by hand. You need a paid plan and your own AI key; Dry Run is free.

What should the release form send?

A JSON POST with release_name (exactly as in your Notion Release field), ship_date, pickup_start, pickup_end, customize_by and notes. Post it once per release, with the webhook's signature header.

What do I need in Notion and Sheets?

A Notion release-notes database with Name (title: the wine, beer, coffee or cheese), Release (select), Tasting notes (text), Pairing (text), Tiers (multi-select), shared with the Fluxo Flow integration, and a members tab with Name, Email, Tier, Preferences, Fulfilment (Pickup or Ship), Ship-to state and Address.

How many members per run?

About 50 by default, which keeps each run inside the $2 AI cost ceiling. Raise “Each member” and “Each approved email” with care, or split members across two tabs and two runs.

Is this a subscription?

No. Club Release Notifier is a one-time purchase of $99 per workspace and never renews. The Enterprise plan includes it at no extra cost. Running it live needs a paid plan (from Basic ($39/mo)), and your AI provider bills you directly for usage.

Can I test it before it touches real data?

Yes. Once it's set up in your workspace, Dry Run plays every step on sample data with simulated AI and app calls: nothing is sent and nothing in your apps changes. Switch the trigger on only when you're happy.
