Sound familiar?

The job, before and after this agent.

What it feels like today

  • “Customers text our business number and replies depend on who happens to see it.”
  • “I'm scrolling back through texts and HubSpot to remember who this person even is.”
  • “One wrong reply to someone who said STOP and we have a compliance problem.”

What you get with the agent

  • Opt-out requests in any wording caught, never replied to, and posted to Slack so someone updates your do-not-text lists
  • Each sender matched to their HubSpot contact by phone number
  • Short reply drafts (up to 300 characters) in the customer's language, using only their record, the text and your business details
  • Urgent texts posted to Slack straight away with the suggested reply
  • Approved replies texted from the same number and logged as a note on the HubSpot contact

Before

The business phone buzzes all day. Whoever is free looks up the customer, writes a reply from scratch, and nobody records what was said.

After

Each text arrives with the customer's record and a draft reply. A teammate approves it in a click, the reply goes out from your number and HubSpot keeps the note.

How it works

The whole workflow, step by step.

Starts from each text received by your Twilio number (checked on your plan's schedule interval). AI first spots opt-out requests in any wording: those never get a reply and are posted to Slack so someone updates your do-not-text lists. Every other text is matched to the HubSpot contact with that phone number, and AI drafts a short reply (up to 300 characters) in the customer's language using only their record, the text and the business details you provide, with the last 5 texts and sent replies from that number (remembered for 30 days) for context. Urgent texts are posted to your Slack channel straight away. Every reply waits in Reviews; once a teammate approves it, it's logged as a note on the HubSpot contact and texted from the same number. It only remembers approved, sent replies, and doesn't book appointments or create contacts.

This is the workflow that opens in your workspace when you set the agent up. Every step can be edited.

  1. Step 1New text to your Twilio numberStarts a run for each text received by your Twilio number (Twilio is checked on your plan's schedule interval, so it isn't instant).
  2. Step 2Read the textAI spots opt-out requests in any wording, tags the intent and urgency and prepares the sender's number for the HubSpot lookup.
  3. Step 3Asked to stop texts?Opt-out requests get no reply: the team is told in Slack instead. Every other text goes on to the HubSpot lookup.
  4. Step 4Tell the team about the opt-outPosts the opt-out request to Slack so someone marks the number do-not-text in HubSpot and any other tool you text from. No reply is drafted or sent.
  5. Step 5Opt-out notedThe run history keeps the opt-out request.
  6. Step 6Recall the conversationReads the last 5 texts and replies exchanged with this number (remembered for 30 days after the last one). Nothing is found for a new number.
  7. Step 7Find the customer in HubSpotLooks up HubSpot contacts with this phone number (HubSpot's searchable phone number, digits without the country code).
  8. Step 8Draft the SMS replyAI drafts a short reply in the customer's language using only their HubSpot record, the text and your business details (and the earlier texts for context), and writes the note for HubSpot.
  9. Step 9Urgent?Urgent texts are posted to Slack straight away; every reply, urgent or not, waits for approval.
  10. Step 10Alert the team in SlackPosts the urgent text, who sent it and the suggested reply to your channel so a person picks it up now.
  11. Step 11Team alertedThe run history keeps the urgent text and the alert.
  12. Step 12Approve the replyA teammate reads the text and the draft in Reviews, edits it if needed and approves it to send, or rejects it to answer personally.
  13. Step 13In HubSpot? When the sender is a HubSpot contact, the text and the approved reply are logged on their timeline before sending.
  14. Step 14Log a note in HubSpotAdds the text received and the approved reply to the contact's timeline.
  15. Step 15Text the replySends the approved reply by SMS from the Twilio number that received the text.
  16. Step 16Remember this exchangeSaves the text and the reply sent with the earlier ones (the last 5 are kept, for 30 days after the last one). Only replies that were approved and sent are saved.
  17. Step 17RepliedThe run history keeps the text, the approved reply and Twilio's message id.

Example run

What goes in, and what comes out.

Example with fictional data

Comes in

Text from a fictional customer, Maria: “I booked a cleaning for Thursday at 10 but my car broke down. Can I move it to next week? Any morning works.”

The agent produces

Matched to Maria's HubSpot contact. Draft: “Hi Maria, sorry about the car! We'll find you a morning slot next week and confirm shortly.” Waiting in Reviews; once approved it's texted and logged on her contact. The agent doesn't move the booking itself.

What you need

Everything it takes to run it.

About 25 minutes from purchase to live. A checklist above the canvas takes you through each step.

Plan

Included in Enterprise; on other paid plans it's $129 once. Agents run live on paid plans, from Basic ($39/mo).

Your AI key

Connect any of 14 AI providers on your own key. Your provider bills usage directly, at cost; we add no markup.

Apps

Checklist

  • A paid plan (agents run live on paid plans).
  • An AI provider key (Settings → AI Providers).
  • Twilio (your own account and number), HubSpot and Slack, connected in Settings → Integrations.
  • Texting consent and US A2P 10DLC registration for your number are your responsibility (Twilio requires registration to text US numbers from a 10-digit number).

Setup, about 25 minutes

  1. Connect your AI provider. The AI steps run on your own key (OpenAI, Anthropic, Google and more). Add one in Settings → AI Providers.
  2. Connect Twilio. Connect your Twilio account (Account SID and an API key or Auth Token) in Settings → Integrations → Twilio.
  3. Connect HubSpot. Connect the HubSpot account your customers are in (Settings → Integrations → HubSpot).
  4. Connect Slack. Connect the Slack workspace your team uses (Settings → Integrations → Slack).
  5. Pick your Twilio account and number. Open the trigger and pick your Twilio account and the number customers text; open “Text the reply” and pick the same account.
  6. Describe your business. Open “Draft the SMS reply” and replace the placeholder with your business details, links and texting rules.
  7. Pick your HubSpot account. Open “Find the customer in HubSpot” and “Log a note in HubSpot” and pick your account in each.
  8. Pick the Slack account and channels. Open “Alert the team in Slack” and “Tell the team about the opt-out” and pick your account and channel in each. Invite the app to private channels first (/invite @Fluxo Flow).
  9. Test it with Dry Run. Press Dry Run: the agent runs on sample data with no messages sent and nothing written to your apps.
  10. Switch the trigger on. Open the trigger and click “Activate app trigger”: Fluxo Flow starts checking your Twilio number for new texts.

Is it a fit?

Who it's for, and what it won't do.

Built for

  • Home service and cleaning companies that take bookings by text
  • Clinics, studios and salons with a business texting number
  • Small teams using HubSpot as their customer record

What it doesn't do

  • It never sends a reply without a person approving it, and never replies to opt-out requests.
  • It isn't instant: Twilio is checked on your plan's schedule interval (every minute on the highest plans).
  • Its memory is short: only the last 5 exchanges per number, forgotten 30 days after the last one, and only replies that were approved and sent (not rejected drafts or texts answered outside it). HubSpot notes keep the full history.
  • It doesn't create HubSpot contacts for unknown numbers or change do-not-text settings; the team does that from the Slack alert.
  • It doesn't book, move or cancel appointments, or take payments; it drafts the reply and a person acts on it.

FAQ

Questions about SMS Inbox Assistant.

Which apps does it need?

Twilio, HubSpot and Slack. The agent's page shows whether each app is ready to connect.

Will it text customers without a person checking?

Never. Every reply waits in Reviews until a teammate approves it, and opt-out requests get no reply at all. Texting consent and US A2P 10DLC registration for your number stay your responsibility.

Is it instant, and does it remember conversations?

Twilio is checked on your plan's schedule interval, every minute on the highest plans. It remembers the last 5 texts and sent replies per number for 30 days to understand follow-ups; HubSpot notes keep the full history.

What does it take to run?

About 25 minutes of setup, your own Twilio account and number, HubSpot, Slack, a paid plan and your own AI key. It's a one-time purchase that never renews, and Dry Run is free.

Does it text customers without a person checking?

No. Every reply waits in Reviews until a teammate approves it. Opt-out requests never get a reply.

Does it remember earlier texts?

Yes, briefly: it remembers the last 5 texts from each number and the replies sent, for 30 days after the last one, and uses them only to understand follow-ups. Only approved, sent replies are remembered. Every approved exchange is also logged as a note on the HubSpot contact.

Is this a subscription?

No. SMS Inbox Assistant is a one-time purchase of $129 per workspace and never renews. The Enterprise plan includes it at no extra cost. Running it live needs a paid plan (from Basic ($39/mo)), and your AI provider bills you directly for usage.

Can I test it before it touches real data?

Yes. Once it's set up in your workspace, Dry Run plays every step on sample data with simulated AI and app calls: nothing is sent and nothing in your apps changes. Switch the trigger on only when you're happy.

SMS Inbox Assistant is almost ready.
